What a Private School Enrollment Agreement Covers

A Private School Enrollment Agreement is a written contract between a private educational institution and a student’s parent or legal guardian that records enrollment terms, tuition and fees, payment schedules, required records (immunizations, transcripts), behavioral expectations, and conditions for withdrawal or dismissal. The agreement allocates responsibilities for payment, consent to school policies, emergency care and medical releases, and authorizes release or sharing of education or health records where permitted. It creates enforceable obligations for both the school and the enrolling family and typically includes signature blocks and effective dates.

Why a Formal Enrollment Agreement Matters

A clear written enrollment agreement reduces misunderstandings about tuition, services, and school obligations; documents consent for record sharing and medical care; and provides a baseline for dispute resolution and enforcement under contract law and applicable education privacy statutes.

Why a Formal Enrollment Agreement Matters

Who typically completes and relies on this agreement

The agreement is completed and executed by the enrolling family and school representatives, and used by administrators for billing, records, and compliance.

  • Parents or Guardians — Sign to accept terms, provide emergency contacts, and authorize medical care or records release.
  • Admissions Office — Records enrollment, applies tuition schedules, and stores signed agreements in student files.
  • Business/Finance Office — Uses the agreement to bill, process refunds, and maintain payment plans or financial aid records.

Accurate completion helps billing, special education placement, and legal compliance with FERPA and other laws.

Who signs and executes the agreement

Admissions Director

An authorized school official signs on behalf of the institution after verifying student records, tuition terms, and the school’s enrollment capacity; the admissions director ensures the agreement reflects school policy and any conditional offers.

Parent / Guardian

The parent or legal guardian signs to accept financial and behavioral terms, consent to medical treatment and limited records release, and confirm the accuracy of emergency contact and custody information.

Essential parts of a professional enrollment agreement

A complete Private School Enrollment Agreement groups administrative, financial, operational, and legal terms so both parties can understand rights and obligations throughout the enrollment period.

Parties

Names and legal statuses of the school and enrolling parent/guardian, including any guardian or agency acting on the family’s behalf, and contact information for notices.

Term and Effective Date

Exact start date and duration (academic year, semester), renewal or re-enrollment conditions, and how the effective date affects billing and deadlines.

Tuition and Fees

Full tuition amount, breakouts for activities and meals, payment schedule, late fees, and consequences of nonpayment including collection processes.

Payment Plans & Financial Aid

Available installment options, scholarship terms, conditional awards, documentation required for aid, and repayment obligations on early withdrawal.
