What an Education Intensive Agreement covers

An Education Intensive Agreement is a written contract between an education provider and a participant (or guardian) that defines the scope, schedule, fees, materials, cancellation and refund terms, participant responsibilities, and deliverables for a short-term, high-contact educational program. It clarifies expectations for both parties, assigns liability and intellectual property where relevant, and serves as the operative record for enrollment, billing, and dispute resolution. When signed electronically in the United States it can be enforceable under the ESIGN Act and applicable state e‑signature laws provided the signature meets intent, consent, attribution, and retention requirements.

Why a clear Education Intensive Agreement matters

A concise, well-drafted agreement reduces ambiguity about program scope, schedules, payment, and refunds, which lowers disputes and administrative overhead. It also documents consent for data handling and media use, supports compliance with education-specific rules such as FERPA when student records are involved, and provides a defensible record should disagreements require formal resolution.

Why a clear Education Intensive Agreement matters

Who typically prepares and signs this agreement

Signatories should ensure their authority to bind the organization or accept terms on behalf of a minor or sponsoring entity.

  • Educational institutions and continuing education departments — Program managers, registrars, and compliance officers who design curriculum, set fees, and manage refunds.
  • Program coordinators and instructors — Staff who confirm schedules, learning outcomes, materials, and attendance policies with participants.
  • Students and guardians — Individuals who accept program terms, pay fees, consent to media or data use, and agree to conduct and attendance rules.

Step-by-step: completing the agreement

Follow these steps to prepare, execute, and record the signed agreement efficiently.

  • 01
Prepare document: Assemble terms, program details, and any exhibits or waivers.
  • 02
Verify fields: Confirm names, dates, fees, and contact details before sending.
  • 03
Send for signature: Choose signer order and authentication method, then send electronically.
  • 04
Store executed copy: Save the final PDF plus audit trail and export to records system.

Typical online workflow settings

Configure your electronic workflow to match institutional policy for authentication, signer order, and record retention.

Field Configuration
Signer order Sequential or parallel as required by policy
Authentication method Email link, SMS code, or stronger KBA if needed
Notification rules Reminders, escalation, and copy to admin email
Retention policy Set automatic export to records system after signing

How electronic completion typically works

The online signing sequence follows a predictable upload, prepare, deliver, and record pattern for rapid execution.

  • Upload document: Add the agreement PDF or DOCX to the signing platform
  • Add fields: Place signature, date, and checkbox fields where needed
  • Send to signer: Provide email addresses or a secure signing link
  • Capture audit trail: Platform records timestamps, IPs, and actions
