Hello! Good morning and thank you for joining us today for this webinar. My name is Jill and I am one of SQA's Quality Enhancement Managers. Sadly, I can't see all of your faces today but I may well have met some of you before if I've been out at a systems verification visit to your center. If so, hello again and, if not, hello for the first time! I will just pass very quickly on to my other two co-presenters so they can introduce themselves starting with Jenna. Hi everyone my name is Jenna Crombie. I am the team leader of our Centre Support Team. The clue is in the name; we're here to support you but I'll go into a bit more detail about that later on and myself and Elizabeth will be doing the SQA Connect demonstration a little bit later on. I'll pass over to Elizabeth to introduce herself to you. Good morning everybody, I'm Elizabeth Joyce and I work for the Centre Support Team with Jenna. I'm the Operations Officer for the team and we may have spoken before in emails or telephone calls at some point so if we have, hello! So, as Jenna said we will be talking a bit more about what our team do and how we can support you with regards to SQA Connect. If you've got any questions about Connect then it would be good if you could share them with us. Now I'll hand back to Jill. Thank you, okay so this is our webinar about data management. We're all acutely aware nowadays of the importance of data management. It can be a real worry to be sure that you're meeting your own obligations and, to add to that, as SQA's interface with candidates we also need you to inform candidates of how we use their data too. We hope that by the end of this workshop you will be clear about what you need to do to meet SQA requirements for data management but also learn what reports and tools we have to help you in your own data tasks. We want to make this session as interactive as possible even though we're only able to meet online at the moment so please do add your questions in the chat box. Don't be shy, add your questions throughout the workshop and if there's a quick answer we will type that into the chat box too and, if not, we'll include it in the practical demonstration part of this webinar. We can also follow up with you after today's session if it's something and a bit more complex. Remember, there's no such thing as a stupid question so please don't hold back! We will send you a summary of this webinar content after the session so there's no need to be taking lots of notes. We'd like to start by finding out how confident you feel about data management. We've got three questions coming up and I'd like you to use the poll to indicate how you feel. This is a safe space and all the answers you give will not be held against you so please feel free to be honest and, if you're not confident about something, that's absolutely fine and exactly why we've arranged this webinar. So here we go, the first question is about how confident you feel that you understand our quality criteria and our specific requirements around data management. Thank you for that; so, at the moment, the majority of people are feeling reasonably confident and a few not too confident at all so that's pretty much as as we expected. You wouldn't have joined this webinar if you were already feeling very confident I imagine so that's good to know. Here's our second question and it's around how confident you feel that you're able to meet and maintain all of these standards in your everyday data management for candidates. Good, thank you. Again, the majority of people are feeling reasonably confident and hopefully by the end of this session you'll all be feeling even more confident than you currently are. Finally, the last quick question is how confident you feel that you know what support we have available to you and, as an SQA Connect user, that you know about all the reports and things that you could be using that might be useful to you. Okay quite a lot of you are really not too sure at all about what there is to help you but that's good to hear because that is what we're hoping to share with you today. The main part of this session is practical stuff so I will move on now so we can get on with that practical part. Before we do that I'm just going to start with some very brief background and some advice about common issues and how to avoid them. Then I'll hand over to Jenna and Elizabeth for that practical session. In the systems verification meetings we carried out between August 2019 and July 2020 the two categories that received the highest number of required actions were 'data management' and 'management of a center'. Now, there are no secrets we don't have a hidden agenda; you can find what we're looking for and what we require in our Systems Verification Criteria Guidance for Centres and section 6 of that guide is all about data management. There are four criteria in that section and, when you read the guide, if you pay particular attention to anything that's included in the 'awarding body requirements' box these are the 'must do' and 'must be documented' things so it's quite a good way to focus your attention in on what's important when you're quality assuring your data management systems and activity. Looking at the three-year trend there has been a marked improvement in most categories but the progress in data management shows that some centres are still struggling to comply with these quality criteria. We're also now starting to see a significant number of centres where the same issue is cropping up at subsequent systems verification events so that does give us some cause for concern. Our aim is always to support centres and we love nothing more than an all green report, just like you do, so we've developed this workshop to give you some practical help that we hope will show in future years in these kind of stats but, even more importantly, will make your life easier and your systems more effective. The