What a Yoga Class Agreement Covers

A Yoga Class Agreement is a written contract between a participant and a yoga instructor or studio that defines services, schedules, fees, cancellations, participant health disclosures, liability waivers, and recordkeeping. It documents mutual expectations, consent to class rules, and any photo or video release. When executed electronically, the agreement is enforceable under the federal ESIGN Act (15 U.S.C. ch. 96) and state e-signature laws such as UETA where adopted, provided the transaction meets legal validity criteria.

Why a Written Agreement Helps Your Studio

A clear Yoga Class Agreement reduces disputes, protects instructors and participants, documents health and liability consents, sets payment and cancellation terms, and creates an auditable record when signed electronically under ESIGN and applicable state law.

Why a Written Agreement Helps Your Studio

Who Typically Uses a Yoga Class Agreement

Studios and instructors use this agreement to standardize enrollment, payments, and risk management across classes and sessions.

  • Independent instructors offering recurring or private classes who need written payment and cancellation terms.
  • Yoga and fitness studios enrolling multiple students for group classes, workshops, and series packages.
  • Employers or wellness program coordinators arranging on-site or virtual classes for employees and members.

The agreement is useful for both single-session signups and multi-week programs and can be adapted for minors, corporate clients, and hybrid (in-person and virtual) delivery.

Step-by-step: completing and finalizing the agreement

Follow these sequential steps to collect a valid, enforceable agreement from participants.

  • 01
Gather Information: Collect participant data and health disclosures.
  • 02
Draft Terms: Set fees, schedules, cancellation rules, and releases.
  • 03
Get Signatures: Obtain participant and instructor signatures.
  • 04
Distribute Copies: Send executed copies and retain audit trail.

How eSubmission typically works

A common online signing workflow reduces friction and preserves evidence of execution.

  • Upload: Add the agreement to the signing platform.
  • Place Fields: Add signature, date, and initial fields.
  • Send: Email the participant a signing link or invite.
  • Complete: Signer authenticates, signs, and receives a copy.

Recommended online workflow settings

Configure these settings to balance signer convenience and legal robustness.

Field Configuration
Authentication Email link plus optional SMS code
Reminders Send 1–3 automated reminders
Attachments Include health-release form as attachment
Payments Enable integrated payment capture

Technical platforms and format considerations

Choose a platform that supports PDF and DOCX uploads, audit trails, and role-based signer flows.

  • File Types: PDF, DOCX supported
  • Integrations: Google Workspace, Microsoft 365
  • APIs: Available for automation

Ensure the provider meets any industry compliance needs (for example HIPAA for health data) and supports export of a tamper-evident signed PDF with audit trail for recordkeeping.

Core clauses every professional agreement should include

A concise set of clauses reduces ambiguity and sets enforceable expectations between parties.

Parties

Identify instructor/studio and participant by full legal name and contact details to avoid identity disputes and enable legal notice.

Services

Describe class type, frequency, location, and any virtual access instructions so both parties understand the scope of services.

Schedule

State class dates, session count, start and end times, and make-up or substitution policies to manage attendance expectations.

Fees & Payment

Specify tuition, deposit, payment schedule, accepted methods, late fees, and refund conditions to reduce billing disputes.

Cancellation Policy

Define cancellation notice windows, instructor cancellations, and refund or credit processes to allocate risk fairly.

Liability Release

Include health representations, assumption of risk, and an express release or limitation of liability consistent with state law.

Security and compliance items to include

Encryption: TLS 1.2/1.3, AES-256
Audit Trail: Timestamped signing log
Access Controls: Role-based permissions
HIPAA: BAA required if PHI
Compliance: SOC 2 Type II, ISO 27001
21 CFR: Part 11 support where needed

Common legal and practical risks

Unclear Waiver: May be unenforceable in court
Missing Disclosures: Triggers consumer-protection issues
Incorrect Dates: Creates ambiguity about coverage
Incomplete Health Info: Increases liability exposure
Payment Disputes: Leads to chargebacks and fees
Improper E-sign: Fails ESIGN test for intent

Frequent preparation mistakes to avoid

  • Leaving health-disclosure fields optional or vague, which can create uncertainty when injuries occur and complicate insurance claims.
  • Failing to state payment timing and refund rules clearly, leading to chargebacks and contested transactions with banks.
  • Using ambiguous waiver language that omits key terms like assumption of risk and does not reference specific activities.
  • Not capturing explicit e-sign consent and accessability confirmation, which can undermine enforceability under ESIGN requirements.

Timing and key deadlines to build into the agreement

Specify timeframes clearly so participants and studios share expectations and legal triggers are unambiguous.

Effective Date:

The MM/DD/YYYY date when obligations start.

Payment Due Date:

State exact days (e.g., due on registration or 7 days before class).

Cancellation Notice:

Require X days' notice for refunds or credits.

Waiver Acceptance:

Capture at or before first class attendance.

Record Retention:

Retain signed agreement per retention policy.
