What an HR Intern Agreement Covers

An HR Intern Agreement is a written contract that sets the expectations, responsibilities, and terms governing an internship placement. It typically outlines the intern's role, schedule, duration, supervision, compensation or academic credit arrangements, confidentiality and intellectual property provisions, training objectives, and termination conditions. The agreement clarifies who provides oversight, whether the position is paid or unpaid, and any workplace policies that apply. Employers and educational partners use this document to reduce ambiguity, support compliance with wage and labor laws, and document the relationship for both human resources and risk management purposes.

Why a Clear Internship Agreement Matters

A documented HR Intern Agreement reduces disputes, sets legal expectations, and supports compliance with wage and labor rules while preserving training objectives and institutional relationships.

Why a Clear Internship Agreement Matters

Who Prepares and Relies on This Agreement

Typical users draft, review, and sign HR Intern Agreements to manage intake, compliance, and performance monitoring.

  • HR managers and talent acquisition teams handling onboarding, records, and policy application for interns.
  • Hiring managers and supervisors who define tasks, mentorship plans, and performance milestones.
  • University career services or academic coordinators managing credit arrangements and learning objectives.

Clear role assignments streamline onboarding, set supervision requirements, and help convert strong interns to permanent hires when appropriate.

Common Signers and Their Roles

HR Manager

Human resources professionals prepare the agreement, confirm classification and compensation, ensure required forms (I-9) are completed, and retain the record according to company retention policy and applicable law.

Intern / Student

The intern (or the intern's legal guardian, if a minor) signs to acknowledge duties, schedules, confidentiality, and any academic credit arrangements; signature binds the intern to the document's obligations.

Step-by-Step: Completing the HR Intern Agreement

Follow a structured sequence to prepare, review, and finalize the agreement for each intern.

  • 01
Draft Terms: Populate role, schedule, and compensation fields with accurate details.
  • 02
Verify Classification: Confirm paid vs. unpaid status against federal and state wage rules.
  • 03
Collect Forms: Complete W-4 and I-9 where applicable within required timeframes.
  • 04
Sign and Store: Obtain signatures, retain the executed agreement, and provide copies to the intern and HR file.