criterion that has led to the highest number of required actions in this last year was 6.1 and, in most cases, that will have been because the centre's data exchange statement didn't meet our requirements. If you've not already updated your data exchange statement since GSPR there are three important points to bear in mind. Firstly, don't ask for 'consent' or 'permission'; instead say something along the lines of "I understand that my personal details will be shared with SQA" now this is because you don't have to gain consent from candidates in order to share their personal data with us for the purposes of entries, certification and maintaining their record of attainment because the processing of that personal data is necessary in exercising our statutory function under the Education (Scotland) Act. Secondly, you must be very specific about who you are sharing the details with. We need you to name SQA specifically and not use the generic term 'awarding body' and you must also tell candidates what the purpose is. There are three purposes: the initial entry, certification and maintenance of the record of attainment. Finally, you must signpost your candidates to our privacy statement. We do have a handout for you at the end of this session that will be sent out to you automatically and there's an exemplar data exchange statement on that. I recommend that you check your own enrollment form or whatever other document it is that you ask your candidates to sign that contains your data exchange statement and update it if it doesn't cover all of these things. Within data management the next biggest hitter in terms of required actions was criterion 6.2 which is all about making sure your entries are up to date and accurately reflect the current status of the candidate and the qualification. Data cleansing falls within this category and a lack of regular data cleansing is the thing that's most likely to lead to required action for 6.2. The take home message I have for you here is that entries must never go beyond the completion date you've entered. Please don't wait for SQA's alert to tell you that you're already three months beyond that date because that's an indication that you've already been non-compliant with the criterion for three months. What we need and want you to do is to proactively check your open entries and look out for any where your completion date is getting close. For example, in January check your open entries; any with January completion dates must either be resulted, withdrawn or extended before the end of the month. Give yourself time if you need to follow this up with an assessor to see if a candidate has been granted an extension or perhaps dropped out. We do appreciate that you may have more than the usual number of candidates who need an extension this year because of the impact of COVID-19 restrictions on delivery and progress and that's absolutely fine but please do make sure that you update your entries to record this. There is a very quick and easy check in Navigator that Elizabeth will demonstrate when we get to the practical part of the workshop, which I promise is coming very soon! There's also a reminder in the workshop handout. Now, I told you it was coming soon! I'm now going to hand over to Jenna for a practical demonstration of Connect. Hi everyone, glad to see you all here. As jill said. Elizabeth and I are going to do a wee demonstration of SQA Connect so I'm sure it will be full of fun. I know you'll probably love this system! Just to introduce us both again as I said we both work in the Centre Support Team within SQA and we are really really here to support you. So what we'll do is we'll leave a couple of email addresses how you can get in touch with us in the handout at the end. Elizabeth and I oversee the team; there are six of them and we do lots of things with centres but mainly we're here to support you with all candidate type stuff such as entering, registering them, putting the results in Connect, all of that kind of stuff. Just get in touch with us if you need anything but we are the experts in SQA Connect which is why we're here so what I'm going to do is share my screen and show you Connect. There we go, so this is SQA Connect. This is the screen you will see as soon as you log in. You may or may not have access to all of these functions some of them are just for National Qualifications so it depends whether or not you're delivering them if you see all of these functions but we're just going to go through the basic ones today. What I want to highlight first of all is this little button here for user guides. This should be your first port of call if you have any questions or if you're not sure how to do something and, as you can see, it's all in there. So candidate services exchange and Navigator guidance for everything you will use is in here. So, go back to the main page. The functions Elizabeth and I will be going through today are Candidate Services Exchange and Navigator for you and we'll just have a little bit of a chat over them. What is really going to make this work a lot better is if you guys can put some questions into the chat box. What is the issues and that will just let us really understand the types of things you need help with. That will help you use the time better. We have a technical issue today. Elizabeth has a fancy setup at home with two screens and I don't so if I'm sharing my screen I can't see the chat box so what we're going to do if you guys are putting questions in there Elizabeth's just going to read them out for me to answer if that's okay. So I'm going to discuss candidate services just now so if we click into that and this is the screen you'll see now. I know this will be the main one we all use; this is what we use to enter candidates, register them and add the results at the end. I don't want to spend loads of time going through all of this and showing you how to do it because I'm very