What the Employment WeWork Agreement Covers

The Employment WeWork Agreement is a written contract that sets out the working relationship between an employer and an employee who will perform work at or through a WeWork coworking location or under a WeWork-style workspace arrangement. It typically addresses start date, position and duties, compensation and benefits, workplace policies, confidentiality and IP assignment, at-will status or fixed term, and termination and notice provisions. The agreement can be executed on paper or electronically and should align with applicable employment laws, local lease or access rules for shared workspaces, and any site-specific policies.

Why a Clear Agreement Matters for Work-at-Workspace Roles

A defined Employment WeWork Agreement reduces ambiguity about responsibilities, site access, equipment use, and confidentiality when employees operate from shared office spaces. It protects employer and employee interests, clarifies payroll and benefit triggers, and documents consent to workspace-specific rules that might affect safety, data handling, or liability.

Why a Clear Agreement Matters for Work-at-Workspace Roles

Who Typically Prepares and Signs This Agreement

The Employment WeWork Agreement is used by organizations and individuals coordinating staff who will work in shared or flexible office environments.

  • HR teams managing hybrid and remote-first headcount who need consistent workspace access rules across employees.
  • Small and mid-size employers using coworking memberships to host staff or contractors temporarily.
  • Independent contractors or consultants contracted to provide services onsite at shared workspaces.

Typical Signatory Roles

Hiring Manager

The Hiring Manager signs to confirm offer terms, start date, supervisory relationships, and performance expectations. They are responsible for ensuring site access and equipment allocations comply with WeWork location policies and company standards.

Employee / Contractor

The Employee or Contractor signs to accept pay, duties, confidentiality, IP assignment, and workspace rules. Signature attests to consent to electronic records if executed electronically and to any required access or security checks.

Core Sections to Include in a Professional Agreement

A complete Employment WeWork Agreement organizes terms so they are enforceable, clear, and aligned with workplace policies and legal requirements.

Position and Duties

Define job title, essential functions, reporting line, and any site-specific tasks tied to the WeWork location, including equipment or meeting-room usage expectations.

Compensation

Specify salary, hourly rate, overtime policy, pay schedule, expense reimbursement, and linkage to benefits eligibility or coworking membership contributions.

Worksite Access

Describe badge or guest procedures, allowed hours, visitor policies, parking, and employer responsibilities for coworking membership fees or desk reservations.

Confidentiality and IP

Include non-disclosure obligations, data handling rules while on shared networks, and assignment of inventions or copyright created during employment.

Term and Termination

State effective date, term length or at-will status, notice periods, and consequences for early termination, including return of property and final pay timing.

Safety and Compliance

Address workplace safety, accommodations, harassment policy, and adherence to location-specific rules or landlord requirements affecting on-site conduct.

Step-by-Step: Completing the Agreement

Follow these sequential steps to prepare, review, and finalize the Employment WeWork Agreement.

  • 01
Prepare draft: Populate basic fields and site-specific clauses.
  • 02
Internal review: Have HR and legal check classification and benefits language.
  • 03
Employee review: Send for signature and allow time for questions.
  • 04
Execute: Collect signatures and distribute final copies to parties.

How to Configure an Online Completion Workflow

Set up a digital signing workflow that enforces authentication, field completion, and record retention before sending for signatures.

Setting Configuration
Authentication level Email + SMS code or KBA for higher assurance
Required fields Make name, date, and compensation fields mandatory
Order of signers Set employer signatory to sign after employee
Retention policy Enable audit trail and PDF export on completion

Where to Send and How Execution Is Routed

Map who receives the document at each stage so approvals, HR records, and site access requests are triggered automatically.

  • HR Review: HR receives draft for policy checks.
  • Manager Approval: Hiring manager confirms role details.
  • Employee Signature: Employee signs and returns electronically.
  • Records Storage: Final copy routed to HR and payroll.

Digital Signing and Integration Considerations

Choose a signing platform that supports secure authentication, audit trails, and integrations with HR and document storage systems.

  • Authentication: Email, SMS, KBA
  • Integrations: HRIS and cloud storage
  • Formats: PDF and DOCX supported

Key Timing and Onboarding Deadlines

Be aware of statutory and operational deadlines that relate to hiring, payroll, verification, and benefits enrollment.

Sign before start date:

Obtain a signed agreement before the employee's first day when practicable.

I-9 completion window:

Complete Section 2 within three business days of hire (employer obligation).

Benefits enrollment period:

Employees typically have 30–60 days to enroll after the effective date.

Payroll setup deadline:

Submit tax and direct deposit info before the first payroll run.

Temporary access expiry:

Set guest or temporary badge expirations if role is short-term.

Common Preparation Errors to Avoid

  • Using inconsistent job titles between offer letters and payroll records, which can create classification and benefits eligibility disputes.
  • Failing to specify the physical WeWork location and desk or membership terms, causing confusion about who pays for access.
  • Omitting IP assignment language for remote or on-site work, risking ownership disputes over developed code or content.
  • Neglecting to require signed acknowledgements of site-specific safety and confidentiality policies before granting building access.

Short Risks and Potential Penalties

I-9 Violations: Civil fines per violation
Wage Claims: Back pay and penalties
Misclassification: Tax and benefit liabilities
Data Breach: HIPAA or privacy fines
Contract Ambiguity: Litigation risk
Access Violations: Lease or landlord penalties
