a mark please don't write an injury report for things like that my job at the very end of the summer is to compile all of the injury reports all of the incident reports all of the accident serious injury reports and to determine whether or not our facility and our processes are safe they are but there are a lot of after going through it there are a lot of from what I can tell some reports in here that maybe aren't needed so I would just I'm going to share with you my golden rule if you do an injury report if it's going to leave a mark and a parent is going to have a question about it if any first aid was administered so if your if there's an open wound if there's a cut if there's a scratch or a scrape please write a report if a child's asking for a disabled logical pieces that help them the comfort that you're giving that's physical because it's a band-aid that's from your my fingers we all know that talking about that is not an injury reportable injury head injuries every single time we call every single time any questions about that piece can you just clarify what a head injury trip but when they hurt their head in any way shape or form I have to leave it up to you like if they if they if you can hear the sound that it makes when their head hit something definitely yes if you can see that there's a bump but when we stop something on your head yes can somebody give me some examples of times where it wouldn't be a head injury it's more about that's not the scrutiny that's now if there weren't the reason for the call on an injury for the head is possible concussion dose yeah if they don't if they don't seem to have no right to do activities I'm afraid are you saying like even example like what would not be a local boutique a little bit of both right so if a child falls on the ground this is so hard because there's so many Rachel's we can do themselves right but the reason we the reason head injuries are recorded and their call upon us because we home and then that's absolutely another reason for Casa for elementary I would trust them to be able to say the story but I would like to see more injury reports from elementary not that I want to see them I just want to hear about them so I can assess whether or not the facilities are safe we were working on a program and a tool for injury reporting last year but we've already got it to replace so I'm thinking and improve upon it but we know it doesn't work for elementary then we'll start reevaluating it awareness the government as far as like how when for elementary and junior high in colleges I don't think any any okay so yes I'm sorry as far as injury reports go the guideline that I recall was if it seems like it might require further medical attention either at home them from a doctor that is when we write an injury report you would write it as well as a separate under a separate serious injury report which I'll get to later what I'm asking elementary and junior high to do now is if you are applying first aid to any child or you go stand and sent them into an office to get first aid if we need to write it into coverage wear it right because it helps me what it does is it helps me to evaluate and analyze whether or not the processes and the facilities that we are living in and living with are safe and there's there's really no information for me it's mostly coming from Casa and toddler your is a great safe thank you for everything you do filling them out is another question if there's the instructions could be clear here but I'm just gonna write them and if you have a question of this ask anytime you to write out an injury report fill out everything including their age that's really important and the level take a copy of the whole thing the parents get the top half goes with it as in another child didn't injury to a child those are now I'm asking everybody to combine those two reports and put them in Sandy's box so she has a clear picture of what exactly happened and the reason is when you write an incident report which we're now going to go to it's just a blank piece of paper and so when reviewing a bunch of incident reports it's a kind it's just clear there's a wide variety of things that get delivered in an incident report anytime you write an incident report it's going to be a high-stress situation because something serious happened an infraction occurred it's probably related to persistent unaccept to boot and another child likely got injured guidelines for writing an incident report is when an incident happens but they're not necessarily injured so for example in my book over the head scenario the person who did the hitting gets an incident report the injured child gets the injury report when writing an incident report the only name you should use is the child's name for the report is for don't name a staff member please don't name any other children that may or may not have been involved it protects the confidentiality of the rest of the people if adults parents families want to know more information they are free to contact us and ask questions and let them help when you're writing an incident report because it's not like the injury report which you'll see in a minute it doesn't have checkboxes it's it's hard to stay objective but I'm going to ask everybody to do their best to just stick to facts don't put in there how you're feeling how think the other child was feeling just what happened what happened before what the incident was and how you followed up any questions about that piece that's what I find a person write and say do you want me to say no but if it's just me and then I'm the person signing the bottle yeah and again I mentioned it earlier but being on the receiving end of an incident report can be just as stressful as writing one out and it's an opportunity for us to again collaborate with our families it's a learning opportunity for the for the child and it's a chance for a school at home to be on the same page about something so keeping that