What the Employee Care Coordinator Agreement Is and Covers

An Employee Care Coordinator Agreement is a written contract that defines the scope, responsibilities, reporting relationships, and performance expectations for an individual assigned to coordinate employee care, accommodations, or wellbeing programs. It documents duties, confidentiality obligations, compensation, required credentials, and how the coordinator will handle protected information. The agreement typically sets an effective date, term or renewal rules, termination rights, and dispute resolution procedures. Use the agreement to align HR, compliance, and operational expectations and to reduce ambiguity about accountability for sensitive or regulated tasks.

Why Organizations Use an Employee Care Coordinator Agreement

A clear agreement reduces role ambiguity, supports compliance with privacy and employment laws, and protects both employer and coordinator by documenting duties, data handling obligations, and performance metrics. It also provides a contractual basis for corrective action and helps manage legal exposure when health or benefit information is involved.

Why Organizations Use an Employee Care Coordinator Agreement

Who Typically Prepares and Signs This Agreement

Typical users and signers include HR leaders, hiring managers, benefits administrators, and employee care coordinators within organizations.

  • Human Resources teams managing role creation, onboarding, and ongoing compliance tracking.
  • Hiring managers accountable for oversight, daily supervision, and performance evaluations of the coordinator.
  • Legal and compliance officers who review privacy controls, HIPAA implications, and contractual protections.

Use the agreement to document obligations, evidence consent for sensitive data handling, and provide a consistent basis for evaluation and corrective action.

Primary Signatory Roles

HR Director

An HR Director or senior HR designee typically approves the final agreement, authorizes budgeted compensation, and ensures alignment with company policies and record-retention rules. They coordinate onboarding, compliance checks, and escalation paths for serious incidents or disputes, and maintain custody of the signed agreement for the employee file.

Employee Coordinator

The Employee Care Coordinator signs to accept duties, confidentiality obligations, and reporting expectations. Signing indicates acknowledgement of training requirements, consent to background checks if required, and agreement to company policies governing protected health information or accommodations.
