What an Employee Visa Annexure Is and when it's used

An Employee Visa Annexure is an attached document that supplements an employment agreement or immigration petition by providing visa-specific details, sponsor declarations, and supporting facts about the job offer. It typically lists the employee's biographic data, passport and visa identifiers, the sponsoring employer's confirmation of job duties and wages, and any immigration‑specific assurances required by USCIS or a consulate. The annexure helps standardize information that frequently appears in petitions (for example, H, L, O, or employment‑based immigrant filings) and reduces the risk of omission when preparing government forms.

Why an Annexure matters for immigration and HR workflows

A clear annexure centralizes immigration facts and employer undertakings to support USCIS or consular submissions, reduce follow‑up requests, and document employer obligations under the visa.

Why an Annexure matters for immigration and HR workflows

Who fills out and reviews the Employee Visa Annexure

Multiple stakeholders typically prepare or review the annexure to ensure legal and operational accuracy before submission.

  • HR or Talent Acquisition — prepares employment details and confirms wage and reporting lines for the annexure.
  • Immigration Counsel — reviews legal language, ensures alignment with petition forms and consular requirements.
  • Employee / Candidate — provides passport numbers, personal contact details, and confirms start dates and job acceptance.

Routing the annexure to HR, immigration counsel, and the employee reduces errors and speeds petition assembly.

Step-by-step: completing an Employee Visa Annexure

Follow these core steps to prepare a compliant annexure and avoid common filing delays.

  • 01
Collect Data: Gather passport, visa type, and personal identifiers from the employee.
  • 02

  • 03

  • 04

  • Consulate Submission: Include with visa interview packet when required

Typical timelines and deadline considerations

Timing depends on the visa class, petition type, and whether the annexure is submitted with USCIS or consulate materials.

Attach annexure when filing petition; fees vary by form

USCIS Filing Fee Example:

Some petitions (e.g., I‑129F) list fees like $675; verify form‑specific fees

Consular Interview:

Provide signed annexure at time of interview when requested

I-9 Timing:

Employee must complete I-9 no later than start date
