Policy: Purpose & Scope

Purpose: To define permitted and prohibited use of the organization's information systems, network resources, applications, and data (collectively, Company Resources). This policy applies to all employees, contractors, temporary staff, and any other authorized users of Company Resources (Users).

Acceptable Use

Users must use Company Resources primarily for business-related activities. Acceptable use includes access to work email, authorized business applications, work-related research, and communications necessary to perform assigned duties. Limited incidental personal use is permitted so long as it does not interfere with job performance, create legal risk, consume disproportionate resources, or violate law or policy.

Prohibited Use

Prohibited activities include, but are not limited to: unauthorized access or attempts to access data or systems, transmission of harassing or obscene material, use of Company Resources for personal commercial activity, downloading or installing unapproved software, circumventing security controls, using resources to engage in illegal activity, knowingly introducing malware, or sharing account credentials.

Security, Credentials, and Passwords

Users must protect credentials, use strong passwords or approved single sign-on methods, and never share credentials. Passwords must meet complexity standards communicated by IT. Multi-factor authentication is required where enabled. Users must report suspected credential compromise immediately to IT Security.

Bring Your Own Device (BYOD) and Personal Devices

Use of personal devices to access Company Resources requires authorization and, where required, installation of approved security controls. Users consent to reasonable security scans and remote removal of Company data from personal devices upon separation or when device is lost or stolen.

Email, Communication & Social Media

Business email is subject to company oversight. Users must not send confidential or regulated data without appropriate safeguards. Social media use that identifies employment or the Company should be consistent with Company communications policy. Unapproved disclosure of confidential information is prohibited.

Data Classification and Handling

Users must handle data consistent with its classification. Confidential or regulated data requires encryption in transit and at rest, access controls, and minimum necessary disclosure. Reporting of suspected data loss or exposure is mandatory and must be made immediately upon discovery.

Monitoring, Privacy and Records

Users acknowledge that Company Resources, accounts, files, and communications on Company systems are the property of the Company and may be monitored, recorded, audited, or accessed by authorized personnel for legitimate business purposes, compliance, or security investigations, subject to applicable law.

Reporting Incidents

Users must report known or suspected security incidents, data breaches, losses, or policy violations immediately to their manager and the Security team. Timely reporting is required to preserve evidence and to meet regulatory obligations.

Disciplinary Action

Violation of this policy may result in disciplinary action up to and including termination, civil liability, and criminal prosecution where warranted. The Company will apply disciplinary measures proportionally and in accordance with employment policies and applicable law.

Legal Disclosures

At-Will Employment: Employment with the Company is at-will, unless otherwise expressly provided in a written agreement signed by an authorized Company representative. Either the employee or the Company may terminate the employment relationship at any time, with or without cause or notice, to the extent permitted by law.

Equal Opportunity: The Company provides equal employment opportunity without regard to race, color, religion, sex, national origin, age, disability, genetic information, or other characteristics protected by applicable law. The Company prohibits retaliation against any individual for reporting discrimination or participating in an investigation.

Authorization & Applicant Certification

Authorization for Background Checks: I authorize the Company to contact my previous employers and references, to obtain and review background information including criminal history, credit history where job-related and permitted by law, and to verify the information provided in this form and other application materials. I understand that any offer of employment is conditional on satisfactory completion of required checks.

Applicant Certification: I certify that all information provided on this form is true, accurate, and complete to the best of my knowledge. I understand that falsification, omission, or misrepresentation of information may result in refusal of employment or termination if employed.

What the HR Acceptable Use Policy Covers

An HR Acceptable Use Policy defines permitted and prohibited uses of employer-owned systems, devices, networks, and data by employees, contractors, and third parties. It clarifies expectations for personal device use, remote access, email, cloud storage, social media, and handling of sensitive information. The policy often includes monitoring, reporting procedures, disciplinary consequences, and an acknowledgement section for signatures or electronic confirmation to document acceptance.

Why a Clear Acceptable Use Policy Matters

A well-drafted policy reduces security incidents, protects confidential information, establishes consistent enforcement, and documents employee consent. It supports regulatory compliance and provides evidence of governance when responding to audits, investigations, or litigation.

Why a Clear Acceptable Use Policy Matters

Who Needs to Read and Acknowledge This Policy

The policy applies to all workers who access company resources — full-time staff, part-time employees, contractors, vendors, and interns.

  • Human resources and compliance teams who draft, maintain, and enforce the policy.
  • Line managers and IT administrators who implement access controls and monitor adherence.
  • All employees and contingent workers who use company devices, networks, or access protected data.

Signatures or electronic acknowledgments create a record that the individual received, reviewed, and agreed to comply with the policy terms.