sure you know how to do it but what I would like is, if you have any questions about candidate services, you could just stick them in the chat box just now and I can answer them. I'll give you a couple of minutes to do that. There's been a few questions Jenna that I've been just being able to reply back to so if there's anything that we need a wee demo on I'll give you a shout out okay? Lovely! I feel blind, I feel like I can't see what's going on. I don't like it! I can interrupt you every now and again if you want to let you know. Nothing coming in there. Okay so one of the participants has asked about whether the SQA administrator is the only person who can use Connect so I've explained there is a user guide about how to create other users within the centre. So the user guide is this one 'account management' so if you click into that you can open it up and it will tell you exactly what to do but what you will go into from this screen to create and amend user details is 'maintain center accounts' it will only be the administrator that can get into this and when you go in here you've got a list of everybody within your centre and what they have access to. So if we look at David he's at the top he's got Exchange, Navigator excuse me and over there that tells you what level he has so take it as full candidate services. I'm really sorry Skip down a notch so David's Candidate Services is limited and if i wanted to edit David's access I would click 'edit details' and everything's there. So you just tick these boxes for whatever you want him to have access to and if there are different levels of access for a particular function you just click these drop downs and decide what David should have and to create a user is this button here and all you need to do is put all other details in there, choose what you want them to have and hit create and that's that. After you do that they'll be sent an automated email with more instructions on how to log in for the first time and you're done. Also in this section is a button to maintain your centre details and you see all of your details there. The boxes that can be amended you can highlight and change if there's anything there you want to change you just hit save and you're done okay? Hav you got any other questions in there? We've had a few other ones but I've managed to respond to them so it's just been things like 'Is there a limit to athe number of users they can have'and asking for bulk uploads demonstrations. I'll be doing that soon anyway. Okay, well if there's nothing else on Candidate Services then I can pass over to you Elizabeth if that's okay, if we're ready for that? I'll stop shading my screen. Yep, hello there's another question there Jenna about changing the centre coordinator. I think you have to go via your Business Development contact for that. You just send an email to mycenter @sqa.org.uk I'll just stick it in the chat and they'll arrange to have the centre coordinator updated on your system if you're just going on maternity leave. And a question there about the completion dates, I'll be showing that to you right now! I'm just going to share my screen let's make sure I've got everything ready okay so can everybody see that? yep! okay Jen are you able to see my screen? Excellent, so I'll be showing you Navigator and this is where you can run your reports to see if your candidates are approaching their completion dates. So if you've got any candidates that pass the completion date and just other different reports that we find are quite helpful for keeping your data up to date. Navigator is just another application on your SQA Connect Portal many of you would have used it before I'm sure, Some newer centres might not have but it's really really helpful literally everything you need for data management, for all your qualification approval data is all sitting in there and there's lots of different things you can do with Navigator. You can look up candidates past or present and you can look up your own centre details just to see the information that we hold for your centre. You can look up all your approval data to see what you're approved to offer and you can look at different qualifications or structures / what the frameworks look like at a glance and there's a grouping check as well to see if your candidates achieve the qualifications with the entries that they've got for the unit entries that they've got entered already. So the main thing I'm going to talk about is reports but if there's anything that you'd like to know about Navigator just stick it in the chat and Jenna can monitor that side of it for you while I chat away. The report section ... you click into Navigator and click on 'reports' now there is a handout that we've got ready for you that will be sent on to you at the end of this session just with some screenshots from this page / how to get to it and all the different reports. Just some handy tips about how to run them and stuff like that. In here, this is just the name of the centre that I'm logged in as so your centre details would appear at the top 'report to run' clicking the the drop down there's lots of different reports you can choose from and so open entries is literally just like an entry you've added onto a candidate's record but you've not resulted yet so it's just sitting as open resulted entries not yet certificated. Just as it says, certificated entries, now this is the report you would use or you can use for some products that you offer where there's a requirement for you to change the addresses back to the candidate's home address if you've asked for the certificate to come to your centre. This is quite a good report to run because it actually includes the centre / the candidate's address on the report when it comes back to you so if you click on 'certificated entries' you can select what type of output you want. Let's look. Some of our colleges prefer the v bar option but Excel