peace of mind at the same time is hard in the moment but it's a really important piece and it's a minute opponent that goes through and point to parents we don't want a tome I'm going through two parents that says I'm really frustrated with your child and I'm at the end of my rope we want the tone to be here's what happened and here's how we're working together if it required that a separate follow-up a call or an email coming from the head guy to say here's how about working on it let's meet about it if it's that serious then go parents they are our situation and really I don't know that was just kind of seemed like it to me that it was it's not probably something that we were quite a rapport didn't happen there there wasn't a situation that happened here that would call for that let's get some advice from head guides if there's a parent if there's a child who who is the context is super important right now as a parent if it's a child's is going through a change at home and divorce and they're not willing or wanting or feeling afraid to go home I mean this story needed a mandated reporter what happened so head guy it's how do you handle situations like that well I've had the situation I've discussed it with parents and also when exchanges are happening at school that creates a experience of school being part of that whole overall situation so that's also been part of the discussion that it's a convenient things for parents and if some children handle it well but having the transfer of homes or a really young child they just don't understand it the same way and parents think that they do because children are very capable but I think you have to start with the parents taking notes also trying to track what the child is saying like all that because there might be something else playing on that we don't know about but you know exactly to help great so one final question about the the incident injury report combo when the when one child injures another child it is it appropriate to without like without a find the confidentiality to say that the in an injury report that part of that follow-up care inbox it gets handed little person in the office because this means we know if we need to go secure the area and get rid of the issue for example somebody got hurt on a nail that was sticking out of a basketball yes a safety review is required not necessarily of health function but definitely a problem so we need I would trust you guys to first secure the scene before leaving it alone so that no other injuries happen but to come and let us know we can remove the nail or you know put ice down if it's duper slippery like that any questions never hesitate if you're not sure whether or not the safety review is necessary just say yes and come talk to us about it and we can we can figure it out from there is there any witnesses here where they was nine you copy that the holding attached is delivered to Vivian's box or to a person's hand or combined with an incident report which is he received as a blank space and given any questions is contextual I think your advice can happen [Music] I would trust your gut if it's a problem the first time you feel like it is there a report to my face every time especially the first time that something happens we feel you trust your gut with this we work with children we know it just is typical that this is a typical if this is a one-off or not talk to the parents right away say here's overseen or you've seen this at home let's work together so questions about what happens all day communication is really important percent a day staff use me as a conduit into the office as a conduit let us know something you have the information to parents will sometimes these kinds of emails are often copied on an office staffs emails to to the girl sort of brought it to the feel free to come and chat we're always available why I would say to city we go right through the guys and like our time with them is so short and in great children having enemy which is their most tired hungry worst time of the day it's not representative of their overall school experience and we just definitely yes in the day staff when you feel the questions from parents who always reroute it to the guide for exactly those reasons and especially for subs you have no idea what this is really like in your seeing the first time ever so even if they have questions you can talk about feel free to talk about build a bridge and trust in a relationship with those parents about the experience and accepted a feel free to say things like you know yeah I'm a fire hiccups need to be a little tricky but two seconds before you back here they were perfectly fine on the swings it seems a little tired eight just fine you know like you can you can talk about those pieces and anytime there's an injury or an incident that communication to be delivered to if you were there for the injury feel free to fill in details of parents are going to ask but any other questions about learning progress about what happens around the day the guys there that are the main contact with that oh sure about that so it's a chalice in Africa in the base isn't that an epic error I'm out there if they're our persistent I'll accept old behaviors start showing up in aftercare because there's new adults there pushing boundaries it happens all the time I don't think that the guides can be taken out of the equation just because you know them best outside of their parents so there is an issue is going to have to be a team effort and a constant conversation about how to support a job to be their best selves no matter where they are there's so many parallels any what happens at recess and what happens and I think that that consistency in those places because those those those areas of the same rules are the same way some exceptions why is it it seems like sometimes it can be helpful if there's good communication if there's something that has worked well in the classroom but I've been giving