What the Employee Equipment Handover document is

An Employee Equipment Handover documents the transfer, return, or reassignment of employer-owned equipment between a company and an employee. It typically lists items (device type, make, model, serial number, accessories), records condition at transfer, and documents responsibility for care, loss, damage, or data removal. The form creates a clear record for HR, IT, and finance teams to track assets, support inventory reconciliation, and establish terms for repair costs or replacement if items are not returned or returned in unacceptable condition.

Why a formal handover matters for employers and employees

A formal handover reduces disputes, supports accurate asset tracking, and documents consent to device policies and potential deductions for damage or loss. It also preserves evidence needed for audits and internal investigations.

Why a formal handover matters for employers and employees

Who typically completes and signs this handover

This form connects HR, IT, and the employee; it clarifies responsibilities at onboarding, role changes, or separation.

  • HR managers and payroll administrators who record company property and potential payroll adjustments.
  • IT asset managers who verify device condition, serial numbers, and data-wipe procedures before redeployment.
  • Employees or contractors who acknowledge receipt or return and accept liability terms if applicable.

Use the same signed form for onboarding equipment issuance and for final return to maintain a single audit trail.

Step-by-step: completing the Employee Equipment Handover

Follow these sequential steps to ensure the handover is complete, auditable, and defensible.

  • 01
    1. List items: Record each device type, make/model, and serial number.
  • 02
    2. Note condition: Use a simple rating and describe visible defects.
  • 03
    3. Assign responsibilities: Specify who is responsible for maintenance and loss.
  • 04
    4. Sign and store: Collect signatures, date, and store in personnel file.

Core sections to include in a professional handover form

A complete handover includes inventory detail, condition notes, assignment terms, data-handling steps, signatures, and distribution instructions.

Inventory Table

A structured table with item name, serial number, model, accessory list, and company asset tag to support automated reconciliation and barcode scanning.

Condition Record

A concise condition field plus free-text area for defects or damage to avoid ambiguity during return and repair claims.

Accessories & Peripherals

List chargers, docks, cases, and licenses so missing components can be accounted for separately from the main device.

Data and Security Notes

Capture whether device contains PHI, financial data, or credentials and document required data-wipe or encryption actions before redeployment.

Liability and Costs

Specify chargeback policies for loss or damage, including ranges or methods to calculate replacement or repair costs.

Sign-off Blocks

Distinct signature fields for issuing representative, receiving employee, and an approving manager create a clear chain of custody.

Configuring an online handover workflow

Design workflow fields and authentication to match internal controls and the sensitivity of device data.

Field Configuration
Signature Field Require signer name, date, and signature image or e-signature
Authentication Use email link or SMS code; add stronger checks for sensitive devices
Reminders Auto-send reminders for unsigned handovers or overdue returns
Audit Trail Enable full event logging (IP, timestamp, actions)

Where to send and file the completed handover

Route signed records consistently to HR, IT asset management, and the employee to preserve a single authoritative record.

  • HR Personnel File: Retain a copy in the employee's HR record for payroll and separation audits.
  • IT Asset System: Import serials and sign-off dates into the CMDB or asset tracker for lifecycle management.
  • Employee Copy: Provide the employee a signed copy for personal records and dispute resolution.
  • Finance / Accounts: Share when chargebacks, depreciation, or capital accounting are required.

Digital delivery options and integration considerations

Choose delivery channels and integrations based on your existing HR and IT systems and the sensitivity of device data.

  • Integrations: Salesforce, Microsoft 365, NetSuite support
  • Document formats: PDF, DOCX, HTML supported
  • Authentication: Email, SMS, SSO/SAML options

Ensure chosen tools provide an audit trail, tamper-evident signed PDF exports, and secure storage to meet compliance and internal policy needs.

Common preparation mistakes to avoid

  • Omitting serial numbers or asset tags, which prevents reliable inventory reconciliation and can lead to duplicate replacements.
  • Using vague condition descriptions like 'OK' instead of a standardized rating and specific defect notes for disputes.
  • Failing to document accessories and software licenses, causing later chargebacks or compliance gaps.
  • Not recording data-handling steps or wiping procedures when devices contain sensitive or regulated information.

Risks and consequences of an incomplete or incorrect handover

Replacement Costs: Employer bears repair/replacement expenses
Data Breach Exposure: Unwiped devices risk PHI/PII exposure
Regulatory Liability: HIPAA obligations may apply (45 CFR §164.530(j))
Payroll Disputes: Unclear chargebacks can trigger employee disputes
Operational Delays: Missing equipment impacts business continuity
Reputational Harm: Loss of customer trust from mishandled devices

Security and compliance items to record

Encryption: TLS 1.2/1.3 in transit
At-Rest Protection: AES-256 encryption for stored records
Audit Trail: Timestamped signing events recorded
HIPAA Consideration: BAA required when PHI present
Access Controls: Role-based access to signed files
Retention Flags: Mark records under legal hold
