Purpose: The Employee Travel Conduct Code defines mandatory standards of behavior, safety obligations, expense conduct, data protection and reporting procedures that apply whenever an employee is traveling on behalf of the company. The employee must comply with this Code in addition to all other company policies and applicable laws.

Professional Behavior and Compliance

Employees shall conduct themselves professionally while traveling and shall not engage in conduct that could harm the company’s reputation. Employees must comply with all local, national and international laws and must not engage in harassment, discrimination or retaliation while traveling. Any conduct that would violate the company’s workplace policies offsite is subject to the same disciplinary procedures as onsite conduct.

Safety, Security and Health

Employees must follow safety instructions provided by the company, including approved booking channels, seatbelt use, and emergency procedures. Employees assigned to international travel are responsible for obtaining required travel documents (visas, permits, vaccinations) and must comply with destination-specific security guidance. The employee must report lost or stolen company property and any physical injury or illness incurred during travel immediately to their manager and to Human Resources.

Alcohol, Drugs and Fitness for Duty

The use, possession or distribution of illegal drugs while traveling on company business is prohibited and will result in disciplinary action up to termination and possible referral for criminal prosecution. Employees must not consume alcohol to the extent that it impairs job performance or jeopardizes safety; employees must not operate a vehicle or heavy machinery while under the influence. The company reserves the right to require fitness-for-duty examinations where safety concerns arise.

Expense and Reimbursement Conduct

Reimbursable expenses must be reasonable, necessary and supported by itemized receipts. Employees must submit receipts for all expenses exceeding $25.00 and must not submit expenses for personal travel, entertainment for non-employees, or first-class travel upgrades without prior written authorization from an authorized approver. Unauthorized expenses are the personal responsibility of the employee and may be recovered by payroll deduction or other means consistent with law.

Use of Company Assets and Data Protection

Company equipment provided for travel must be used in accordance with company policies. Employees must secure devices and confidential information; access to sensitive systems while traveling must be via approved secure connections and multi-factor authentication. Lost or compromised devices or credentials must be reported immediately. Employees remain responsible for safeguarding proprietary information while traveling.

Incident Reporting and Cooperation

Employees must report incidents that affect safety, security, legal compliance, expense integrity or confidentiality to their manager and Human Resources within 24 hours. Employees are required to cooperate fully with internal investigations and with law enforcement when appropriate. Failure to report or to cooperate may result in disciplinary action.

Disciplinary Actions

Violations of this Code may result in corrective action up to and including termination of employment, restitution of improper expenses, suspension of travel privileges and legal action where warranted. The company will evaluate disciplinary measures on a case-by-case basis considering the severity of the violation and surrounding circumstances.
