What the Student Stage Manager Agreement Covers

The Student Stage Manager Agreement is a written contract that documents the relationship between a student serving as stage manager and the producing organization (school, university, or community theater). It defines duties such as coordinating rehearsals, managing cues, maintaining prompt books, supervising crew, and communicating with directors and technical staff. The agreement sets term dates, rehearsal and call-time expectations, compensation or credit, equipment and safety responsibilities, confidentiality and conduct standards, and signature blocks for the student and authorized representative. Clear terms reduce disputes and clarify oversight for academic or extracurricular credit.

Why this Agreement Matters for Students and Programs

A Student Stage Manager Agreement protects students and organizers by setting clear responsibilities, schedules, and safety expectations. It helps institutions document credit or payment arrangements, reduce liability, and ensure consistent performance standards across productions through an agreed record of duties and authority.

Why this Agreement Matters for Students and Programs

Who Typically Completes and Signs This Agreement

Typical parties who complete this agreement include institutional staff, student stage managers, and supervising faculty or production directors.

  • Student Stage Manager — Enters responsibilities, availability, and confirms acceptance of production rules and safety procedures.
  • Production Director or Faculty — Specifies scope, rehearsal schedule, supervision points, and assessment or compensation terms.
  • Technical Crew Lead or Advisor — Acknowledges equipment responsibilities, access permissions, and emergency protocols relevant to the student role.

Use the agreement whenever a student will hold ongoing leadership duties, receive credit or compensation, or access restricted technical areas.

Common Preparation Errors to Avoid

  • Leaving duty descriptions vague (for example stating 'assist as needed') creates confusion about responsibilities and can lead to scheduling gaps or disputes over who handles critical tasks during performances.
  • Failing to record equipment permissions and keys in the agreement risks unauthorized access, lost property, and unclear accountability for repairs or replacements after load‑in and load‑out.
  • Not specifying compensation type or academic credit units creates later disputes; ambiguous language about stipends, reimbursements, or credit can delay payroll or registrar processing.
  • Omitting safety training requirements and emergency procedures can expose the institution to liability and endanger students when technical or medical incidents occur during rehearsals or performances.

Consequences of an Incorrect or Missing Agreement

Credit Forfeiture: Loss of academic credit
Compensation Disputes: Delayed or withheld payment
Safety Liability: Institutional exposure to claims
Equipment Loss: Replacement costs and penalties
Contract Voidance: Agreement unenforceable if formalities lacking
Regulatory Breach: Violations of school or local policies