is the best one I would say, and then you can put in your certification dates that you want the report to cover and there's the qualification type if there's a certain qualification type you would rather fill out your report from or if you just want to click on everything you want to see all your candidates that you've certificated for the specific date range you can just click on the 'all parts' qualification level again if you want to specify what level of qualification you want to pull back from the report again just click on 'all' if you want everything and then on 'run report' and it comes back in an Excel format which you can obviously do what you like with; put in all your filters; remove or add columns and put in your own data and stuff like that. So that's really handy. The certificated one is really handy for you to kind of view their address details if you need to change them back to the their home addresses once you're finished. Open Entries by Completion Date so I think this is the one that you would be using if you want to see if you've got any candidates that are past their completion dates. Again you just select that one and then put in your date range that you want to check basically three months so you can see if any candidates have passed their completion date at all. You can put that in there, run report ... all the candidates with a set completion date that you've put into your data here will come back also through Candidate Services you will get an alert that notifies you if you've got candidates that have passed the completion dates. On Candidate Services there is a wee bell icon at the top and you'll notice there could be number and then if you've got any notifications in there so if anything's past your completion date it will come back there and you can click on that and sort out your candidates that way whether you want to withdraw them, result them or extend the completion dates further you can do it all from that part there. I think that alert notifies you if candidates are three months past the completion date I think it's as little as that um oops I came back here; that one! So open 'course group awards by completion date' again so the one I just talked about actually was just for units this is for group awards. 'Course components at other venues' that would be mostly for colleges I imagine I don't think training providers will need that just now. 'Withdrawn entries' if you want to have a report to see who's been withdrawn at your centre. 'Candidate registrations' 'candidate qualification reports' I'm not quite sure what that ... oh you can maybe specify certain candidates on this one you can put their SCNs on this and specify certain candidates if you want to see all their achievements at one go. That's the reporting side of it. Did everybody know that was there? Is that something that you guys knew that was there or is it a new thing that nobody knew about? There's some typing going on. Oh good, I'm glad I showed you something you didn't know was there. It's quite difficult when you can't actually see who you're talking to and don't know if I'm showing something that you already knew about or not so that's excellent. Again, if there's any questions that you've got with regards to Navigator or any of the reports that we'll be showing you today, it's my team you can ask who will help you with any questions that you've got. The handout will have our team contact details on it as well. When you log into Navigator this is the main SQA Connect portal; click into the Navigator portal application and then on 'reports' and then here you have a drop down and all the different reports that you can run. Is everybody happy with that then? Sorry, as Elizabeth said, at the end you're going to get a handout with a lot of details about reports so you you'll be able to have that in front of you the first time. All right, okay, so someone doesn't have the same page view. I think, do you have? You do! What we could maybe do is at the very end of the presentation Jill has our personal email addresses to give you so if you want to just send me an email directly with a screenshot of what you can see I'll see if I can figure out if there's some sort of different access level or something like that that you maybe don't have the full access to it. Great! Anything else with regards to Navigator or reporting? Excellent! I wasn't planning on going through all the sections of Navigator but if there's anything that you want me to show you, if you're looking at this thinking "I don't know what this means" or anything like that. Yes, the reports will open up with an Excel so you can add a filter onto it and do what you like and you can obviously run multiple reports as well which is quite good so you can put them all in together if you want to and because obviously they just open up in a normal Excel spreadsheet you can play about with them, copy, paste, remove /add lines, whatever you need to do. Okay so is everybody happy if I just move on to the bulk upload part? If there's any other questions we can pick them up again and the SQA Connect home page is where all the applications are. There is an application called 'Exchange' this is where you can upload any spreadsheet with candidate data on it that we can process in the one go. One of the questions earlier was about whether you could process entries for multiple candidates that are on the same qualification so this is perfect for that, especially if you've got maybe more than five or ten candidates to do at a time. Instead of going into the Candidate Services page and doing everyone one by one it's really good. Within the user guide section that Jenna talked about there is a section on 'candidate data bulk uploads' Here's how to do it and where to go for it but you you need the template first of all. You can't just upload any old spreadsheet and we've got a special template that you have to complete