What an HR Temporary Letter Is and When Organizations Use It

An HR Temporary Letter is a formal, written notice issued by an employer to confirm a temporary employment arrangement, assignment, or status change for an employee or contractor. Typical uses include short-term hires, temp-to-perm placements, secondments, seasonal assignments, or interim role confirmations. The letter summarizes role title, start and end dates, pay rate or stipend, reporting manager, essential duties, and any special conditions such as benefits eligibility or background-check contingencies. Employers use this document to create a clear, written record that supports payroll, benefits, and compliance workflows.

Why a Clear HR Temporary Letter Matters

A well-drafted HR Temporary Letter reduces misunderstandings about term length, pay, and responsibilities; supports payroll and tax reporting; and serves as documentation for audits or compliance reviews.

Recipients include the temporary employee, payroll, benefits administrators, and any contracting third parties that require a written employment record.

  • HR teams handling onboarding, payroll coordination, and benefits eligibility verification.
  • Hiring managers creating role-specific terms and supervising temporary assignments.
  • Staffing agencies or third-party employers-of-record issuing assignment confirmation to clients and workers.
