Equal Opportunity: The Employer provides equal employment opportunity and does not unlawfully discriminate on the basis of race, color, religion, sex, national origin, age, disability, genetic information, veteran status, or any other protected characteristic under applicable law.

Grooming and Appearance Standards

Scope: These grooming standards apply to all employees whose duties include contact with customers, food preparation, public-facing roles, or when required for safety. The Employer reserves the right to require compliance with the standards set forth below as a condition of employment.

Uniforms and Identification: Where uniforms or name badges are required, the Employer shall provide or specify the uniform. Employee agrees to wear the authorized uniform and visible identification while on duty and to maintain items in a clean and serviceable condition. Employer-provided items remain Employer property and must be returned upon separation.

Religious and Medical Accommodations

Accommodation Requests: Employees seeking accommodation for religious practices or medical conditions that affect appearance, grooming, or uniform requirements must notify Human Resources in writing. The Employer will evaluate requests and provide reasonable accommodation unless it would impose an undue hardship or compromise safety.

Enforcement and Discipline

Compliance: The Employer will apply grooming rules uniformly and may issue corrective action, up to and including written warnings, suspension, or termination for repeated or severe noncompliance. Supervisors are authorized to address immediate safety or customer-service concerns consistent with these standards.

What an Employment Grooming Agreement Covers

An Employment Grooming Agreement is a written contract between an employer and employee that sets expectations for personal appearance, hygiene, uniforms, and grooming standards while on duty. It documents required dress codes, hair and facial hair policies, jewelry restrictions, and any industry-specific requirements such as protective clothing. The agreement clarifies disciplinary steps for noncompliance and may address religious or medical accommodations. Employers use it to promote safety, brand consistency, and client-facing professionalism while protecting individual rights and complying with applicable labor and anti-discrimination laws.

Why a Formal Grooming Agreement Matters

Use an Employment Grooming Agreement to set clear, enforceable appearance standards, reduce workplace disputes, and document accommodations. It supports consistent enforcement while helping employers meet safety and client-facing requirements without conflicting with federal anti-discrimination and labor protections.

Why a Formal Grooming Agreement Matters

Who Prepares and Signs These Agreements

Typical users who prepare or sign Employment Grooming Agreements include HR, managers, and employees in customer-facing roles.

  • Human resources professionals who draft, communicate, and enforce grooming and uniform policies.
  • Frontline managers responsible for supervising appearance standards and coordinating accommodation requests.
  • Employees in service, retail, healthcare, and hospitality roles who interact with customers regularly.

Use a signed agreement to document mutual expectations and streamline reasonable accommodation requests under federal law.

Essential Sections to Include

Core sections of an Employment Grooming Agreement define scope, standards, exceptions, enforcement, accommodations, and review processes to ensure clarity and compliance.

Scope

Describe who is covered (job classes, locations, contractors), when standards apply, and whether off-duty conduct is included. Clear scope avoids ambiguity in enforcement and appeals.

Standards

Specify acceptable uniforms, grooming, hair, facial hair, makeup, tattoos, and jewelry. Use measurable terms (length, color rules) to reduce interpretation disputes during enforcement.

Exemptions

List protected accommodations for religion, medical conditions, pregnancy, and disability. Include the process, documentation required, and timeline for requesting and reviewing exemptions to policy.

Enforcement

Outline progressive disciplinary steps for violations, investigation procedures, and appeal rights. Tie actions to documented warnings and ensure consistent application across personnel.

Safety

Note industry-specific safety requirements (PPE, hair restraints, protective footwear) and explain how grooming rules align with OSHA standards and internal safety protocols.

Review

State scheduled review frequency, responsible approvers, version control, and how updates will be communicated to employees and documented in personnel files.
