welcome to the postal mate webinar DHL rate-setting compete with DHL online my name is Karen grant and I'll be your instructor today all right so we are going to talk about hold on I had one person say no video you can see my DHL screen correct hello thank you okay perfect all right so it's just one person okay so we're going to talk about how to compete with DHL online and historically in our industry we've often just set to compete with DHL at 0 over published thinking that was competing directly with the carriers when in fact with DHL in particular that is not a true statement and we're going to look at that and we're gonna look at what settings you need to do in order to compete with the DHL online prices because as you know DHL is the go-to for basically any international shipping we here in the United States don't think of DHL all that often because they're kind of a quiet newcomer if you will even though they were started in the United States they are the international standard outside the country and I know you've heard this but I can tell you is one who has travelled in different parts of the of the world it's true if somebody's going to mails or ship something they either will go to their local post office or DHL those are the only two considerations so when you have a community in your area that is international in flavor when they think of shipping or mailing back home they think of DHL so if you don't offer DHL that's the own that is the biggest reason to get DHL even if sometimes you send that by mail or FedEx or UPS they will come in because you offer DHL so it I can't help you to bring customers in your door very much that's your job all I can help you do is make the most money you can once they're in the door but offering DHL does bring people in your store whether they end up using DHL or not so that's something I want you to highly consider so with DHL there are different prices based on the volume that you give DHL they're actually currently our five tier levels but we're only using three of them in the industry two will be coming they range from tier level 0 0 to tier level 4 currently only 2 3 & 4 are active tier levels the the higher the number the better the discount so the higher that is so if you're a tier 3 which was kind of the gold standard before and you may still be at tier 3 but you do have to give certain amount of volume to DHL to maintain that if you don't do very many DHL as a couple a month you probably at tier 2 and you're at risk in the future of dropping down to tier 1 or tier 0 when they open up those tiers I don't have any word on when that's going to happen only that in the future they will have tiers with with not as good discounts called tier 1 and tier 0 so at this point you're either at tier 2 3 or 4 that's absolute so you need to make sure I'm posting what you're setting and postmates correlates with your correct tier the DHL does not share that information with us they only share that with you that's called that's private account information your pricing group so we allow you to set that in postal mate and carrier setup tier 4 was recently introduced and if you're an independent store the best way to get that would be to be an RS Associates Premium Member and you have to have volume of 300 dollars per month I believe it is or higher that's not too hard to obtain the other way you can obtain a tier level 4 is if you're if you are not an RS member then you have to have ship at least 1,500 dollars a month and you would be able to get it so it might well be worth you getting if you're not an RS premium member consider that as your next move ok moving right along so see the C number and post mate we often talk about our is the price that you are charged before your discounts so that would be the the straight that's not the same as the online rate that's the published rate well where is the published rate the published rate is in the DHL service and rate guide and you can download this or look it up if you have nothing else to do on some day and you really want to look up a bunch of numbers you can go and look it up when I make sure every one small I'll have somebody say oh you know DHL pricing is not right and postmates yes it is and all I have to do is go to this book and see that the pricing is correct usually somebody will call and say that because they have selected the wrong tier level in postal mate or they there was some other charge on that package for one reason or another usually has to do with dimensions or weight so this is the service guide and we match the service guide to the penny okay absolutely to the penny so you will have in this little tiny box in the lower right corner and that's obviously I stole that from our rate comparison screen the a C and D number is what I'm showing and that C number will match what's in the DHL service guide okay so we think okay well that's what's online right well when your customer goes to get a quote online they don't pay that price they get a 20% discount that's available to the public just for using DHL online yeah so you're 63 percent discount he needs to compete with the 20% discount now that's not as hard as it sounds I know it's a lot of numbers I know you don't like math we're okay with that honestly this whole discussion there is no math for you to do I'm gonna talk about math but if you want to set up your rates all you're gonna have to do is follow the guidelines that I'm going to give you in a handout there is no math for you to do promise so you need to make a decision in your store are you gonna charge higher than DHL online charge the same as DHL online or charge less than DHL online there are great arguments for all three probably if you want to compete with DHL online you're looking being either the same or a little bit under now being under you don't have to be magnificently under if you're a baka under you can then advertise I'm less than THL online and that alone will win you some DHL customers maybe you want to be a little more than a dollar maybe you want to be $5 or $10 or a percent you can set that up and postal me I'm gonna show you in the guidelines how to set it up to be one dollar less then DHL online and how to be equal to DHL online but you can choose just by looking at the example to go more than that now if you want to charge higher than DHL online we'll talk briefly about that too and that's okay that you do that many of you have stores in areas where you should be charging more than DHL online because your customer is happy to pay for the convenience we all wish we had a store in your neighborhood this is where you live in million you know there are a million dollar homes all around you everybody drives fancy cars and they just time is way more important to your customer than money unfortunately we only have a small percentage of our stores that are in that district most people have penny pinchers and just so you know that I know the richest customers you have with the exception of those really fragrance way granade rich usually the more wealthy the customer the more penny pincher they become and I always tell you that's that's how they became wealthy is because they watch their money so let's move forward here I'm on it point you to on our handout or on our DHL cheat sheet number 19 205 and they will know which one that is that way I'm starting going to start numbering because we've gotten way too many cheat sheets for our support staff to keep track of please go ahead and email them once you have that in hand that's kind of the instructions for what we're going to go through where I promised you that you don't have to do math you just if I have to follow the pictures