the extension people a heads up about that absolutely it's really helpful but I can say from experience that if I mean it's a double-edged sword getting new staff members to help out an extended day right the great part is is the new child gets a clean slate if they had a crappy day they get to start over again with a new person but also it means that we the new person has no idea what the day it was like typically and can't follow up with messages given and can't it doesn't have any context for conflict that happens later so if you do have pertinent information that would be helpful to guide that child to marry end of the day please do delivery the day staff that would be very helpful although I'm an extended day and I wanted to deliver message to this teacher I don't have I'll go straight go through me I usually do anyway I'm you would see see that question just develop there's a pattern of making that happen today I mean you wouldn't want extended days got to be telling the parents again this happened this happened again this heaven it's a bigger conversation that they should be having and just standing out here and pick up an extended day I just feel like it's it can be a really rough time in the guys about is requested of us to not be communicating and we did have a couple incidents last year where an obscenity that would like tell beer is like a really big alarmist type of message and cause a lot more damage then need attention and so that's what was asked us to just go through them when it turns to things that are more less than just black away they didn't even make some really hungry or have to come in for like an hour and a half I guess sir I was coming from two issues that I I've had that responsibility for the child overall I told you I'm going to be in a conference and there was just a breakdown in particular last year that was an example but I think you know that's not the standard but I I do think we have to have a collaborative communicative approach because our goal is to keep families feeling safe and comfortable about their child's experience no matter which route is with them or what space they're in and so that's what my understanding of my role is that I really need to be able to speak to those parts of their child state even if I'm not the person with them this gets to your question a while back on above the serious injury reform we have a requirement for our toddler and Casa friends anytime that a child would leave to get medical or just needs medical attention and treatment there's a separate form we have to fill out and turn in what we ask every level anyway so that we can report it as an accident and again be able to analyze those serious injuries the form is something that the office is going to take responsibility to fill up because it's now email so admin is going to be taking that part and very every time there's been a serious injury the child has been in the office the office staff has been involved and should be involved when there's a serious injury of this type those include great people's includes deep lacerations that includes serious head injuries I mean everything that I can think of that's happened with us has been at all any questions regardless of who in the office is filling out this form we still need to fill out an injury report when this happens especially the person who was the first responder or the first person on the scene in the first person whose side we need the details being the time we need the circus of music surface that caused the injury we need all the details to be able to write this report so that's a priority after the child safety and at first aid and comfort has been it's been taken care of this report get put in your report gets written so we can follow up with the rest any questions a seizure serious enduring forms have a very strict definition we only fill these out if a child receives treatment from a physician or a dentist which does not include things like x-rays which diagnostics or over-the-counter medications if you think or if you hear sometimes it happens where a child goes home jury is an appearance but we hear later that they went to the doctor if you hear something like that we still have to fill out the form if you're not sure whether or not they're good to get treatment but you know they're going to a doctor fill out the form we have 24 hours to turn it in and give a treatment it is a given that help it so seizures no okay anything else we wouldn't they leave you three they would leave it to 911 yeah so that's a different kind of documentation yeah [Music] we're going to get into many - reporter a little bit we're out staff members we all take care of children and for all what's called the mandated reporter we are required to report things where we would suspect abuse we have some exit Sonny how the policies and we also have some other state of Minnesota regulations to follow any time the suspected abuse is called in there's an internal review process that needs to happen and that sort of in conflict with what what DHHS tells you but that you can call it and it can be anonymous which is true this will trump any law but what but we I hope it's obvious but we're not in the business to maltreat children if there's something that happened we want to know so we can fix it we want to know so that it doesn't happen again so if if you feel comfortable and you know that a report is going to have to be made come and talk to somebody especially if you're a sub especially if you aren't aren't sure talk to classroom staff there might be some story about why that mark is there or there may be a story of more text that they can give you about this story that they're telling you about lunchtime not to say we're going to keep you from making the call but we want to make sure you have all the information for when you do make that call and so you can make a decision if a staff member is involved with this you suspected abuse it needs to be reported
