GUIDELINES FOR PERFORMING REFERENCE CHECKS Tips for checking references:  Conduct all reference checks in a uniform manner.  Document in your notes to whom you spoke, when the conversation took place, and what was said as evidence that you performed this check.  Begin by verifying information provided by the applicant, such as job title, employment dates, salary, and job duties stated in the application. When the former employer appears willing to volunteer information, move on to more substantive questions. It is sometimes more effective to ask the reference to rate the applicant on various job-related factors on a scale from 1 to 10 and to elaborate on the basis for the rating.  Strive for objectivity. Try to probe for objective comments about performance, and always contact two, preferably more, previous employers. You may receive undeserved negative comments for good employees and positive comments for poor performers (especially from current employers).  Use only information that is job-related, and consider negative information carefully. If you receive negative information, ask if this information had been shared and discussed with the candidate. If an applicant is rejected because of a negative recommendation, be prepared to document the job-related reason. Violence in the Workplace - Legal Issues An employer's liability for negligent hiring includes hiring the potentially violent employee. While checking references, include a question on this subject. Your question might be phrased: Due to increased violence in the workplace, it is our company’s practice to ask the following question for all persons being considered for hire: Did you ever observe or notice in this individual a tendency toward violent behavior? If Someone Contacts You as a Reference If a prospective employer contacts YOU during a reference check, be careful in what you say to avoid a defamation lawsuit, whether the employer is from within or outside of the company. You may safely provide the employee's job title and classification, base salary and time base, dates of employment, and duties and responsibilities.