first of all so i'll open this up. You'll see, I don't know how clearly you can see this or how big your screen is on using this but if there's anything you want me to point out just give me a shout. At the bottom of the spreadsheet there's different tabs with different information on them so we've got candidate creation, registration update, entry creation, entry update, result entry, update completion date entry, update level entry, update withdrawal and estimate creation which is normally used for schools. I don't think anybody here would be using that so it just all depends on what you want to do. Say you've got 50 candidates coming through the door and you need to get them registered with SQA and so you can get the candidate number so you can start adding qualifications to them you would use the 'registration creation' tab, enter all their details so forename, name, date of birth, gender and you'll probably notice that we now have a male /female /unknown and not applicable for the gender as well but you have to put something in there whether it's got to be one of those four things. Address details, postcodes country, the SCN part you would just leave blank and process by exception you leave blank but you put your centre code and just that one box here you don't put it down against all candidates just once in that top box. I've put some wee comments and hints and tips on how to complete it like for every column, whether it's okay to leave it blank or not /what it means, there's also how many characters are allowed in each cell. It's actually a very sensitive document so if you put something wrong or leave a space somewhere it won't process, it will just come back as an error. I've tried to do as much as I can and give as much information but if you see the wee red triangle at the top of the cell then you'll see some little hints and tips on how to complete it and whether you can leave it blank or not. The way to think about this when you're completing it is that every row is a command so you're actually telling the SQA system that you have this candidate that you want to register and you want that SCN. That is what you're doing. You can put in as many candidates as you want in here I think the limit is 999 so I don't think you can do any more than that but if anybody's got that many candidates to put through then by all means give it a shot and see if you can get any more than 999! Don't leave any blank spaces. If you've got five candidates here and then you leave a space and you do another five don't leave a space, leaving a space will just prevent the sreadsheet from processing. All that information's in the guidance document that's in another part of Connect so i think this pretty much straightforward but just make sure that you read any of the comments that I've put at the top for each one. It's not just for 'registration creation' but for 'registration update' which means about changing addresses you can use that to change addresses in bulk so again if it's the whole certification requirement of the certificate having it come to your centre address and then you have to change back a bulk of candidates to their home addresses this is a really good way of doing that, especially if you've got so many to do. You would use the 'registration update' part 'entry creation' does exactly what it says on the tin so you would have put the SCN in, the date of birth, the codes that you want to add, the level you want to add and the completion date and, again, there's little notes at the top for anything that I felt needed a little bit more information. Again, the centre code goes just once in the box entry update result, exactly the same again. You're just telling me what candidate it is by giving me the SCN and date of birth, what code you want, the completion date and what the result is, pass or fail. If you want to do a bulk withdrawal you would go over to the 'bulk withdrawal' tab It's exactly the same, tell us the candidate and what you want us to withdraw. Once you've completed your spreadsheet you can save it as whatever you like to anywhere in your system and there's no naming requirement that we ask you to save it as, so you would save it as whatever you like into whatever folder you want to save it then you would go back to your SQA Connect Exchange which is where you would upload it. Click on 'upload files' choose 'file' and browse to whatever you've saved it and upload. If you've done anything, for example you've not put in a centre number at the top or you've put it down multiple times all the way through the spreadsheet it will not process. If you've put a postcode but not done the right format of it, like maybe put extra spaces between the two sections or a couple of spaces afterwards. it won't process. It's very sensitive so just try and follow the instructions that are on it. I see a wee question there. Yes, you can use multiple tabs on the uploads: you can register some candidates, you can result some candidates, you can update completion dates for some candidates, you can do that there's no issues with that whatsoever. Obviously you can't do a registration when you don't have their SCNs and then try to make their entries at the same time because you need the SCN to make the entry but if you want to register brand new candidate results for existing candidates that's completely fine. This is the page where you would upload it. If your spreadsheet is fine and it passes validation it will upload and from here it takes about 20 minutes to half an hour to process. You can view your recently uploaded files by clicking on here and you can keep it up to date as well, you can delete the files and there's an option to delete as well if you want to delete them. Once you've done that it's up to you. You can keep them for as long as you like. Once the file's been processed we send it back to you. We'll send you back a processed file so you would click on 'view