All employees must comply with the terms below when requesting, accessing, or using cloud resources to protect company data, systems, and reputation.

Security and Use Requirements

1. Multi-Factor Authentication (MFA) is mandatory for all cloud accounts unless a documented exception is approved in writing by Information Security. Users must enroll in MFA prior to receiving elevated privileges.

2. Credentials: Company credentials are for individual use only. Sharing of accounts or credentials is prohibited. Passwords must meet complexity and rotation requirements established by Information Security.

3. Data Handling: Company data must be classified and handled according to the company's data classification rules. Confidential or regulated data must not be stored or transmitted in unsanctioned cloud services.

4. Endpoint Security: Devices used to access cloud applications must meet company-managed security baseline and be authorized for remote access when required.

5. Third-Party Integrations: Installation or use of third-party integrations or add-ons requires pre-approval by Information Security and IT. Unauthorized integrations are prohibited.

Monitoring, Logging and Privacy

Users should have no expectation of privacy with respect to activity on company-provisioned cloud accounts or applications. The company may monitor use, audit access logs, and retain records necessary to detect and respond to security incidents or to comply with legal obligations.

Incident Reporting and Suspension of Access

Employees must immediately report suspected compromise, data exposure, or other security incidents involving cloud applications to Information Security. The company may suspend or revoke access without notice when necessary to protect systems or data.

Exceptions, Enforcement and Discipline

Exceptions to this policy require documented approval from Information Security and the appropriate business manager. Violation of this policy may result in disciplinary action, up to and including termination of employment, and legal action where applicable.

What the Employee Cloud Application Policy Is

An Employee Cloud Application Policy defines rules and procedures governing employee access to, use of, and approval for cloud-hosted applications and services. It documents required approvals, access levels, data classification handling, onboarding and offboarding steps, and security controls for accounts that store or process company data. The policy clarifies responsibilities for managers, IT, and security teams, and establishes a record of authorized applications and user entitlements to reduce shadow IT, data exposure, and compliance gaps.

Why a Clear Cloud Application Policy Matters

A formal policy reduces risk from unauthorized apps, supports regulatory compliance, and standardizes provisioning and deprovisioning. It improves visibility into third-party services, assigns accountability for data protection, and creates an auditable record for security reviews and internal controls.

Why a Clear Cloud Application Policy Matters

Who Typically Creates and Uses This Policy

The policy is used across HR, IT, security, and business unit leadership to manage app access and approvals.

  • IT and Security teams: maintain approved app inventory and configure access controls.
  • HR and People teams: coordinate onboarding/offboarding and role-based access requirements.
  • Line Managers: approve application requests and attest to business need.

Cross-functional use ensures the policy covers technical, operational, and personnel perspectives and supports enforcement and audits.

Typical Roles and Their Responsibilities

HR Manager

Coordinates policy acknowledgements during onboarding, documents employee role changes affecting access, and notifies IT for provisioning or deprovisioning. Ensures training and attestation records remain current for audits.

IT Administrator

Implements access controls, maintains the approved application registry, configures single sign-on and MFA, and documents technical onboarding steps and change controls for each cloud service.

Essential Security and Compliance Elements

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Authentication: MFA and SSO enforced
Audit Logging: Immutable timestamps and activity logs
BAA Requirement: HIPAA BAA when PHI present
Access Review: Periodic entitlement recertification
Data Classification: Labeling for PII, PHI, and confidential

Consequences of a Weak or Incorrect Policy

Regulatory Fines: HIPAA and state penalties
Data Breach Costs: Remediation and notification expenses
Operational Disruption: Access outages and service loss
Reputational Damage: Customer trust erosion
Audit Findings: Remediation orders and restrictions
Tax/HR Penalties: I-9 or payroll documentation fines

Common Mistakes to Avoid When Drafting the Policy

  • Overly vague access levels that leave managers unsure which apps qualify for elevated privileges, creating inconsistent approvals and privilege creep.
  • Failing to map data classification to approved apps, which permits sensitive data storage in noncompliant services without necessary safeguards.
  • Neglecting offboarding steps that result in orphaned accounts and retained access after termination, increasing exposure and audit risk.
  • Not defining a predictable review cadence for approvals and entitlements, which complicates audits and weakens long-term control effectiveness.

Step-by-Step: Implementing the Policy

Follow these practical steps to collect approvals, validate controls, and complete the Employee Cloud Application Policy record.

  • 01
Request: Submit the application request with business justification.
  • 02
Approval: Manager and security sign-offs are recorded.
  • 03
Provision: IT configures access, SSO, and MFA.
  • 04
Record: Store policy and evidence in the configuration registry.

Digital Workflow Configuration for Approvals

Configure a sequential approval workflow to ensure requests route consistently to the right approvers.

Field Configuration
Request Submission Web form with required attachments
Manager Approval Auto-notify manager; one approver
Security Review Security team reviews controls
IT Provisioning Scheduled provisioning task

Technical and Format Requirements for Submission

Use PDF or DOCX for form uploads and ensure the platform captures a detailed audit trail and signer identity.

  • File Formats: PDF, DOCX accepted
  • Authentication: Email, SMS, or SSO
  • Integrations: Connect to HR and IT systems

Configure connectors to HRIS and identity providers; capture metadata and store signed records in secure repositories for search and audit readiness.

How the Electronic Approval Flow Works

The approval flow follows a linear sender-to-signer path and records each action in an immutable audit trail.

  • Upload: Requester uploads the filled form
  • Place Fields: Define signature, date, and approval fields
  • Notify: System emails approvers in order
  • Complete: Signed document and trail are archived

Core Sections to Include in a Professional Policy

A comprehensive policy contains specific sections that together define scope, approval authority, technical controls, and audit processes.

Purpose

Explain why authorizations are required and the policy's objectives, including risk reduction, regulatory alignment, and operational consistency.

Scope

Define which employees, contractors, applications, and data classifications the policy covers, and note any excluded systems or services.

Approval Matrix

List required approvers for different access levels, including manager, security reviewer, and IT provisioning authority.

Onboarding Process

Detail the steps for requesting access, required documentation, expected approval timelines, and provisioning actions.

Offboarding Process

Specify deprovisioning timelines, account suspension steps, data preservation instructions, and verification for terminated users.

Monitoring and Review

Describe periodic entitlement reviews, incident escalation paths, and how audit evidence will be collected and retained.

Key Deadlines and Processing Expectations

Set clear SLAs for each stage to align operational expectations and support reporting and compliance checks.

Submission to Manager Approval:

Target 3 business days for manager response.

Security Review Window:

Allow 5 business days for security assessment.

IT Provisioning SLA:

Complete provisioning within 2 business days after approvals.

Annual Review Cycle:

Entitlement recertification at least once per year.

Access Termination:

Disable accounts within 24 hours of termination notice.

Milestones from Request to Record Closure

Track these sequential milestones to ensure timely approvals, provisioning, and documentation closure.
