Timely payment of tuition and applicable fees is the financial responsibility of the billing party identified above. Tuition that remains unpaid after the applicable due date shall accrue a late fee equal to the lesser of 1.5% per month or the maximum amount permitted by applicable law, assessed monthly on the outstanding balance. Returned checks and failed ACH transactions are subject to a returned-item fee in the amount specified by the institution.

In the event of nonpayment, the institution may withhold transcripts, diplomas, grades, class registration, and access to services until the account is made current. The billing party agrees to reimburse the institution for all collection costs, including reasonable attorneys' fees and court costs, incurred in the collection of delinquent amounts.

Refunds for withdrawal or dismissal are governed by the institution's refund schedule. Unless otherwise expressly provided in a separate written agreement, the standard refund policy is: if written notice of withdrawal is received prior to the program start date, all tuition paid will be refunded less any non-refundable deposit; if withdrawal occurs within the first 14 calendar days after the start date, tuition will be refunded on a pro rata basis less the non-refundable deposit; after the initial 14-day period, no tuition refund is provided for the term in which the withdrawal occurs. Special circumstances will be evaluated on a case-by-case basis.

What the Student Tuition Document Is and When It Applies

A Student Tuition Document is a formal written agreement used by educational institutions to record tuition charges, payment schedules, refunds, and related obligations between a student (or responsible payer) and the school. It typically identifies the student, program or term, itemized charges, any installment plan or financial aid offsets, and tuition-related policies such as late fees, withdrawal refunds, and collection procedures. For many institutions this document also authorizes billing, third-party payments, and tax reporting (for example, 1098-T). Electronic execution is generally valid under the federal ESIGN Act (15 U.S.C. ch. 96) and applicable state UETA or ESRA rules when signature intent, consent, attribution, and retention are satisfied.

Why a Clear Tuition Document Matters

A concise Student Tuition Document reduces billing disputes, clarifies payment expectations, and aligns institutional refund and enrollment policies with federal and state requirements. When properly completed it supports financial aid workflows, tax reporting, and contract enforceability while enabling secure electronic signing and reliable record retention.

Why a Clear Tuition Document Matters

Who Typically Prepares and Uses This Document

Typical campus and administrative roles that prepare, review, or receive the Student Tuition Document.

  • Admissions and enrollment teams who confirm program details and initial billing.
  • Bursar or student accounts offices that issue charges, set payment plans, and manage collections.
  • Students, parents, or third-party payers who authorize payment arrangements and receive copies.

These stakeholders must coordinate on accurate student identification, financial aid credits, and signature authority to avoid billing or regulatory errors.

Core Elements to Include in a Professional Tuition Agreement

A complete Student Tuition Document combines billing details, legal terms, and administrative metadata so payments, refunds, and audits are clear and enforceable.

Itemized Charges

Tuition, mandatory fees, course fees, lab or technology fees, and any transient or special program costs listed separately to support financial aid and 1098-T reporting.

Payment Terms

Due dates, installment schedule, accepted payment methods, late fee amounts, and returned-payment handling that define financial obligations and collections triggers.

Refund and Withdrawal Policy

Clear refund calculation method, effective dates for partial or full refunds, and how withdrawals affect financial aid and prorations.

Authorization and Signature

Signature block identifying signer role (student, parent, authorized third party), date, and whether eSignature or notarization is required for specific authorizations.
