What the Ministry Internship Agreement Is

A Ministry Internship Agreement is a written contract that defines the relationship between a faith-based organization and an intern engaged in ministry-related activities. It sets out roles, supervision, learning objectives, duration, compensation or stipend terms, confidentiality, and any background check or credentialing requirements. The document clarifies expectations for both the ministry and the intern, helps manage liability, and serves as the operative record for terms the parties have agreed to in writing.

Why a Clear Agreement Matters

A written agreement protects the ministry and the intern by documenting responsibilities, safety protocols, and reporting lines while supporting legal and regulatory compliance.

Why a Clear Agreement Matters

Primary users and stakeholders

The agreement helps each stakeholder understand obligations, reporting pathways, and liability mitigation steps before ministry work begins.

  • Ministry leaders and pastors who approve placement and supervise ministry duties and pastoral boundaries.
  • Volunteer coordinators or HR who handle screening, background checks, and onboarding logistics for interns.
  • Interns and their parents/guardians when under 18 — they need clear terms on duties, supervision, and safety.

Who signs and why

Ministry Representative

A senior staff member or board designee signs for the organization. Their signature confirms supervisory structure, insurance coverage statements, and the ministry's commitment to training and oversight.

Intern or Guardian

The intern (or parent/guardian if the intern is a minor) signs to confirm acceptance of duties, agree to policies such as confidentiality and child protection, and acknowledge any required screening or clearance procedures.

Core elements to include in a professional agreement

A robust Ministry Internship Agreement combines operational details with legal protections and educational objectives to make expectations and responsibilities explicit.

Parties

Identify the ministry entity by legal name and the intern by full legal name; include addresses and contact information to ensure accurate identification and service of notices.

Term & Schedule

Specify start and end dates, weekly hours, any probation or evaluation periods, and procedures for extensions or early termination to avoid misunderstandings.

Duties & Learning Goals

List primary responsibilities, supervision arrangements, training or mentorship components, and measurable learning objectives or deliverables the internship will provide.

Compensation

State whether the role is unpaid, stipend-based, or paid wage; include payment schedule, expense reimbursement policy, and any tax reporting obligations.

Conduct & Safety

Include background-check requirements, child protection rules, confidentiality provisions, and health and safety policies applicable to ministry settings.

Legal Terms

Governing law, dispute resolution, intellectual property assignment (if relevant), insurance and indemnity clauses, and signature blocks complete the contract.

Information the agreement should record

Intern Name: Full legal name
Intern Contact: Address, phone, email
Ministry Entity: Legal organization name
Supervisor: Primary contact person
Term Dates: Start and end dates
Compensation: Stipend, unpaid, or wage

  • To Guardian: Route to guardian if the intern is a minor.
  • To Supervisor: Supervisor signs to confirm role and oversight.

Common mistakes to avoid

  • Vague duty descriptions that create scope creep and unclear supervision, increasing liability and operational friction.
  • Failing to document guardian consent for minors, which can invalidate agreements or expose the ministry to legal risk.
  • Not specifying compensation terms clearly, leading to disagreements over stipends, reimbursements, or employment classification.
  • Skipping background checks or not recording completion dates, undermining child protection policies and regulatory compliance.

Consequences of incorrect or missing provisions

Employment Misclassification: Fines, back pay obligations
Child Protection Violations: Civil liability, reputational harm
Tax Reporting Errors: Penalties under IRC §6721
Contract Disputes: Litigation costs and counsel fees
Data Breach: HIPAA or state privacy liability
Invalid Signatures: Enforceability challenges in court

Real-world examples and common scenarios

Sample scenarios show how agreements are adapted for typical ministry internship placements.

Local Church Internship

A small congregation offers a summer worship intern position with a $400 monthly stipend

  • Background check completed prior to start
  • The agreement spells out worship duties, mentorship meetings twice weekly, and a final presentation requirement for accountability and assessment.

Healthcare Chaplain Placement

A hospital partners with a seminary to place an intern in clinical chaplaincy

  • HIPAA training required pre-start
  • Agreement includes a BAA clause, supervision structure, on-call expectations, and documentation responsibilities consistent with hospital policy.
