What an Intern Employment Contract Is and When It’s Used

An Intern Employment Contract is a written agreement that sets the terms and conditions for an internship relationship between an organization and an intern. It defines the position description, duration, compensation (if any), work schedule, reporting structure, confidentiality, intellectual property assignment, and termination rights. The contract also clarifies whether the internship is paid or unpaid and states compliance expectations for tax reporting, labor law (including FLSA considerations), and immigration verification when applicable. Well-written contracts reduce disputes and support consistent onboarding practices.

Why a Clear Intern Employment Contract Matters

A precise contract protects both parties by documenting duties, compensation, and timelines, lowering legal and administrative risk while aligning expectations for performance and supervision.

Why a Clear Intern Employment Contract Matters

Who Typically Prepares and Signs an Intern Employment Contract

Interns themselves must review and sign; authorized company representatives (HR director, hiring manager, or designated officer) complete the employer signature to validate the agreement.

  • Human resources teams — prepare standardized templates and retain executed agreements for personnel records.
  • Hiring managers — tailor duties, supervision, and project scope for the intern position.
  • Legal or compliance — review IP assignment, confidentiality, and any industry-specific clauses.

Step-by-Step: Filling Out the Contract

Follow this sequence to complete, review, and store the agreement correctly.

  • 01
    1. Populate core terms: Enter names, dates, duties, and compensation before routing.
  • 02
    2. Include required clauses: Add confidentiality, IP assignment, and termination provisions.
  • 03
    3. Obtain signatures: Route to intern first, then authorized employer signer with authentication.
  • 04
    4. File and retain: Store executed copy in personnel file and payroll system.

Configuring an Online Completion Workflow

When preparing a digital template, set field behavior and signer order to match your onboarding process.

Field Configuration
Signature Authentication Email link or SMS code; use stronger auth for sensitive roles
Conditional Fields Show compensation section only if 'Paid' is selected
Templates Save reusable template for recurring intern offers
Storage Rule Auto-save to HRIS and secure document storage

Where to Send the Completed Intern Contract

Routes depend on whether you use paper, in-person signing, or an eSignature workflow; follow internal retention and payroll steps.

  • To the Intern: Provide signed copy to the intern for their records.
  • Human Resources: Store executed contract in the employee personnel file.
  • Payroll: Send compensation details to payroll before first pay period.
  • Hiring Manager: Share duties, start date, and supervision notes for onboarding.

  • File Formats: PDF, DOCX accepted
  • Integrations: Works with HRIS and cloud storage
  • Security: TLS, AES-256 encryption