files' to download and then you'd be able to check to see if the file has processed okay so it might be that you've got 20 candidates to register and only 19 have been successful. There's been maybe one that hasn't been successful for whatever reason. It'll come back and it will give you an error message so you know why it's not being successful and then you can just deal with that one or two candidates where there's an error message separately on the Candidate Services side. All your files that have been processed will be sitting here and, again, you can delete them if you want to or you can open. You can open them up just by clicking on the link and they'll come back to you in Excel format. You can maybe use that for whatever you want, like you can copy paste and put that into your own records or make your own reports up just to give you confirmation that things have been processed and stuff like that. As soon as you get that back you can check on Candidate Services and anything that has been successfully processed will be there. Are there any questions on this side of uploads? Is this a new thing? Hopefully you'll be able to use it as well I would say if you've got any more than about five candidates and they're all doing the same qualifications or five candidates today just instead of doing them one by one on candidate services this is quite a good way of doing it and don't be alarmed for the first few times if you don't get the spreadsheet right, it's normal, just contact us and we'll be able to help you and let you know if there's anything not quite right with a spreadsheet and can fix before it gets uploaded. Like I said it's very sensitive so it can take a few shots to make sure it's right. Yeah, even for small centres like I said, if you've got a handful of candidates it just makes it that wee bit easier or a bit quicker. It all depends on whether you find it easier to create a spreadsheet or whether you find it easier to go in candidate by candidate. Another thing to remember when you're creating your spreadsheet: for example, if you're adding an entry creation and you want to add a qualification onto a candidate you actually have to specify the group awards and all the units so you would have to, for example if it's an SVQ, you would have to literally put in the group award code for the SVQ and all the codes for the units listed below as well. So you could do that, you could just put in the group award code and then the mandatory units and then, when you know what the optional units candidates will be taking. If you did more than one candidate and they're doing exactly the same thing, once you've put it in once you can just copy and paste it all the way down. Any other questions about this? Is there anything that you'd like me to show? I'd just reiterate again to make sure that you read what it says on there, the headings, like about how many characters are allowed and hover over the triangles to see any hints and tips about completing the spreadsheet. Settings as well ... what's in here again? I can't remember! So I wish to be notified by email when a new file is available for download, so instead of having to go and keep refreshing your files to be downloaded section you could set it up so an email will come to you to let you know when there's a new file waiting and yeah the email will come to your email address that's attached to your user. Is there anything else that you would like us to show you with regards to any other stuff not just for bulk upload but Navigator? Even if there's anything in Candidate Services that I know a lot of you will probably use daily. If there's anything you're not quite sure ... So candidate merging, yes it would be good to know what kind of issues you're having or whether it's more how to send in the request to get it merged. I'll keep talking and show you where things are but if there's a specific thing about it just it can take quite a while for the merge to take place. Merges, we actually get a really high number of merge requests and we can get up to about 200 per month so there is no quick way to do it and there is also quite a lot of IT support required when doing candidate merges. We do have a 15 working day turnaround or 10 working day turnaround sorry to complete candidate merges. It shouldn't go any longer than that. Sometimes obviously like with Christmas holidays and stuff like that, things can obviously take a lot longer and also during main diet so when the school certification run is happening during July they don't actually have access to do merges. I'm assuming you know where the forms are for the merges. In useful links at the very top 'candidate merge request form' this is the best way of requesting the merge. If you click on here it'll come straight to the candidate records mailbox. There's no messing about with this when it comes straight to us we log the merge, we decide which number, we have a look at both records we have to decide which number has to be kept, we put the merge through and it's an overnight process but there's a lot of IT support required with that. So sometimes, for example, if a candidate has just gone through recent entries, been put onto our records and they're going through an invoicing run we can't do a merge when that happens so we have to wait until the invoicing runs are finished and then put the merge back through. Again there's lots of things with merges but if you are finding that there's any more than 10 days then do chase up and let us know. It shouldn't take even as long as 10 days but we always have that as a backup There's a question about the electronic versions of policies etc to be uploaded in advance of EV visits. I think that's something for Jill to reply to. Yes please, if you do notice that candidates have got more than one candidate number then they should be merged, especially if they've got records /if they've got achievements and entries in both