What the Employee Vehicle Usage Agreement Covers

An Employee Vehicle Usage Agreement is a written contract between an employer and an employee that defines permitted use of a company-owned or personally owned vehicle when used for work. The agreement typically assigns responsibilities for maintenance, fuel and mileage tracking, permitted drivers, insurance requirements, accident reporting procedures, and disciplinary or reimbursement terms. It clarifies liability allocation, tax and reimbursement handling, and company policies on personal use. When executed and retained properly the agreement helps reduce ambiguity, document consent, and support insurance and compliance reviews.

Why a Clear Vehicle Policy Matters

A formal agreement reduces liability, establishes insurance and reimbursement rules, and documents employee consent. It supports payroll and tax reporting, simplifies incident response, and provides evidence for audits or claims.

Why a Clear Vehicle Policy Matters

Who Typically Prepares and Signs This Agreement

Use the agreement as part of onboarding for drivers and include it in employee personnel or fleet files for future reference.

  • Fleet managers and operations leads who oversee company vehicles and maintenance schedules.
  • Human resources professionals who manage employee eligibility, training, and disciplinary policies.
  • Employees who will drive for business duties and must acknowledge insurance and reporting rules.

Fleet Manager

Fleet Manager — Typically signs on behalf of the company to authorize vehicle assignment and certify insurance coverage; responsible for recordkeeping and enforcement of maintenance and reporting obligations.

Employee Driver

Employee — Signs to acknowledge receipt, acceptance of rules, and consent to monitoring, reimbursements, and disciplinary actions; signing creates personal duties and helps establish intent to be bound.
