What the Student Golf Coaching Agreement Covers

A Student Golf Coaching Agreement is a written contract that defines the relationship between a coach or academy and a student (or the student's parent/guardian). It describes the scope of coaching services, session schedules and locations, fees and payment terms, cancellation and rescheduling rules, liability and insurance allocations, and rights in instructional materials. The agreement clarifies expectations for both parties and provides documentary evidence of consent, payment obligations, and procedures for dispute resolution if disagreements arise during the coaching program.

Why Use a Formal Coaching Agreement

A clear, written agreement reduces misunderstandings, documents consent for minors, and sets payment and cancellation terms so both coach and family share expectations and legal protections.

Why Use a Formal Coaching Agreement

Who Typically Completes This Agreement

Each party should retain a signed copy; coaches often keep records for scheduling, billing, and risk management.

  • Private coaches and golf academies scheduling recurring lessons and camps with students and families.
  • Parents or legal guardians of minor students providing consent and accepting financial responsibility.
  • High school or college athletic departments arranging coaching, practice access, or supplemental instruction.

Primary Signers and Their Roles

Head Coach

Responsible for delivering coaching services, setting schedules, and ensuring safety protocols. The coach signs to accept payment terms, liability limits, cancellation rules, and any intellectual property or media-release clauses related to instruction.

Parent / Guardian

Signs on behalf of a minor student to consent to participation, accept financial responsibility, and agree to medical release and emergency contact instructions. Their signature confirms understanding of refund and cancellation policies.

Core Elements to Include in the Agreement

A professional Student Golf Coaching Agreement contains explicit terms that govern services, payment, schedule, safety, and dispute handling to reduce risk and improve clarity for both parties.

Parties

Identify coach/business legal name and student name; show parent/guardian name and contact details for minors; include business address and emergency contact information.

Scope of Services

Define lesson types, session lengths, frequency, group vs private format, equipment expectations, and any video or media services included with coaching.

Schedule and Location

Specify start date, session schedule, make-up policy, and places where coaching occurs (range, course, indoor facility), plus weather-related cancellation rules.

Fees and Payment

State total fees, per-session rates, deposit amounts, accepted payment methods, billing schedule, late fees, and any required prepayment for camps or clinics.

Liability and Insurance

Allocate responsibility for injuries, require proof of coach insurance where applicable, include medical release for minors, and state limits on coach liability.

Termination and Dispute Resolution

Explain cancellation windows, refund mechanics, grounds for termination for cause, and chosen law or mediation arbitration pathways for disputes.

Where to Send or File the Signed Agreement

After execution, distribute copies to the coach, the parent/guardian, and any administrative office to ensure scheduling and billing alignment.

  • Parent Copy: Provide a signed copy for family records and emergency use.
  • Administrative File: Store in academy records or student file for compliance.

Common Mistakes to Avoid

  • Vague schedules that lack start times and session lengths, causing disputes over missed time and refunds.
  • Unclear payment language that omits due dates or late fees, complicating collections from parents or guardians.
  • Missing medical release or emergency contact for minors, which can delay treatment in the event of injury.
  • Using initials in place of full signatures when the agreement requires a signed, dated acceptance by a guardian.
