What the Student Coaching Agreement Is and Why It Exists

Student Coaching Agreement is a written contract that defines the relationship between a coach and a student for academic, test-prep, or skills coaching services. It sets the scope of services, session frequency and duration, payment terms, cancellation and rescheduling policies, confidentiality, intellectual property, and termination conditions. The agreement clarifies responsibilities and deliverables to reduce disputes and provide documentation for billing and recordkeeping. When signed electronically, execution generally meets federal ESIGN requirements (15 U.S.C. §7001) and applicable state UETA or ESRA rules, unless a statutory exception applies.

Why a Written Coaching Agreement Matters

A Student Coaching Agreement reduces ambiguity about services, payment, scheduling, and confidentiality. It documents consent, supports collections and insurance invoicing when applicable, and provides a clear basis for resolving disputes or adjusting terms as needs change.

Why a Written Coaching Agreement Matters

Who Typically Uses This Agreement

Coaches, tutors, learning centers, and educational programs use this agreement to formalize services for individual students and guardians.

  • Independent tutors and private coaches — used for hourly sessions, packages, and private-pay arrangements.
  • Learning centers and after-school programs — standardizes recurring sessions, group classes, and packaged pricing.
  • K-12 schools, colleges, and training programs — documents supplemental instruction, parental consent, and records retention needs.

Adapt the template for one-on-one, group, or institutional programs and review local legal requirements before finalizing.

Typical Roles and Responsibilities

Coach — Practitioner

The coach delivers agreed services, maintains session records, complies with confidentiality clauses, and issues invoices. Coaches should clarify refund and make-up policies, and maintain evidence of performance for billing or dispute resolution.

Student / Guardian

The student or guardian consents to terms, provides accurate contact and billing information, follows scheduling rules, and pays fees on time. Guardians should verify consent language and any HIPAA or FERPA implications before signing.

Core Elements to Include in a Professional Agreement

A complete Student Coaching Agreement covers service scope, fees, scheduling, confidentiality, termination, and operational clauses to set expectations and reduce disputes.

Scope of Services

Describe services in specific terms: curriculum or goals, deliverables, session length and frequency, and whether materials or assessments are included.

Fees and Payment

State amounts, billing intervals, accepted payment methods, late fees or interest, invoicing schedule, and any required deposits or prepayments.

Scheduling and Cancellations

Specify rescheduling windows, cancellation penalties, no-show fees, and procedures for making up missed sessions to avoid ambiguity.

Confidentiality

Include confidentiality obligations, exceptions (legal disclosures), and whether student records may be shared with third parties or stored in CRM systems.

Termination

Define notice periods, refund mechanics on early termination, and conditions that permit immediate termination for cause.

Liability and Indemnity

Limit liability to the fee paid for services, include indemnity language for misuse of materials, and state governing law for disputes.
