HR Catering Rules — Purpose & Scope

Purpose: These rules establish requirements and approval procedures for catering and food service at company events to ensure health, safety, cost control, and accommodation of dietary needs. Scope: Applies to all employees, contractors, volunteers, and vendors providing food or beverage services on company premises or at company-sponsored events.

Approved Vendors, Ordering & Budget

Only vendors approved by Procurement may be used for catered events unless a written exception is granted by the Department Head. Orders must be placed with an approved vendor at least days in advance.

Requests exceeding the budget limit require written approval from the budget owner and HR prior to commitment.

Food Safety, Allergen Management & Accommodations

All food served at company events must meet applicable public health standards. Vendors must maintain current food safety certification and liability insurance. The organizer must provide an allergen notice and options for common dietary restrictions (gluten-free, nut-free, vegetarian, vegan).

I acknowledge that I have reviewed the allergen and dietary accommodation requirements and will ensure accommodations are offered when requested.

Alcohol Service

Alcohol may be served only with prior written approval of Human Resources and Risk Management. Where alcohol is permitted, vendor must provide proof of liquor liability coverage and comply with local licensing laws.

Alcohol permitted for this event:   Vendor provided liquor license on file:

Payment, Reimbursement & Recordkeeping

Payment to vendors should be made via company procurement processes. Out-of-pocket expenditures require itemized receipts and a completed expense report submitted within days of the event.

Setup, Service & Cleanup Responsibilities

The event organizer is responsible for coordinating setup, service, and cleanup with the vendor and facilities. Catering vendors must remove all food waste and service equipment unless otherwise arranged in writing.

Cancellations, No-Shows & Adjustments

Cancellations must be communicated to the vendor and Procurement within the notice period specified in the vendor agreement. The organizer is responsible for cancellation fees resulting from failure to provide required notice.

Violations and Discipline

Noncompliance with these rules may result in disciplinary action up to and including revocation of event privileges, repayment of costs, and other action consistent with company policy. Serious violations involving food safety or legal noncompliance will be handled per company disciplinary procedures.

Legal Disclosures

At-Will Employment: Nothing in this policy alters the at-will employment relationship between the employee and the company, where applicable by law. Equal Opportunity: The company provides equal employment opportunities and prohibits discrimination in all employment practices.

What the HR Catering Rules Cover

HR Catering Rules are an internal policy that standardizes how employers arrange, approve, and manage catered food for workplace events and meetings. The rules define who may authorize catering, permissible vendors and contracts, budget and expense limits, dietary accommodations and allergen controls, food safety and temperature requirements, delivery and service protocols, reimbursement procedures, and recordkeeping obligations for compliance and audits. They also clarify liability allocation, required permits or certifications, and steps for handling incidents or complaints to protect employees and minimize operational and legal risk.

Why a Written Catering Policy Matters

Consistent HR Catering Rules reduce health and allergy risks, ensure fair vendor selection, control costs, and provide clear approval and reimbursement paths. Having written procedures supports compliance with workplace safety and recordkeeping obligations and reduces disputes by setting expectations for organizers and caterers.

Why a Written Catering Policy Matters

Who Prepares and Follows These Rules

Primary audiences who prepare, approve, or follow HR Catering Rules include HR teams, office managers, facilities, event planners, and departmental budget owners.

  • HR and benefits teams enforcing dietary and accommodation policies for events
  • Office managers handling vendor selection, delivery logistics, and setup coordination
  • Finance or procurement staff approving budgets, invoices, and contract terms

Smaller teams or third-party event coordinators should follow these rules and document approvals to support auditability and expense reimbursement.

Core Elements to Include in the Policy

Essential elements of a professional HR Catering Rules document cover approvals, safety, budgeting, accommodations, vendor vetting, and recordkeeping procedures and responsibilities.

Authorization

Specify who can request and approve catering at each authorization level, including dollar thresholds and delegated approvers. Include required supporting documentation and electronic approval channels.

Budgeting

Define allowable expense categories, per-person spend caps, preferred budget codes, and procedures for overage approval. State whether gratuities and service fees are reimbursable.

Vendor Vetting

List selection criteria such as insurance, food safety certifications, references, pricing transparency, and contract terms. Require vendor insurance certificates and, where applicable, health department permits.

Dietary Accommodations

Require advance collection of dietary needs and allergy information, clear labeling of food items, and separation protocols to prevent cross-contact for severe allergens.

Food Safety

Include temperature control, delivery timing, on-site handling, and disposal procedures. Define responsibilities for receiving, storage, and incident response in case of suspected foodborne illness.

Records

Specify documentation to retain: invoices, menus, approvals, dietary logs, vendor certificates, and incident reports. State retention periods and access controls for privacy compliance.

  • Poor recordkeeping of menus, invoices, and incident reports complicates audits and lengthens dispute resolution timelines.
