What an Off-Campus Student Agreement Covers

An Off-Campus Student Agreement is a written contract that sets expectations, responsibilities, and safety requirements for a student participating in activities outside campus control, such as internships, study abroad, clinical placements, or remote research. It identifies the parties, effective dates, scope of activities, supervision arrangements, required insurance or immunizations, confidentiality or FERPA expectations, and dispute-resolution or termination procedures. The agreement helps institutions and host organizations allocate liability, document consent, and create a clear record of duties before the student departs campus or begins off-site work.

Why a Formal Agreement Matters for Off-Campus Activities

A written agreement reduces ambiguity, documents informed consent, assigns risk and insurance obligations, and supports compliance with FERPA, institutional policy, and applicable state or federal rules. It also creates a durable record for audits, student accommodations, and incident response.

Why a Formal Agreement Matters for Off-Campus Activities

Who completes and signs an Off-Campus Student Agreement

Multiple parties typically participate in preparing and approving an Off-Campus Student Agreement; responsibilities vary by program and institution.

  • Students — Complete personal information, emergency contacts, health disclosures, and signature to indicate consent and acceptance of terms.
  • University administrators — Verify insurance, approve placements, ensure FERPA and institutional policy compliance, and retain a copy for records.
  • Host organizations — Confirm supervision, safety protocols, liability insurance coverage, and any job-specific requirements before accepting the student.

The signed agreement should be retained by the institution and host organization, with copies provided to the student and relevant departmental staff.
