What the HR Assistant Editor Agreement Is

The HR Assistant Editor Agreement is a written contract that defines the scope, responsibilities, compensation, confidentiality, and ownership terms for an individual performing editorial tasks within an HR function. It clarifies whether the assistant editor is an employee, contractor, or temp resource; lists deliverables such as policy drafting, job posting edits, and internal communications; and sets performance expectations, revision limits, and confidentiality obligations related to personnel data. The agreement helps align HR leadership, legal, and the editor on workflow, intellectual property, and data handling before work begins.

Why a Formal Agreement Benefits HR and Editorial Teams

A clear written agreement reduces confusion about duties, protects confidential employee data, establishes ownership of edits and IP, and sets payment and termination terms that limit legal exposure. It also documents consent for electronic processing and data retention to support compliance.

Why a Formal Agreement Benefits HR and Editorial Teams

Who Typically Prepares and Signs This Agreement

Use signatures from authorized HR personnel and the editor; include countersignatures where required to bind parties and confirm acceptance of electronic execution.

  • HR Managers and Directors who assign policy and communications drafting responsibilities and need documented accountability.
  • External or freelance assistant editors who provide editing, proofreading, or content production services to HR teams.
  • Legal or compliance reviewers who require explicit confidentiality, IP assignment, and data handling terms before approval.

Core Provisions to Include in the Agreement

A professional agreement should be structured to address role scope, confidentiality, compensation, IP, data handling, and termination. Each provision reduces ambiguity and supports enforceability under federal e-signature laws when executed electronically.

Scope of Work

Define tasks (policy drafting, proofreading, posting) with clear deliverables, turnaround times, and revision limits to set measurable expectations.

Compensation

Specify rate model (hourly, per-piece, stipend), payment schedule, invoicing requirements, and any reimbursement policies for expenses.

Confidentiality

Include non-disclosure obligations addressing employee PII, HR investigations, and trade secrets; reference HIPAA protections if handling PHI.

Intellectual Property

State whether edits, templates, and final content are assigned to the employer and include any license-back terms for the editor.

Data Handling

Detail how personnel data will be collected, stored, accessed, and deleted; note any required BAAs for PHI.

Termination and Remedies

Set notice periods, cause-based termination rights, return-of-materials obligations, and dispute resolution preferences.
