Tuition is billed in advance and is due in accordance with the payment plan selected. Tuition payments are non-refundable for absences, vacations, or illness except as expressly provided in the preschool's enrollment policies. Late payments are subject to a late fee as set by the preschool.

Withdrawal requires written notice at least 30 days prior to the last date of attendance. The preschool reserves the right to suspend or terminate enrollment for nonpayment, failure to comply with health or safety requirements, or behavior that endangers the health or safety of other children or staff.

In the event of a medical emergency, and if the parent/guardian cannot be reached, the preschool is authorized to seek emergency medical treatment for the child and to arrange transportation to the nearest medical facility. Costs of emergency medical care are the responsibility of the parent/guardian.

What a Preschool Enrollment Letter Is and When It’s Used

A Preschool Enrollment Letter is a formal written notification from a parent or guardian to a preschool program confirming a child’s intent to enroll, providing required student data, and documenting consent for routine care and school policies. It typically includes the child’s legal name, date of birth, contact and emergency information, immunization or exemption statements, requested start date, and any special care instructions. Programs use the letter to reserve placement, initiate records checks, and trigger onboarding steps such as orientation, fee invoicing, and documentation review.

Why a Clear Enrollment Letter Matters

A well-prepared Preschool Enrollment Letter accelerates placement decisions, reduces back-and-forth with administrators, and ensures required health and consent information is captured accurately for licensing and child-safety compliance.

Why a Clear Enrollment Letter Matters

Who Typically Prepares and Receives This Letter

Parents or legal guardians prepare the letter; preschool administrators and admissions staff receive and process it.

  • Parent or Guardian — Submits the letter to accept an offered place and provide health and emergency contact details.
  • Preschool Admissions — Reviews student eligibility, confirms enrollment, and starts required onboarding and billing steps.
  • Health Records Clerk — Verifies immunizations, exemptions, and any required medical authorizations for care.

The letter creates a written record of intent that programs rely on for placement, compliance checks, and scheduling.

Typical Signers and Their Roles

Parent / Guardian

A parent or legal guardian signs to confirm enrollment, provide emergency contacts, and authorize routine care. Their signature establishes parental consent for everyday activities and acknowledges school policies; mismatched names or incomplete data can delay acceptance.

Program Administrator

An authorized admissions or administrative staff member signs to acknowledge receipt and acceptance of the enrollment letter, confirms placement details, and records next steps such as deposit, orientation, and documentation requirements.

Step-by-Step: Submitting a Preschool Enrollment Letter

Follow these steps to ensure the letter is complete and accepted by the preschool.

  • 01
Gather documents: Collect birth certificate, immunization record, and ID.
  • 02
Fill the letter: Enter all requested fields in MM/DD/YYYY format where applicable.
  • 03
Attach supporting files: Include scanned immunization and custody documents if needed.
  • 04
Send to program: Submit by the program’s accepted method and retain a copy.

Typical Processing Flow After Submission

After the preschool receives the letter it follows a standard review and onboarding sequence to confirm placement and compliance.

  • Intake: Staff logs the letter and verifies contact information.
  • Health review: Immunization and medical needs are verified against policy.
  • Placement: Available class and start date are confirmed and communicated.
  • Onboarding: Invoices, orientation, and required forms are issued to the family.

Essential Elements to Include in a Professional Enrollment Letter

Ensure the letter contains clear, verifiable data and explicit consents to avoid processing delays and compliance issues.

Child Identity

Legal name, preferred name if applicable, and date of birth. These items must match official records used for licensing and attendance.

Parent Contact

Full name, address, primary phone, and email for the parent or guardian who will handle billing and communications.

Start Date

Requested first day of attendance and preferred schedule (days/times) to allow placement planning and staffing.

Consent and Signatures

Parental signature acknowledging program policies, photo release choices, emergency medical authorization, and fee agreement where required.

Data Elements Commonly Required

Child Name: Full legal name
Birth Date: MM/DD/YYYY format
Parent Contact: Phone and email
Emergency Contacts: Two names and numbers
Immunizations: Status or attached records
Allergies: List and treatment notes

Common Preparation Mistakes to Avoid

  • Incomplete emergency contacts or outdated phone numbers cause delays in confirming placement and create safety risks during drop-off.
  • Mismatched names between the enrollment letter and official documents can trigger additional verification, delaying start dates.
  • Failure to attach immunization records or exemption documentation may result in temporary exclusion per state licensing rules.
  • Unsigned or undated letters are often treated as incomplete and can be rejected by admissions staff.

Consequences of Incorrect or Incomplete Letters

Placement Delay: May lose reserved spot
Service Refusal: Exclusion until records are complete
Billing Errors: Incorrect family billed or missed invoices
Privacy Breach: Improperly handled health data increases risk
Regulatory Noncompliance: Licensing violations for missing documentation
Liability Concerns: Ambiguous consents can create legal exposure
