What the HR Facilities Manager Agreement Covers

An HR Facilities Manager Agreement is a written contract that defines responsibilities, access rights, and deliverables between an employer and the person or vendor who manages physical workplace facilities on behalf of HR. Typical topics include facility access for recruitment and interviews, workspace setup and ADA accommodations, vendor coordination, security and key custody, maintenance scheduling, and reporting obligations. The agreement clarifies liability, insurance expectations, performance standards, and termination procedures so both parties understand operational boundaries and escalation paths during employment or contractor engagements.

Why a Formal Agreement Matters

A written HR Facilities Manager Agreement reduces operational ambiguity, assigns specific responsibilities, and documents safety and compliance expectations for workplace management.

Why a Formal Agreement Matters

Who Typically Prepares and Signs This Agreement

Common users include HR leaders, facilities managers, operations teams, and legal or procurement staff who need explicit operational and compliance terms.

  • HR managers coordinating candidate flows, onboarding spaces, and accommodation requests across locations.
  • Facilities managers or vendors contracted to handle maintenance, security access, and vendor relationships.
  • Legal, procurement, or risk teams reviewing indemnity, insurance, and termination terms before execution.

Use this agreement when assigning permanent or interim facilities responsibilities, engaging a third-party manager, or updating internal role boundaries.

How to Complete the Agreement — Step by Step

A concise sequential approach helps ensure all parties understand obligations and the document is fully enforceable.

  • 01
Prepare draft: Populate parties, scope, dates, and payment or cost allocation terms.
  • 02
Review internally: Have HR, facilities, and legal review for compliance and risk.
  • 03
Negotiate: Clarify duties, service levels, and insurance with the manager or vendor.
  • 04
Execute: Sign with authorized representatives and retain final copies for recordkeeping.
