STUDENT INTERACTION POLICY ACKNOWLEDGEMENT

Student Information

Parent / Guardian Information (if student is a minor)

Effective Date:

Purpose and Scope

Purpose: This Student Interaction Policy sets forth required standards for interactions between students and school personnel, volunteers, contractors, and third-party providers acting on behalf of the institution. The policy protects student safety, preserves professional boundaries, and establishes mandatory reporting and remedial procedures for noncompliance.

Scope: This policy applies to all enrolled students and to all employees, contractors, volunteers, interns, and other individuals who interact with students in any school-sponsored program or activity, on campus or at off-campus events.

Definitions

Interaction: any spoken, written, electronic, physical, or social-media contact between a student and a staff member, volunteer, or third party acting in an institutional role. Professional boundary: conduct that preserves a staff member's instructional or supervisory role and prevents exploitation, favoritism, or harm.

Standards of Interaction

1. Professional Boundaries: All interactions must be professional, respectful, and task-focused. Staff must avoid intimate, sexual, or romantic interactions with students and must not engage in conduct that could reasonably be interpreted as grooming or favoritism.

2. Physical Contact: Non-sexual, non-intrusive physical contact that is age-appropriate and for safety or instructional reasons is permitted. Physical contact intended for discipline, humiliation, or sexual gratification is strictly prohibited.

3. One-on-One Meetings: One-on-one private meetings between a student and a staff member should occur in view of others or in a space with visibility. If a private meeting is necessary, the staff member must notify a supervisor and, for minor students, seek parental/guardian consent when practicable.

4. Electronic Communication: Staff shall use institution-approved channels for email, messaging, and learning-management systems. Personal social-media contact (e.g., friend/follow on private accounts) between staff and students is discouraged and may be prohibited. Electronic contact that is persistent, secretive, or personal in nature is prohibited.

Consent Options (select applicable)

Mandatory Reporting and Confidentiality

All staff and volunteers are mandated to report suspected child abuse, neglect, or exploitation in accordance with applicable law and institutional procedures. Confidentiality is maintained to the extent permitted by law; however, confidentiality does not apply where disclosure is necessary to protect the health or safety of a student or to comply with legal obligations.

Disciplinary Measures

Violations of this policy by students, staff, or volunteers may result in administrative action, up to and including suspension, expulsion, termination of employment, or termination of volunteer privileges. Where applicable, alleged criminal conduct will be referred to law enforcement and child-protective agencies.

Emergency Contact & Medical Considerations

Acknowledgement and Certification

By signing below, the signer certifies that they have read, understand, and will abide by the Student Interaction Policy. The signer acknowledges the institution's authority to enforce this policy and to initiate disciplinary measures where appropriate. The signer further understands that mandated reporting obligations override confidentiality and that failure to comply with required reporting may itself be subject to disciplinary action.

I acknowledge that the information provided on this form is true and correct to the best of my knowledge and that I will promptly update the institution regarding changes to emergency contacts, medical information, or guardianship.

What the Student Interaction Policy Covers

A Student Interaction Policy is an institutional document that defines acceptable communication and contact between students and staff, faculty, or third parties. It sets boundaries, communication channels, expected response times, supervision and monitoring rules, and requirements for recording or retaining interaction records. The policy clarifies mandatory reporting obligations, confidentiality and consent expectations, escalation procedures for concerns, and disciplinary consequences for violations. Institutions adopt this policy to standardize conduct, protect student privacy, manage risk, and provide transparent guidance to students and personnel across academic and support environments.

Why a Clear Policy Matters

A concise Student Interaction Policy reduces legal and reputational risk, supports FERPA and campus privacy obligations, clarifies boundaries for students and staff, and improves consistency in reporting and training across departments and programs.

Why a Clear Policy Matters

Who Relies on the Student Interaction Policy

Campus administrators, faculty, advising staff, counseling services, campus safety, and human resources all use the policy to guide conduct and responses.

  • Faculty and instructors responsible for classroom and office-hour interactions and boundary enforcement with students.
  • Student affairs and advisors who deliver mentoring, advising, and extracurricular supervision to students.
  • Campus safety, counseling, and HR teams that investigate complaints, manage reports, and administer disciplinary action.

Include the policy in onboarding, student handbooks, faculty guides, and regular training to ensure consistent application across units.

Primary Roles and Responsibilities

Faculty

Faculty must follow the policy in all instructional and out-of-class interactions, disclose supervisory relationships, avoid dual relationships that impair objectivity, report incidents per campus procedures, and include interaction expectations in syllabi and office-hour guidelines.

Student Affairs Director

Directors implement the policy, coordinate training and investigations, maintain records of reports and outcomes, liaise with legal counsel on compliance issues, and ensure departmental procedures align with federal requirements such as FERPA and state mandatory reporting laws.

Common Preparation Mistakes to Avoid

  • Vague scope that does not define which interactions are covered, leading to inconsistent enforcement across departments.
  • Missing escalation paths or unclear reporting steps, which delays responses and complicates investigations.
  • Failure to align policy language with FERPA, mandatory reporting statutes, or applicable state privacy rules.
  • Using overly technical or legalistic language that discourages staff and students from understanding or following the policy.

List approved channels (email, learning platform, office hours, video calls), expected response times, and restricted methods for private matters.

Privacy and FERPA

Explain how records are protected, who may access them, and how FERPA and institutional privacy rules apply to student information.

Reporting and escalation

Provide step-by-step reporting procedures, investigation timelines, and the roles responsible for handling complaints and documenting findings.

Training and enforcement

Describe mandatory training frequency, acknowledgement requirements, and the range of disciplinary actions for violations.

Configuring Digital Workflows for the Policy

Recommended workflow settings support consistent routing, approvals, and record retention when the policy or acknowledgements are managed digitally.

Field Configuration
