What the Instructor Release Form Is and when it’s used

An Instructor Release Form is a written agreement used to record an instructor's permissions, responsibilities, and limited waivers when providing training, classes, or recorded instruction. It commonly covers consent to record sessions, assignment or license of intellectual property created during instruction, use of name or likeness, and limited liability releases for incidental injury or damage. The form clarifies whether the instructor retains copyright or transfers rights, whether compensation or credit is due, the effective period for permissions, and the governing law for disputes, reducing ambiguity for organizers and participants.

Why organizations and instructors use this form

A clear Instructor Release Form protects both parties by documenting consent for recordings, usage rights, and liability allocation. It reduces later disputes over ownership, distribution, and compensation, and supports lawful reuse of training materials while preserving evidence of agreed terms.

Why organizations and instructors use this form

Typical users and roles for this document

Different stakeholders use the same form with minor customizations for scope, compensation, and IP assignment to match the educational or commercial context.

  • Educational institutions and departments — faculty, adjuncts, or visiting instructors providing curriculum or recorded lectures.
  • Fitness and workshop providers — independent instructors who lead classes or produce instructional videos for customers.
  • Employers and corporate trainers — internal or external trainers who develop proprietary course materials.

Who should sign and why

Instructor

The individual delivering instruction must sign to confirm consent to recording, any IP assignment or license terms, and acknowledgment of any limited liability waiver. Accurate identification ensures enforceability and supports attribution.

Organization Representative

An authorized official from the hiring or hosting organization signs to accept the instructor's consent, confirm compensation or credit terms, and record who has rights to distribute or archive the instructional materials.

Core components to include in a professional release

Scope of Release

Intellectual Property

Terms specifying whether the instructor assigns copyright, grants an exclusive or nonexclusive license, and whether moral rights are waived or retained.

Compensation and Credit

Payment amount, schedule, or statement of no compensation; and whether the instructor receives attribution, credit lines, or other nonmonetary consideration.

Liability and Indemnity

Any liability waivers, disclaimers of warranties, and mutual indemnities that allocate risk for content, injuries, or third-party claims arising from instruction.

Duration and Governing Law

Effective date, termination or renewal conditions, and the state law that governs interpretation and dispute resolution clauses.
