Definition and context for the Employee Hotels LOA

An Employee Hotels LOA (Letter of Authorization) is a written authorization that permits a hotel to bill, reserve, or provide services on behalf of an employer for an employee's stay. Typical uses include corporate travel, temporary housing for assignment workers, and work-related relocations. The LOA identifies the employee, authorizes specific billing or billing codes, establishes payment responsibility, and documents stay dates and special instructions for check-in, incidentals, or group blocks. The document reduces disputes and clarifies who accepts financial responsibility for charges.

Why an Employee Hotels LOA matters for organizations

A clear LOA streamlines vendor billing, reduces invoice disputes, and documents authorization for corporate charges while preserving internal audit trails and compliance with expense policies.

Typical digital workflow for issuing and processing an LOA

This sequence shows how an LOA moves from request to hotel billing and AP reconciliation using digital tools.

  • Request: Manager or HR initiates LOA request with employee details.
  • Draft: Create LOA with billing codes, dates, and limits.
  • Authorize: Authorized signer signs electronically or by wet signature.
  • Deliver: Send to hotel and AP with confirmation and copy stored.

Common timing rules and internal deadlines for LOA processing

Establish internal submission and review timelines to avoid booking issues, missed discounts, or delayed vendor billing.

Advance submission:

Submit LOA at least 7–14 days before check-in for corporate rates.

AP coding deadline:

Provide billing codes and PO before invoice issuance to ensure correct accounting.

Dispute window:

Raise billing disputes within 30 days of invoice receipt to preserve remedies.

Expense reporting:

Employees file expense reports within company-defined window, typically 30–60 days.

Record retention:

Retain signed LOAs per corporate retention schedule and legal requirements.

Common mistakes to avoid when preparing an LOA

  • Leaving billing method or PO number blank, which causes invoice routing delays and payment errors.
  • Using ambiguous date formats that cause incorrect night counts and unexpected charges on invoices.
  • Failing to name an authorized signer, which leaves the hotel without clear billing authorization and may block direct billing.
  • Not recording contact details for dispute resolution, prolonging reconciliation and vendor follow-up.

Risks and potential consequences of an incorrect LOA

Rejected billing: Invoices declined by AP
Charge disputes: Delayed payments and reconciliations
Budget overruns: Uncontrolled incidentals
Contract breach: Vendor remedies or penalties
Privacy exposure: Improperly handled PHI risk
Tax reporting: Incorrect allocational records

Use standardized templates
Create a company-approved LOA template with required fields, PO mapping, and standard authorization language to reduce reviewer time and ensure consistency across departments.
Require clear signatory authority
Maintain an internal delegation list that identifies who may sign LOAs and their approval limits so hotels and AP teams can validate authorizations quickly.
Capture an audit trail
