The stipend is provided subject to the following conditions and may be modified or discontinued by the Employer in its sole discretion upon written notice to the Employee.

Tax Treatment: Employee understands and agrees that the stipend is taxable compensation and will be processed through payroll with applicable withholdings and tax reporting. Employer is not responsible for other vehicle-related expenses, including but not limited to maintenance, repairs, insurance premiums, registration, or fines.

Authorized Use: The stipend is intended to assist with fuel costs for commuting and business-related local travel only. The stipend is not an expense reimbursement tied to documented receipts unless otherwise expressly documented in writing by Employer.

Eligibility Conditions: Continued receipt of the stipend is contingent on (a) active employment status, (b) compliance with Employer vehicle and driving policies, (c) maintenance of valid driver’s license and required insurance coverage, and (d) timely notification to Employer of any change in employment status or commuting arrangements. Employee must provide proof of insurance upon request.

Recovery of Overpayments: If an overpayment occurs for any reason, including incorrect payroll processing or retroactive adjustment, Employee authorizes Employer to recover such overpayment through payroll deduction or other lawful means to the extent permitted by law. If employment terminates within 90 days of the first stipend payment, Employer may recoup the prorated unearned portion of the stipend from final pay or by separate invoice.

Suspension or Termination: Employer may suspend or terminate the stipend immediately for cause, including but not limited to falsification of information, failure to maintain required coverage, or violation of company policies. Termination of employment for any reason will terminate stipend eligibility as of the employee separation date.

Payment Mechanics

Payment Method: Stipend will be paid via payroll and included on the Employee's regular pay statement. Employee may elect direct deposit according to Employer payroll procedures. Stipend is subject to standard payroll cycles and may be prorated for partial periods.

Not Expense Reimbursement: Employee acknowledges that this stipend is a fixed cash payment and is not a reimbursement for actual fuel expenses. Employee shall not submit mileage logs or fuel receipts for reimbursement unless a separate expense reimbursement policy is in effect.

What an Employee Gas Stipend Notice Is

An Employee Gas Stipend Notice is a written employer communication that documents a recurring or one-time payment to employees intended to offset fuel costs. It explains eligibility, payment amount or calculation method, the pay schedule, tax treatment, and any required employee actions. Organizations use the notice to set clear expectations, ensure consistent payroll processing, and create a record for internal control and tax reporting. The notice can be provided as a stand-alone document, part of an expense policy, or as an addendum to an employment agreement.

Why a Clear Gas Stipend Notice Matters

A formal notice reduces payroll errors, supports consistent tax treatment, and documents the employer’s intent and process for reimbursements.
