HR EQUIPMENT SUPPORT POLICY

Purpose

This Equipment Support Policy establishes requirements, responsibilities, and procedures for assignment, maintenance, support, and return of company-owned equipment issued to employees. The policy applies to all employees, contractors, and temporary staff granted access to corporate equipment and services.

Scope and Definitions

This policy covers hardware, peripherals, and authorized software maintained by IT Services. Defined terms used in this policy include "Equipment" (company-owned laptops, desktops, mobile devices, monitors, docking stations, and peripherals), "User" (employee or contractor assigned Equipment), and "Support" (diagnosis, repair, configuration, and approved replacement).

Personal Information

Position Information

Equipment Assignment Record

Equipment assigned to the User will be recorded below. All assigned Equipment remains company property and is subject to inventory and inspection.

Support Levels and Response Times

Support is provided according to priority tiers. Emergency critical failures affecting business continuity will receive highest priority. Non-critical requests will be handled in normal business timelines. All response times are target goals and may vary based on workload and resource availability.

Request Procedure

To request support, Users must submit an Equipment Support Request providing a clear description of the issue, device identifiers, and contact availability. Emergency issues must be reported by phone to the support desk and followed up with a written request.

Employee Responsibilities

Employees must take reasonable care of assigned Equipment, follow security procedures, and report loss, theft, or damage immediately. Employees are prohibited from installing unauthorized software or performing unauthorized repairs.

IT Responsibilities

IT Services will maintain inventory records, perform authorized repairs or replacements, and ensure that company standards for security and licensing are enforced. IT will document all service requests and outcomes in the ticketing system.

Loss, Damage, and Cost Recovery

Users may be financially responsible for loss or damage resulting from negligence or unauthorized actions. The company may recover costs through payroll deduction, invoice, or other lawful means after notice. Damaged equipment will be assessed and a determination made regarding repair versus replacement.

Return of Equipment

Equipment must be returned in good working order upon termination of employment or upon request. Failure to return Equipment may result in cost recovery and withholding of final payments as permitted by law.

Security and Data Handling

Users must protect corporate data stored on Equipment by using approved encryption, secure passwords, and following data-handling procedures. Prior to return, Users must coordinate with IT to ensure data is preserved or securely removed per retention policy.

Inventory and Audit

IT will maintain an inventory of all Equipment. Periodic audits will be conducted. Users must cooperate with audits and provide Equipment for inspection upon request.

Exceptions and Amendments

Exceptions to this policy require written approval by HR and IT management. The company reserves the right to amend this policy and will provide notice of substantive changes.

What the HR Equipment Support Policy Covers

An HR Equipment Support Policy documents how the employer issues, maintains, and reclaims company-owned devices and accessories, including laptops, mobile phones, tablets, monitors, and peripherals. It sets eligibility, acceptable use, support procedures, damage and loss responsibility, replacement timelines, and end-of-employment return rules. The policy also explains roles for HR, IT, and managers, defines tracking and inventory expectations, and outlines data-handling steps for device reassignment or decommissioning to reduce security and compliance risk.

Why a Clear Policy Matters and Legal Foundations

A clear HR Equipment Support Policy reduces operational friction, clarifies financial responsibility, and helps protect data. For electronic execution, the policy and acknowledgments are enforceable under the federal ESIGN Act (15 U.S.C. ch. 96) and state UETA statutes where adopted, provided intent, consent, attribution, and retention requirements are met.

Why a Clear Policy Matters and Legal Foundations

Who Uses and Signs This Policy

Primary users are HR and IT teams that create, deliver, and track equipment assignments, plus managers who authorize issuance.

  • HR administrators responsible for issuing devices, tracking inventory, and maintaining the policy document.
  • IT support staff handling configuration, asset tagging, device wiping, and repair or replacement workflows.
  • Line managers authorizing equipment requests and confirming returns during transitions or role changes.

Employees and contractors acknowledge receipt and acceptance; third parties (leasing firms, service vendors) follow separate contractual processes.

Essential Sections to Include in the Policy

A professional policy organizes expectations and procedures so staff and contractors understand eligibility, support levels, and liabilities. Include inventory rules, issue and return processes, maintenance and repair steps, security controls, and escalation pathways.

Scope

Define which devices and accessories the policy covers, distinguishing personally owned equipment from company property and clarifying whether peripherals and software licenses are included.

Eligibility

Specify which roles or employment statuses qualify for issued equipment, any approval thresholds, and rules for temporary assignments or contractors.

Inventory

Describe tagging, inventory system entries, serial number capture, and periodic audits to maintain accurate asset records and support recovery at termination.

Support Process

Document how to request repairs, expected service-level timelines, approved vendors, warranty handling, and when equipment is replaced versus repaired.

