Timekeeping Rules, Automation and Approvals

By selecting authorization below and signing this form, the employee authorizes electronic capture of time entries, including automatic recording and aggregation of start/stop events, where applicable. The automated system's records constitute the official time record unless a documented correction is approved by the manager designated in this form. The employer reserves the right to audit automated time records and to require supporting documentation where entries are inconsistent with expectations.

Falsification or deliberate alteration of time entries is prohibited and subject to disciplinary action up to and including termination. Overtime must be pre-approved in accordance with company policy unless exigent circumstances exist; any unapproved overtime may be adjusted or denied and may result in corrective action.

Corrections to automated entries must be submitted within five (5) business days of the pay period end. Managers are responsible for reviewing and approving reported corrections. The automated system maintains an immutable audit trail of entries, edits, and approvals.

Automation Authorization and Data Use

I authorize the employer to: capture my entered and system-recorded time electronically, integrate time data with payroll and accounting systems, and retain these records in accordance with the employer's record retention policy. I understand that records may include timestamps, device identifiers, and geolocation metadata if enabled by the employer's system. Access to this information is limited to authorized personnel for payroll, compliance, and investigatory purposes.

I hereby provide the following authorizations (check all that apply):

Audit, Corrections and Dispute Procedure

If an employee disputes an automated time entry, the employee must submit a written correction request to their manager within five (5) business days following the pay period close. The manager must review the request and either approve the correction or document the basis for denial. The automated system will record any approved corrections and the identity of the approver.

What Employee Timesheet Automation Does

Employee Timesheet Automation is a digital workflow that captures employee work hours, breaks, overtime, and project codes in a standardized electronic format. It replaces paper or spreadsheet timesheets with fillable records, automated calculations, and approval routing to payroll and HR systems. The automation typically enforces validation rules, timestamps entries, retains an audit trail for compliance, and exports payroll-ready reports. When combined with electronic signatures and secure storage, automated timesheets streamline pay calculations, reduce manual errors, and provide documented evidence for wage-and-hour audits and internal reviews.

Why automate employee timesheets

Automating timesheets improves accuracy, shortens payroll cycles, and creates consistent records that support compliance with wage-and-hour laws. Electronic workflows reduce data entry errors, speed approvals, and preserve tamper-evident audit trails that meet ESIGN and UETA requirements for enforceable electronic records.

Why automate employee timesheets

Who typically manages and completes automated timesheets

Multiple roles interact with timesheet automation: employees submit hours, supervisors review, and payroll applies the data to pay runs.

  • Payroll administrators responsible for payroll imports and reconciliation.
  • HR managers who review policy compliance and retention requirements.
  • Field supervisors who verify hours and approve exceptions.

Clear role separation reduces approval delays and ensures a reliable trail for audits and dispute resolution.

Core elements of a professional timesheet automation

A complete Employee Timesheet Automation combines accurate capture, validation, approval, integration, reporting, and secure retention so payroll and HR have consistent, auditable records.

Time capture

Clock-in/out, project and task codes, and manual entry with built-in validation to prevent overlapping or missing intervals for accurate pay calculations.

Approval workflow

Role-based routing and escalation rules let supervisors approve or reject entries, with timestamps and comments preserved in the audit trail for disputes.

Overtime & rules

Configurable overtime calculations, daily/weekly rules, and auto-detection of exceptions to align with federal and state wage-and-hour requirements.

Integrations

Push approved hours to payroll, accounting, and HRIS platforms via API or flat-file exports to avoid duplicate entry and reduce reconciliation time.

Reporting

Payroll-ready exports, project cost summaries, and compliance reports with filters for pay period, department, and labor category.

Audit trail

Immutable timestamps, IP logging, signer attribution, and version history to support internal audits and regulatory inquiries.

Simple step-by-step to complete a timesheet

Follow this sequence to capture, validate, and finalize employee hours each pay period.

  • 01
Prepare template: Confirm fields and rounding rules.
  • 02
Enter hours: Employee logs time per day.
  • 03
Send for approval: Supervisor reviews and signs electronically.
  • 04
Finalize payroll: Export approved hours to payroll system.

Typical digital workflow settings

Configure these workflow elements to match internal policies and payroll system requirements.

Field Configuration
Auto-calc hours Enable to compute totals and prevent overlaps.
Approval order Single or multi-level approvers in sequence.
Notifications Email or SMS alerts for pending approvals.
Integrations API export to payroll or HRIS.

Technical and platform considerations

Verify file formats, integrations, and authentication options before deploying an automated timesheet workflow.

  • File formats: PDF, DOCX, XLSX supported.
  • Integrations: Connectors for HRIS, payroll, and cloud storage.
  • Authentication: Email, SMS, or advanced signer verification.

Confirm SSO, API access, and data export formats to ensure the timesheet system integrates with existing payroll and recordkeeping platforms.

Where approved timesheets are sent

After approval, timesheets flow to payroll, HR records, and any project accounting systems for payment and reporting.

  • Payroll: Import approved hours into payroll engine.
  • HRIS: Update employee time and leave balances.
  • Project accounting: Allocate hours to cost centers or jobs.
  • Archive: Store signed records in secure repository.

Common timing rules and cutoffs

Establish consistent submission and approval deadlines to avoid payroll delays and maintain compliance with pay-period requirements.

Timesheet submission cutoff:

Employee submits by pay-period end.

Supervisor approval deadline:

Approve within 24–72 hours after cutoff.

Payroll upload window:

Payroll team imports hours before payroll run.

Correction window:

Allow limited edits prior to finalization.

Retention start:

Retention begins on pay-period end date.

Key milestones in the timesheet lifecycle

Track these sequential milestones from capture through payroll to ensure accurate and auditable payroll runs.

01

Time capture

Employees record hours each shift.

02

Submission

Timesheet submitted at period close.

03

Approval

Supervisor verifies and signs entries.

04

Payroll processing

Approved hours exported to payroll for pay runs.

Common mistakes to avoid

  • Inconsistent entry formats across users that break automated calculations and reporting.
  • Missing or late approvals that delay payroll and create manual reconciliation work.
  • Incorrect overtime rules or thresholds configured, leading to underpayment or compliance risk.
  • Failure to retain signed records and audit logs required for wage-and-hour inquiries.

Risks and legal penalties of incorrect timesheets

Wage-and-hour fines: Potential fines; 29 CFR §516.5
Recordkeeping violations: Civil penalties for missing records
I-9 errors: Enforcement fines; 8 CFR §274a.2
Tax reporting penalties: IRC §6721 penalties may apply
HIPAA exposure: Sanctions if PHI improperly handled
Contract disputes: Incorrect hours can trigger disputes
