Policy Overview

Purpose: Establish acceptable use standards for company-provided email, internet access, and related communication systems to protect the integrity, security, and legal interests of the organization and its employees.

Scope

This policy applies to all employees, contractors, consultants, temporaries and other personnel who use company-provided email, internet access, network resources, or bring personal devices that access company systems.

Acceptable Use

Company email and internet resources are provided primarily for business purposes. Limited personal use is permitted if it does not interfere with job performance, consume significant resources, violate any policy, or create security risk.

Prohibited Use

Prohibited activities include, but are not limited to: transmitting harassing, defamatory, obscene, discriminatory or illegal content; unauthorized distribution of confidential information; using company systems for personal commercial ventures; circumventing security controls; downloading pirated or unlicensed software.

Monitoring and Privacy

Employees should have no expectation of privacy in messages, files, logs, or activity on company systems. The employer reserves the right to monitor, access, review, intercept, and disclose communications and records for operational, security, legal, or investigative purposes.

Security and Passwords

Users must protect account credentials, use unique strong passwords, enable multifactor authentication where required, and report suspected compromise immediately. Sharing credentials with unauthorized persons is prohibited.

Email Retention and Legal Holds

Official business records in email and electronic form are subject to company retention schedules and may be placed on legal hold. Deletion or alteration of records that are under a retention requirement or legal hold is strictly prohibited.

Personal Devices and Remote Access

Access to company systems from personal devices requires prior authorization and compliance with security configuration standards. Employees must permit security management and remote wiping of corporate data on personal devices when approved for work use.

Incident Reporting

Any suspected security incident, data breach, or policy violation must be reported immediately to Information Security or Human Resources using established reporting channels.

Enforcement and Disciplinary Action

Violation of this policy may result in disciplinary action up to and including termination, civil liability, and criminal prosecution where applicable. Each incident will be reviewed on its facts and circumstances.

Exceptions and Approvals

Exceptions to this policy must be documented, justified, and approved in writing by Information Security and Human Resources prior to implementation.

What HR Email and Internet Policies Are

HR Email and Internet Policies are written employer rules that define acceptable use of company email, web access, social media, and networked resources. They clarify permitted activities, security requirements, data handling expectations, monitoring notices, and disciplinary consequences. These policies protect confidential information, reduce legal exposure, and set clear employee responsibilities for acceptable online conduct during and outside work hours when using corporate systems, devices, or accounts.

Why a Clear Policy Matters for HR

A concise email and internet policy reduces security incidents, supports regulatory compliance, and makes enforcement consistent. It protects proprietary data, limits liability from misuse, and documents employer expectations to reduce disputes about appropriate conduct with corporate systems.

Why a Clear Policy Matters for HR

Who Drafts, Reviews, and Acknowledges These Policies

Use a cross-functional team to create and approve the policy so legal, IT, and HR perspectives are aligned before distribution.

Maintain a revision log and require signed acknowledgments for new hires and when substantive policy changes occur.

Primary Roles That Sign or Approve

HR Manager

Responsible for finalizing policy text, coordinating distribution, recording acknowledgments, and ensuring training. HR Managers maintain the official policy version and handle disciplinary procedures tied to violations.

IT Director

Defines technical measures (access controls, monitoring, encryption), approves logging and retention practices, and advises on electronic acknowledgement workflows and authentication requirements.

Core Elements to Include in Your Policy

A complete HR Email and Internet Policy should be concise, legally aware, and practically enforceable. Include sections that cover permissible use, privacy expectations, security controls, monitoring, consequences, and amendment procedures.

Permitted Use

Define business use vs personal use, acceptable external communications, and rules for social media, personal devices, and remote access.

Privacy & Monitoring

Explain that employer systems may be monitored, how monitoring is performed, and limitations on privacy expectations for corporate accounts.

Data Protection

Specify handling of confidential, PII, and regulated data; encryption requirements and prohibited transmission channels.

Authentication & Access

State password management, multi-factor requirements, account sharing prohibition, and procedures for lost or compromised credentials.

Consequences

List progressive disciplinary actions for violations and circumstances that may trigger immediate termination or legal referral.

Acknowledgment & Updates

Require written or electronic acknowledgment of the policy and describe how updates will be communicated and documented.

How to Put the Policy in Place

Follow a short implementation sequence to adopt the policy and collect employee acknowledgments efficiently.

  • 01
Draft: Draft policy text with legal and IT input.
  • 02
Review: Obtain legal and management approval before distribution.
  • 03
Distribute: Share via company LMS, email, or eSignature platform.
  • 04
Acknowledge: Collect signed acknowledgments and retain audit logs.

Typical Digital Acknowledgment Workflow

Use an electronic workflow to distribute, collect, and store signed policy acknowledgments while preserving an audit trail.

  • Upload: Upload the policy document to your eSignature system.
  • Place Fields: Add signature, name, and date fields for each recipient.
  • Send: Send unique signing links or bulk invites to employees.
  • Store: Store signed copies and capture the completion certificate.

Typical Configuration Settings for Electronic Acknowledgment

Recommended settings reduce friction and improve legal reliability when collecting electronic acknowledgments.

Field Configuration
Authentication Email link or SMS code for signer verification
Signing Order Parallel for large groups; sequential for managerial approvals
Reminders Automated reminder cadence (e.g., 3 reminders, 7-day intervals)
Audit Trail Enable IP, timestamp, and action logging

Platform and File Requirements for eAcknowledgments

Choose a platform that supports your security, retention, and integration needs before sending policy acknowledgments.

  • File Formats: PDF, DOCX supported
  • Integrations: Salesforce, Microsoft 365, Google Workspace
  • Authentication: Email, SMS, or advanced MFA

Confirm the platform keeps a tamper-evident signed PDF and a searchable audit trail to support compliance and HR recordkeeping.

Common Mistakes When Preparing These Policies

  • Using ambiguous language about monitoring and privacy that leaves interpretations open to dispute and weakens enforcement.
  • Failing to coordinate with IT on technical controls, which can create gaps between written policy and actual system settings.
  • Not documenting employee acknowledgments or using weak verification methods that undermine evidentiary value in disputes.
  • Overly broad prohibitions that are unenforceable or conflict with state labor laws and protected activity.

Practical Tips to Make the Policy Effective

Adopt clear language, train managers, and use electronic acknowledgments to create an enforceable, auditable record.

Keep Language Clear and Specific
Avoid vague terms. Define examples of prohibited acts, acceptable personal use limits, and the scope of monitoring to reduce misunderstandings and legal risk.
Coordinate with IT and Legal
Ensure technical controls reflect policy statements, retention schedules comply with regulators, and disciplinary procedures align with employment laws.
Require Timely Acknowledgment
Collect signed or electronic acknowledgments at hire and after major updates; retain audit certificates and signed PDFs for the retention period.
Train and Reinforce
Use short, role-specific training and periodic reminders; document completion rates to demonstrate reasonable efforts to communicate policy.

Key Dates and Timing Considerations

Track distribution, acknowledgment deadlines, and statutory reporting dates tied to employment and benefits paperwork.

Set a clear date for employee receipt and start acknowledgment window

Acknowledgment Due Date:

Recommend 14–30 days after distribution for completion

W-2 to Employee:

Jan 31 is the deadline for providing W-2 forms to employees

I-9 Retention Rule:

Retain I-9s per 8 CFR §274a.2 retention schedule

HIPAA Record Retention:

Maintain required records for 6 years per 45 CFR §164.530(j)