Return & Recovery

Outline return timelines, condition assessment, data sanitization procedures, potential deductions for damage or loss, and steps for reissuing or redeploying equipment.

Liability

Set rules for employee responsibility, permissible personal use, reimbursement amounts, and any payroll deduction mechanisms for lost or damaged devices.

Step-by-Step: Issuing and Recording Equipment

Follow these steps to issue equipment, capture required details, and notify the right teams to enable support and tracking.

  • 01
Request Approval: Manager submits an equipment request and justification for HR and IT approval.
  • 02
Prepare Device: IT configures device, installs required software, tags the asset, and updates inventory.
  • 03
Complete Form: HR or IT fills the policy form, records serial number, and logs the issue date.
  • 04
Acknowledgment: Employee signs the policy electronically and receives a copy for their records.

Configuring Digital Workflows for the Policy

Set up routing, authentication, reminders, and storage to streamline issuance and returns while preserving audit evidence.

Field Configuration
Recipient Routing HR then IT for signature order
Authentication Email plus optional SMS code for higher assurance
Auto Reminders Three reminders spaced seven days apart
Storage Location Encrypted document repository with versioning

Where to Send the Completed Policy and How It Flows

After signing, route the finalized policy to HR records and the IT asset management system so both teams retain a copy and the audit trail.

  • Prepare Form: HR populates employee and asset details then attaches supporting receipts.
  • Assign Signers: Set signer order: employee, manager, HR, and optional IT acknowledgement.
  • Sign & Acknowledge: Signers execute the form; the system captures timestamps and authentication metadata.
  • File Record: Final PDF and audit trail saved to encrypted HR and IT storage.

Technical and Integration Considerations

Choose a platform that supports secure e-signatures, audit trails, and integrations with HRIS and asset management systems.

  • File Formats: PDF and DOCX supported
  • Integrations: HRIS, ITAM, and cloud storage
  • Auth Options: Email, SMS, and SSO

Timelines, Deadlines, and Processing Expectations

Set clear timeframes for issuance, repair, return, and audit checks so staff understand service levels and obligations.

Issue on Hire:

Equip employees within standard onboarding window, typically five business days after start.

Return on Termination:

Collect devices at separation or within three business days of last day.

Inventory Audit:

Annual or semiannual audits reconcile assets and serial numbers.

Repair SLA:

Standard repairs resolved within five to ten business days depending on warranty.

Reassignment Wait:

Retain returned device for inspection and sanitization before redeployment.

Common Mistakes to Avoid When Preparing the Policy

  • Not recording serial numbers at issuance, which prevents accurate recovery and warranty claims and complicates audits.
  • Allowing informal verbal approvals rather than documented manager authorization, creating disputes over responsibility for damage or loss.
  • Failing to define acceptable personal use and data handling, increasing risk of data leakage and inconsistent disciplinary actions.
  • Using inconsistent return procedures for resignations versus terminations, leading to delayed recovery and untracked inventory losses.

Consequences of an Incorrect or Missing Policy

Data Breach Liability: Regulatory fines possible
Payroll Deductions: Disputed recoveries risk litigation
Warranty Loss: Unrecorded assets void claims
Operational Downtime: Delayed replacements reduce productivity
Privacy Violations: HIPAA or state fines
Reputational Harm: Employee trust erosion

Practical Examples from Organizations Using Digital Acknowledgments

Organizations use digital forms and eSignatures to shorten issuance cycles, maintain audit trails, and support remote employees while preserving compliance.

Martin Properties (Real Estate)

A small property firm standardized online equipment issuance to support remote staff and reduce delays.

  • Adoption cut turnaround times for device setup and returns.
  • "I can process and execute all of these documents online with 100% compliance and built-in security," said Tim Martin, founder, describing faster, compliant handling of assets.

Fertility Centers (Healthcare)

A healthcare provider digitized device acknowledgments with added privacy safeguards.

  • They included a HIPAA BAA and restricted access controls.
  • John Butler, founder, noted that strong compliance and responsive support simplified audits while protecting patient data during device refresh cycles.

Practical Tips for Accurate and Efficient Completion

Adopt consistent templates, integrate with HRIS/ITAM, and require electronic acknowledgments to reduce manual errors and improve auditability.

Maintain Central Inventory
Keep a single source of truth for asset records integrated with HR and IT to avoid duplication and to enable rapid reconciliation during audits and separations.
Standardize Configurations
Use predefined device images and approved software lists so repairs, replacements, and redeployments are faster and reduce security variance across devices.
Automate Notifications
Enable automatic reminders for returns, scheduled maintenance, and warranty expirations to reduce lost assets and unexpected downtime.
Document Liability Rules
Clearly state damage thresholds, replacement costs, and payroll deduction procedures so employees understand financial responsibility before signing.

Who Can Authorize or Sign the Policy

HR Director