Essential Elements to Include in the Policy

A professional policy balances operational detail with clear behavioral standards, technical controls, and acknowledgement procedures so employees understand obligations and consequences.

Scope

Define who and what systems are covered, including personal devices, cloud apps, and third-party access, to avoid ambiguity about applicability and enforcement.

Permitted Use

List acceptable activities such as business email, limited personal use rules, approved software, and authorized remote work practices to guide daily behavior.

Prohibited Use

Describe explicit prohibitions—unauthorized data export, sharing credentials, installing unapproved software, or bypassing security controls—to reduce risk and support disciplinary action.

Monitoring

Explain monitoring practices, scope of logging, and privacy expectations so employees know what data may be collected and under which circumstances.

Reporting & Response

Provide incident reporting steps, escalation contacts, and timelines for investigation and remediation to ensure timely handling of suspected misuse.

Acknowledgement

Include an employee signature or electronic acknowledgement block with date, version reference, and consequences for noncompliance to document acceptance.

Key Data and Security Items to Reference

Personal Data: Define protected data types
Access Control: Roles and least privilege
Device Policy: Encryption and patching
Authentication: MFA requirements
Data Transfer: Approved file-sharing methods
Incident Reporting: Who to notify

Step-by-Step: How to Finalize and Record Acknowledgments

Follow these sequential steps to prepare, approve, distribute, and record employee acknowledgements for the policy.

  • 01
Draft: Create the policy draft and include required legal or regulatory language.
  • 02
Review: Have HR, IT, and legal review for compliance and operational accuracy.
  • 03
Approve: Obtain formal sign-off from the policy owner and senior management.
  • 04
Distribute: Send for acknowledgment and retain signed records in a secure system.

Configure Your Electronic Distribution Workflow

Set up an e-sign workflow that enforces authentication, routing, and retention to create reliable, auditable acknowledgements.

Field Configuration
Signature Authentication Email link + SMS code
Routing Order HR then manager then employee
Retention Setting Archive signed copy 7 years
Notifications Automatic reminders every 7 days

Where to File and How to Route Signed Acknowledgements

Decide a single authoritative repository and define routing rules so acknowledgements are discoverable for audits and investigations.

  • Upload Policy: Store final PDF in HR document repository.
  • Add Fields: Place signature, name, and date fields on the acknowledgement page.
  • Assign Signers: List employee and required approvers in order.
  • Send & Archive: Distribute electronically and save signed copies in the repository.

Technical Considerations for Electronic Acknowledgement

Choose a platform that supports secure e-signatures, audit trails, and the file formats you use for HR records.

  • Supported Formats: PDF and DOCX
  • Integrations: HRIS and cloud storage
  • Authentication: Email, SMS, or SSO

Timelines and Deadlines to Track

Establish clear internal deadlines for distribution, employee acknowledgement, annual review, and record retention to meet compliance needs.

Acknowledgement Deadline:

Employee must sign within 30 days of hire or policy change

Annual Review:

Complete policy review at least once every 12 months

Incident Reporting Window:

Report suspected misuse within 72 hours to HR/IT

Retention of Acknowledgements:

Retain signed copies for at least 3 years

Policy Versioning:

Record version and effective date on each distribution

Common Mistakes When Preparing the Policy

  • Using vague language about permitted device use, which creates enforcement disputes and inconsistent application across teams.
  • Failing to define scope or covered systems, causing employees to misinterpret whether BYOD or contractor accounts are included.
  • Not specifying retention or location of signed acknowledgements, which complicates audits and legal holds.
  • Skipping multi-stakeholder review (IT, HR, legal) and deploying technically ineffective controls or unenforceable rules.

Risks and Potential Consequences of Noncompliance

Disciplinary Action: Progressive discipline up to termination
Regulatory Fines: Exposure under HIPAA or data-protection laws
Data Breach Liability: Civil damages and remediation costs
Operational Disruption: Loss of access or system downtime
Legal Discovery Risks: Missing acknowledgements complicate litigation
Reputational Harm: Erosion of employee and public trust

Practical Tips for Drafting and Maintaining the Policy

Use plain language, version controls, and measurable requirements to reduce interpretation disputes and support enforcement.

Keep language clear and actionable
Avoid vague directives; specify required settings, approved tools, and clear steps for reporting incidents to minimize ambiguity and support consistent enforcement.
Coordinate cross-functional reviews
Have HR, IT, legal, and privacy teams review and sign off to ensure technical feasibility, legal sufficiency, and alignment with regulatory obligations.
Use electronic workflows
Centralize distribution, reminders, and signed records in a secure repository to simplify audits and reduce administrative overhead.
Train and test regularly
Deliver role-based training on acceptable use and run periodic checks to ensure employees understand expectations and that controls are enforced.
