Refund and Withdrawal Policy

By enrolling, the student acknowledges that the institution's refund and withdrawal rules apply. If the student withdraws prior to the program start date, the enrollment fee is non-refundable and tuition is refundable in accordance with the prorated schedule below. After the program has commenced, refunds are determined based on contact hours completed and administrative processing requirements. The institution reserves the right to withhold administrative processing fees from any refund. Students are required to provide written notice of withdrawal to the registrar for refund consideration.

Non-attendance does not constitute official withdrawal. Failure to pay fees when due may result in suspension of enrollment and assessment of collection costs, interest on overdue balances, and denial of official transcripts and certifications until the account is satisfied.

Academic and Administrative Policies

Student acknowledges responsibility to comply with the institution's academic standards, attendance requirements, code of conduct, and academic integrity policies. Failure to meet academic or behavioral standards may result in probation, suspension, or dismissal. The institution retains the right to modify schedules, instructors, and program content when necessary to maintain program integrity.

What a Student Enrollment Agreement Is

A Student Enrollment Agreement is a written contract between an educational provider and a student (or the student's parent/guardian) that documents the terms under which a student will enroll in a course, program, or series of educational services. It typically sets out program dates, tuition and payment schedules, refund and withdrawal policies, attendance and conduct expectations, materials and technology requirements, and termination conditions. The agreement creates enforceable obligations when properly executed and retained, and may be completed and signed electronically in compliance with federal and state e-signature laws such as ESIGN and state UETA statutes.

Why a Clear Enrollment Agreement Matters

A Student Enrollment Agreement clarifies financial obligations, refund terms, and academic expectations, reducing disputes and supporting regulatory compliance. It documents consent, payment responsibilities, and program requirements and can be executed electronically to speed admissions processing while preserving an audit trail under ESIGN/UETA frameworks.

Why a Clear Enrollment Agreement Matters

Who Typically Completes This Agreement

Typical users include admissions staff, registrars, finance offices, legal counsel, and students or parents completing enrollment and payment arrangements.

  • K–12 administrators and parents execute enrollment, consent, and activity permissions for students and guardians.
  • Colleges, vocational schools, and program providers use admissions teams to confirm tuition, credit, and refund schedules.
  • Online program providers and continuing education departments manage registrants, access credentials, and completion requirements.

Before signing, each party should confirm authority to bind the institution or student; guardianship or power-of-attorney documentation may be required for minors or delegated signers.

Core Elements Every Professional Enrollment Agreement Should Include

A comprehensive Student Enrollment Agreement organizes the relationship by documenting parties, program details, payment terms, obligations, remedies, and recordkeeping so both parties understand rights and responsibilities and administrators can process enrollments consistently.

Parties

Identify the institution, student, and any billing guarantor by full legal name and address. For minors, list parent or guardian and note required proof of guardianship to establish authority.

Program Description

Describe course title, delivery method, credit or instructional hours, start/end dates, prerequisites, and required materials; attach syllabus or curriculum exhibit if applicable for clarity.

Tuition & Fees

List tuition amounts, payment schedule, accepted payment methods, late fees, and extra charges for materials or exams; specify currency, billing contact, and refund calculations.

Refund Policy

State withdrawal deadlines, prorated refund formulas, administrative fees, and the method and timing for refund issuance to prevent disputes.

Student Obligations

Specify attendance, conduct, academic integrity, required paperwork, immunizations, background checks, and technology or materials responsibilities to set clear expectations.

Termination

Define withdrawal and dismissal grounds, notice procedures, financial consequences, and appeal or grievance processes available to the student.

Step-by-Step: Complete and Finalize the Agreement

Follow these sequential actions to prepare, verify, sign, and archive a Student Enrollment Agreement in paper or digital form.

  • 01
Prepare: Collect program, fee, and supporting documents.
  • 02
Complete Fields: Fill required fields accurately.
  • 03
Review: Confirm terms, dates, and payment information.
  • 04
Sign: Execute signatures and save the signed record.

Typical Enrollment Workflow Configuration

Set up a routing workflow that verifies identity, collects payments, and archives the executed agreement into the student record with conditional logic for special cases.

Field Configuration
Routing Admissions → Billing → Registrar
Authentication Email link or SMS code
Conditional Fields Show financial aid section if applicable
Reminders Automated email reminders 3 and 7 days

Platform and Integration Requirements

Choose a signing platform that supports secure e-signatures, audit trails, and integration with student information systems.

  • File Formats: PDF, DOCX supported
  • Integrations: SIS, LMS, CRM integrations
  • Authentication: Email, SMS, or 2FA

How Electronic Submission and Signing Works

Electronic enrollment moves the agreement through upload, field placement, signer authentication, signing, and archival while generating an audit trail that records timestamps and actions.

  • Upload: Institution uploads the enrollment template.
  • Place Fields: Add text, date, signature, and checkboxes.
  • Signers Receive: Signers authenticate and complete signing.
  • Archive: Store signed copy with certificate of completion.

Key Dates and Deadlines to Track

Track deposit deadlines, add/drop and refund windows, financial aid verification, and records retention start dates to avoid administrative or financial penalties.

Deposit Due Date:

Pay by the listed date to secure enrollment; missed deposits may forfeit seat.

Add/Drop Deadline:

Modify enrollment before this date for tuition adjustment per policy.

Refund Window:

Withdraw before the deadline to qualify for prorated or full refunds.

Financial Aid Verification:

Submit requested documents promptly to certify and disburse aid.

Records Retention Start:

Retention generally begins on the agreement effective date.

Common Preparation Pitfalls to Avoid

  • Using inconsistent student or guarantor names across records causes identity mismatches that delay verification, financial aid processing, and credential issuance.
  • Omitting guardian consent or supporting documentation for minors can render the agreement unenforceable or cause administrative rejection.
  • Vague refund or withdrawal language leads to disputes over prorated refunds and confusion about official withdrawal dates.
  • Failing to capture required authorizations for background checks or medical information risks regulatory noncompliance and potential penalties.

Risks and Penalties for Incorrect or Incomplete Agreements

Breach Liability: Damages and legal costs.
Refund Violations: State fines or consumer complaints.
FERPA Noncompliance: Risk to federal funding and investigations.
HIPAA Breach: Civil penalties and notification obligations.
Invalid Signature: Agreement may be unenforceable.
Data Breach: Forensics, notices, and regulatory action.

How Institutions Apply Enrollment Agreements in Practice

These examples illustrate common approaches to reduce administrative burden and improve clarity for students, parents, and institutional staff.

College Enrollment

A mid-sized college standardized enrollment forms to include clear refund policy and automated fee fields for every program application.

  • Streamlined approvals and fewer manual errors during registration.
  • Faculty and administration reported faster reconciliation and a clearer audit trail for financial aid appeals; centralized storage simplified records requests and reduced disputes over prorated refunds.

K–12 Consent Process

A K–12 district combined enrollment agreements with field trip, emergency contact, and technology-use consent into a single signed packet.

  • Parent signatures consolidated and missing permissions decreased.
  • Consolidation cut administrative follow-up, ensured timely access to services, and the district applied FERPA retention and privacy controls for annual re-enrollment.
