What the Employee Gratuity Award Is and when it’s used

An Employee Gratuity Award documents a discretionary payment or bonus an employer grants to an employee outside regular wages. It records the award amount, conditions for payment, effective date, any tax or withholding treatment, and signatures from authorized company representatives and the recipient. Employers use this document to ensure clarity about whether the award is taxable, subject to repayment or clawback, and how it will be processed through payroll or accounts payable. A clear written award reduces disputes and creates an auditable record for payroll, tax, and HR purposes.

Why a written Employee Gratuity Award matters

A formal award letter provides legal clarity on payment conditions, tax treatment, and repayment terms, protecting both employer and employee.

In practice, coordination among HR, payroll, and the approving manager ensures proper authorization, tax handling, and timely payment.

  • HR administrators responsible for policy compliance and recordkeeping.
  • Payroll or finance staff who enter awards for withholding and payment processing.
  • Managers or executives who approve the award and set conditions.