records, we need to have everything in the one go. If you choose that form that I've just showed you so just in the useful links at the top I think I've come out of this ... I'm in this one now So, in the useful links at the top you can request a merge you can request a replacement certificate and there's SQA Coordinator information in there as well. With regards to replacement certificates you may have noticed, if you've tried to request the replacement recently, we're unable to run them due to the lockdown just now sorry. So just to finish answering that question about the merges, yes just make sure that you you send any merge requests through if you're sure that it's the same candidate that's got more than one record then yes please do send a merge request through. There's no delay to certificates being issued due to the lockdown. Since this has all happened since last year we have had to outsource our printing of certificates to an external provider so there has been a wee bit of a delay recently, like in the last year since lockdown first happened and getting certificates out the door So although we're still processing certification runs three times a week we're actually not getting printed and dispatched like only once a week that's happening just now but that's not changed really since the summer last year, this is continuing on just now as well but the only difference you'll notice during this lockdown is that we're unable to run replacement certificates and because replacement certificates require one of our team to be in the office to actually dispatch and we can't have anybody in office just now. Any other questions even like there's a question there about certification. If there's any other questions about certification our team deals with that as well so it doesn't have to be just with SQA Connect, just any sort of candidate related issue. Okay is that us? You'll see our email address at the end of the presentation so if there's anything that pops into your head even after we sign off just get in touch and we can help you and the team contact details will be coming out to you as well. All the email addresses, although we're just the one team we actually work out of various mailboxes so we've got the candidate records, certification, replacement certificates, we deal with all that as well so no such thing as a daft question. As long as you get it straight in your head after you've asked the question then it makes sense afterwards and that's the main thing. Okay no worries so Jill, i'm just going to pass back to you then and but we'll keep an eye on the chat in case anything else comes in. Okay, well that was fantastic! Thank you so much Jenna and Elizabeth, I think everyone will agree those two really know their stuff! And at the end of this presentation you're going to have their email addresses so that could be a useful resource in the future as well I'm sure! So next we're going to just go back to our confidence questions again to revisit those poll questions and see if what you've seen today has made a difference. It's exactly the same questions again, please be honest in your replies. We will be in touch with everyone after this webinar to ask for your feedback so we can make improvements. This is very new to us so if there's anything at all that we could do differently, something you think we should add, then you'll have that opportunity to let us know. So, back to the question about how confident you feel that you understand what our requirements are of you. Oh, that's fantastic to see. Already some people now feeling very confident and reasonably confident so that's great. Just to reiterate that the Systems Verification Criteria Guidance is a great resource to go and read. I know it's a long document but if you take each criterion one at a time and look at that, especially the Awarding Body Requirements then that tells you what we need and, if you're ever unsure about what any of that means, then you've also got my email address that will come up at the end of this presentation too so please do get in touch. Don't be stuck with a question; we're always very happy to respond. Now the second question was about how confident you feel about maintaining those standards and requirements in your everyday activities. Oh fabulous, we've again seen a nice shift towards feeling very confident or reasonably confident and nobody yet feeling not confident at all so that's good to see. Lastly, the reports and yeah quite a few folk didn't really know what was there on Navigator and Connect so how are you feeling now that you've had that demonstration? Fabulous, thank you! So hopefully this is looking like you've found this useful and I've been watching the comments coming and seeing some lovely comments about things that you've seen that you didn't know about before that are going to save you time or just make your life easier and that's exactly what we were wanting so that's great. It just really remains to say thank you so much for your time to join us today, If you do have any final questions we have still four or five minutes left on this and and we're able to hang on for another five /ten minutes afterwards if there were any burning issues so please if there's any last-minute things that popped into your head feel free to type it into the box and and if you do want to get in touch with us afterwards you have got our email addresses in the powerpoint slide that's up. This presentation will be emailed to you after the event along with that handout that we talked about so you've got our contact details, please feel free to use them. Just checking in the box for any final question. Well, great ... someone's off to spend some time using Navigator now, fantastic! Okay, it looks like no particular / specific questions are coming in just now so I will just say thank you all very much for joining us do get in touch if you have any questions and bye for now!
