The student is entrusted with temporary possession for educational use only and must comply with district policies and this agreement. Use the device primarily for school assignments, research, and teacher-directed activities.

Student agrees to exercise reasonable care to protect the device from loss, theft, damage, or unauthorized use. The device is to be carried in the supplied protective case when transported. The student will not leave the device unattended in public places or unlocked vehicles.

Prohibited Conduct

The following are prohibited: disabling security functions, jailbreaking/rooting the device, installing unauthorized operating system versions, removing school-installed management profiles, accessing inappropriate content, bypassing network filtering, using the device to commit academic dishonesty, and permitting others to use the device in violation of school policy.

Software, Updates and Data

The school will install required apps and management profiles. Student must not remove or alter required software. The school may push updates and monitoring profiles as needed. Personal data is the responsibility of the student/parent; backing up school data to approved school-managed services is recommended where applicable.

Loss, Theft, Damage, and Repair

All loss, theft, or damage must be reported to school administration within 24 hours. In cases of suspected theft, a police report may be required. The parent/guardian may be financially responsible for repair or replacement costs where damage is due to negligence or intentional misuse. Repairs must be authorized by the school; unauthorized repairs may void warranty or insurance coverage.

Insurance and Fees

The district may offer optional damage/theft protection plans. Participation, payment terms, and covered incidents will be documented separately. Absent such coverage, parents/guardians accept potential liability for costs resulting from loss or damage caused by negligence or intentional acts.

Please indicate whether you intend to enroll in the district protection plan if offered:

Privacy, Monitoring and Inspection

The district retains the right to manage, inspect, access, and monitor the device and any content on it at any time to ensure compliance with applicable law, district policy, and this agreement. There should be no expectation of privacy for files or communications on school-managed devices or accounts.

Return of Device

The device and all accessories must be returned in good working order upon request, transfer, withdrawal, or at the end of the school year. Failure to return the device may result in financial charges and holds on student records.

I accept responsibility for the care of the device and agree to report loss or damage promptly. I understand disciplinary and financial consequences may result from violation of this agreement.

What the Student iPad Usage Agreement Is and When It Applies

A Student iPad Usage Agreement is a written record that outlines the terms, responsibilities, and acceptable uses when a school issues an iPad or similar tablet to a student. It typically covers device ownership or loan status, care and maintenance expectations, permitted software and network access, privacy and data-handling rules, loss or damage liability, and consequences for misuse. The agreement also documents parental or guardian consent for minors, any fees or insurance requirements, and the process for device return, repair, or replacement at the end of the loan period or school year.

Why schools use a formal iPad agreement

A clear agreement reduces ambiguity about device custody, user responsibilities, and financial liability while supporting compliance with U.S. electronic signature laws such as ESIGN and state UETA statutes. It helps protect student privacy, clarifies disciplinary consequences, and documents consent from guardians when required.

Why schools use a formal iPad agreement

Who needs to complete this agreement

Schools should retain a signed copy for records and provide each signer with a final executed copy, whether paper or electronic.

  • Parents and guardians confirming consent and financial responsibility for minors
  • Students acknowledging acceptable use, care, and disciplinary rules
  • School IT staff or administrators recording inventory and device condition

Primary signers and their roles

Parent / Guardian

Signs on behalf of a minor student, accepts financial responsibility for loss or damage, and confirms consent for internet access and school-managed apps; typically provides contact information and emergency authorization.

School Administrator / IT

Records device serial number and condition, documents issued accessories, explains acceptable use and security rules, and authorizes device issuance while retaining a copy for inventory and compliance purposes.

Core elements to include in a professional agreement

A complete Student iPad Usage Agreement should combine operational details, legal terms, and practical processes so both families and school staff understand obligations and next steps.

Device Identification

Include make, model, serial number, asset tag, and condition at issuance so responsibility and warranty claims can be tracked precisely.

Loan vs Ownership

State whether the iPad is a school loan, a long-term loan, or transferred to the student, and define when title or permanent custody changes, if applicable.

Permitted Uses

Describe acceptable academic uses, prohibited activities (gaming, inappropriate content), and rules for installing apps not provided by the school.

Care and Maintenance

List handling instructions, required protective cases, charging protocols, and when to report damage or technical problems to IT staff.

Liability and Fees

Explain financial responsibility for accidental damage, loss, theft, repair costs, insurance options, and any deductible amounts or replacement fees.

Privacy and Data

Detail data collection, monitoring, access to school accounts, and any FERPA/HIPAA considerations when educational or health records are involved.

Security and compliance summary

Encryption: AES-256 at rest
Transport Security: TLS 1.2 / 1.3

How to complete and issue the agreement — step by step

Follow these steps to issue an iPad and secure a signed agreement, whether using paper or an electronic signature workflow.

  • 01
Prepare Form: Populate student and device fields before issuance.
  • 02
Review Terms: Walk the parent and student through care, fees, and acceptable use.
  • 03
Collect Signature: Obtain parent/student signature (in-person or eSign) and date.
  • 04
Distribute Copies: Provide a signed copy to the family and retain one for school records.

Simple routing for signed agreements

A common routing flow ensures each stakeholder receives the executed agreement and inventory is updated quickly.

  • Create and Attach: School uploads completed form and assigns fields.
  • Signers Review: Parent and student receive link or paper copy to sign.
  • School Signs: Authorized school official signs and timestamps the document.
  • Archive: Final copy stored in student file and device inventory updated.

Typical digital workflow settings for eSignature

Configure these basic settings when using an electronic signing platform to issue multiple agreements efficiently.

Common errors to avoid when preparing the agreement

  • Failing to record the device serial number at issuance leads to inventory mismatches and complicates liability claims.
  • Using ambiguous fee language such as 'reasonable replacement cost' creates disputes; specify exact amounts or a clear calculation method.
  • Not obtaining a parent/guardian signature for minors may invalidate consent and expose the school to legal or FERPA-related concerns.
  • Skipping a signed acknowledgment of acceptable use policies increases risk of misuse and weakens disciplinary enforcement.

Consequences for noncompliance or device damage

Financial Liability: Replacement or repair fee
Disciplinary Action: Loss of device privileges
Academic Penalties: Restricted access to resources
Data Breach Risk: School must follow incident procedures
Criminal Liability: Theft or deliberate destruction
Recordkeeping Impact: Flagged in student file

How this agreement differs from an acceptable use policy

A quick comparison clarifies intent: the agreement documents custody and fees, while acceptable use policies govern behavior and network use.
