hello there and uh welcome to another easy as accounting video presentation I want to discuss the invoicing system that comes with easy as accounting on the screen here right now you see an example of an invoice this is how it would appear if it was printed this particular invoice is sales tax inclusive I'm going to close this down I'm going to go back to the main screen here we are so to access invoices you click on the invoice icon from the main screen here you have two choices you either select what we call a tax invoice which is provision for for inclusion of sales tax or you can create a non-t tax invoice which has no provision for sales tax if I click on non tax invoice this is what's going to come up when you go down the screen here you will notice that you have a quantity an item and a unit there is no provision for sales tax it will calculate an invoice without sales tax I don't need to explain that I think that's self-explanatory what I'm going to do is I'm going to click aboard and I'm going to go through a tax invoice if you can do a tax invoice you can do a non- tax invoice basically let's assume that I am giving someone an invoice this particular person yeah let's just call him Bill Smith and because our gentleman here is a Max lawn and garden care I'm going to put down I'm going to just put a reference lawn care and fertilizing that's probably not how you spell it but that's how it is basically that's what it is here now if I keep hitting the enter key on my keyboard next I'm going to be taken down to this section maybe I did quantity one lawn mowing maybe I've charged him 45 for that and you notice that since I entered 45 press enter it automatically calculated how much sales ta was in tax was inclusive in that and it put the total here well it added the sales tax to it because of course sales tax is is added onto it if that particular right if you look on the side here it tells you that the particular rate of sales tax ing to here was 10% if that rate was not 10% you can change that line this works poop by line folks so I'm going to change that to eight and it's we C Cal at this figure for me and it tells me that that particular line is 8% it got the 10% because that's the default rate of GST that is set into the system so you can change that let me just do another one here and I'll show you one a lot of fertilizing you will notice that's applicable of 10% so if you know if you're in a country for some reason I don't know why I do this but for some reason a particular item is is calculated at a different rate these invoices are very flexible you can calculate that ingly you do have what's up here called a full price calculator what's interesting about that is let's say you told this particular gentleman that you were going to put up his garden shed because he's a lawn mowing man he might have put up a garden shed and you said look I'll give you I'll put that garden shed up for you I'll concrete your slab as well and I'm going to charge you 350 bucks to do that for you and then you go damn that's inclusive with sales tax I've got to calculate the sales tax so you might not know what the price how much sales tax was included in that because you just gave him a figure off the top of your head click this full price enter in your 350 that's your rate of Sal STX click finished and it puts it here for you it tells you that if you were to enter that in now if I enter that figure in here garden shed and I enter $ 31818 there we are it added that to that and it knows that that's 350 so it tells you what the price you should enter in there see strictly speaking it doesn't react like the expense calculator it's a bit different there was no why of including that in here because it's something that's not supposed to be done because you were supposed to add sales tax in most countries after the fact we know in real in in real land of actual work environment doesn't happen that way I mean you give people a quote price and then you go oh yeah and then they turn and say is that inclusive of Sal STS oh yeah it is if you give them a that that's an on the spot price but if you a lot of times if you give them a quote you might say oh you know a physical quote sales tax is extra whatever but anyway that facility is there if you want to know how to do that it'll save you having to calculate how much sales tax because you've got to know the unit price first before the system automatically adds that so that is a way for you to briefly understand that okay you do have a rounding up rounding down feature down here in this case here it's it's equal to 400 the price of the invoice is this whole figure here you know what happens if the invoice wasn't that let's try to change something let's make that 11% and see if we can make that a yucky figure yeah good on it make it 11.5% okay this is nice I've changed that let's say that that was the total here was $433 2017 well you give some an invoice like that so we can tell it we want to round up or down so I'm going to round up so now the invoice is rounded up to 43320 so you're going to give him that invoice and you've rounded it up right so that looks better I think that that's pretty obvious I don't need to explain that right I don't need explain any more there that's the invoice done if you have a look at the top here I could click this icon here which shows me how it's going to appear if I printed it so I'm going to click print preview and it says look this this is how the invoice looks I'm going to move this out way for a sec this is how the invoice looks if it was printed I happen to have turned on my logo on the side there so that looks a really nice looking invoice from this screen I could actually click this here and it'll print anyway I'm going to close that you can print here this here will print two copies to your printer this is directly to your printer folks this here is separate all together this particular item here will print what's called a rich text file into to your um my documents folder and it will allow you to attach that particular type of invoice to your emails what's so different with what's different about this and using a PDF this here numbers it I'll give you example if I print this now right it's rised away it's printed that save that invoice to my my documents folder I'm going to come back to that I'm going to show you that if I have a quick look here I can select to print this either to my printer My Brother printer in this case I've left it on PDF because you can print it to a PDF file and attach that to an invoice if you want or you know how you go online you download PDF PDF books and download things that's the same thing you can print it to a PDF good thing about a PDF is this if you print it to a PDF let me quickly print this to a PDF see PDF is just selecting the printer so I'm going to click the printer print it to a PDF it will appear exactly how it would appear if you printed it out of your printer okay now the PDF is is is a printer function that you have to on your computer it's got nothing do with us there is links on our site that might show you where you can go to do that okay that's how it's going to look if it was printed to a printer if I look at a jump in here and I have a look at this invoice okay this is theal invoice here we had invoice 470 453 let this pop up on the screen it's going to take a couple seconds I'm running out of time there we are it's not it's not as pretty see that it's not as pretty it doesn't print the logo and it's not as pretty but what's great about this system is it numbers it for you it'll print into your my documents folder and you can save a hard copy there always numbered it numbers it as you look back here you'll have a look it's always going to be numbered you got it there number one means business number one because we have five businesses in a line line one line two line three you know that's business number one it's always got a number there and you can keep that they attach it to invoice okay so that's another way of sending invoices through email