I'm sorry I'm not as good at making cheat sheets as as Colette is at making our tech notes hers are much much prettier I'm getting a little better but it's still only barely passable so I apologize for that I will improve okay so we need to talk about your profits going up yet having lowest guaranteed prices and folks don't be afraid to advertise lowest guaranteed prices if you're gonna be like let's say you want to be $1 less than th all online you should be advertising that you have the you guarantee the lowest prices available to your customer in your community and if somebody else if you have a competitor that that offers a little bit less well then match them on that one it's no big deal your customers not going to go rate shopping that strongly for the package or for the price on that so don't be afraid to offer I always it always bothers me how we're so afraid in this industry to offer low a low price lowest price guarantee you can put caveats on that your believe me your grocery store that advertises that they put caveats here's what they'll say well we can't compete with Amazon or online and we can't compete with big box like Costco and Sam's Club but we'll compete with other similar grocery stores okay well you can do the same thing you can advertise lowest price for any carrier you want to advertise not just DHL but I will tell you that you DHL is the best simply because it's all international and that's where you have a very good profit margin given to you by the carrier so for FedEx Ground or UPS Ground for example you have a very small area of profit margin so being under the on line price for that usually is not a win when circumstance for you you usually can't keep your doors open if you're not charging a healthy margin on those items so again I promise no math and I'm gonna show you things that are gonna look like math and I'm sorry they're not really math but I'm just and we're gonna go briefly through this because this is part of the handout that I gave you okay so the first one is how to be a dollar lower than DHL online and there's steps you're going to go through and we'll talk about that but it's setting up your rates and going in and setting them up in the advanced rate section and the first thing we do is step number one is we set our rates to be 0 over published then we go back and we take a 20% discount off of those so that we match the DHL online price and we also take $1 off so that we're one dollar less than the DHL online price so this is step one then we click OK then we're gonna go back and do the step two and then click OK and then we have to make sure that our surcharges we don't have any markup on those which is something I almost never recommend but again this is a special pricing thing you're doing to compete with online so it's ok to do that in this case that's how we would set up to do lower than DHL online again we'll go over this more equal to DHL online very similar we're gonna just set it to zero over published and then we're also going to do that 20% and I didn't include that in this also do that 20% discount and then again make sure that your surcharge rates are the same price as your cost and then if you want to be higher you're probably already higher many of you are higher so if you are higher then that's fine and if you want to reset that so that you're not quite as high you can do that in your settings again the paper that I just gave you will help you with that so we're gonna go to postal mate and let's see yeah lucky me I haven't even opened postal mate today my goodness when you come in in the morning do you open post went fresh every day I hope so because we send information sometimes that that needs to reload or to load when poster mate launches each day so that's a good thing to do sorry about that okay once we get here here's what we're gonna do to make those adjustments and I have no idea what my current in fact let's go check what my current rates are because that's often the question how do I check what my rates are and we have a short video on our website that will walk you through how to check your rates but basically we go to tools postal mate settings set shipping rates now this is where we would set them globally but we would go over to the Advanced section DHL is all in weight based there is no DHL fixed-rate at this time so even the envelopes are in weight based and then we're gonna select DHL and here's where we have worldwide which is your packages and then letter so we'll look at world wide at first and these are my retail rates and let's see here's my my wholesale rates and here's over published okay so I have it set to zero over published right now which many of you probably do but that means I'm 25% higher than DHL online so that's probably not where I want to be if I want to capture the international community in my area especially if I had tend to have a thrifty bunch of people so in order to change the rates we'll change this back to retail and I'm gonna go through this kind of quickly because the pay and you can follow along in the paper if you want I'm gonna select all and click formula okay the first thing I'm gonna do is wipe this out and enter zero and change this to published this reestablishes I know I just looked at him and they were all it published but I just want to do that in case I had some set funky way down at 150 pounds or something and then I'm gonna go back into formula and I'm going to drop this down to the next one adjust five percentage and/or dollar in this case I'm going to enter minus 20 not point to oh 20 a full 20 so minus 20 and now that's what I would do if I want to be equal to DHL online but if I want to be $1 less then I'm going to enter over here $1 scuse me whoa I almost did that wrong Oh shame on me - $1 I'm always in the habit of raising not lowering so - $1 okay got that and then click OK and now I will be at least $1 less now I will warn you because of pennies rounding between margin and markup you will see that doll it won't be a perfect dollar it might be I think I will go check but I think it might be $1 $5 $7 $8 maybe you've been up to $12 - something like that we'll check it in just a minute then click Save and then close okay I'm gonna go back in there and take a look again and then I would go back through and do the same thing for letter okay but I'm gonna go back through here and check my rates again so profit percent over published and I should have negatives in there and that's a good thing okay profit percent over retail I should have power over wholesale I should have positives in here that's a good thing and then close so when I do a package internationally it will quickly run through to the rate comparison screen yeah my go-to because it's easy for me and zip codes come on okay okay and so I'm just going to enter five pounds and here's DHL and you can see that shoot okay I blew it mm-hmm back up one more time I did this yesterday I was helping a customer I did the same thing yesterday see I make big mistakes too we're gonna go back through I almost did everything right I forgot one step and you probably saw it okay DHL worldwide retail select all formula zero published okay save I missed the first save select all formula drop this down - 20 + - $1 there we go perfect okay try that again I know you also get a kick out of when I make big mistakes would be five pounds and yes I should always enter dimensions okay that's better that that's still okay turned out the same for that one so remember this is the published price not the online price the published price the actual online price is twenty percent less than this somebody grabbed a calculator I don't have one handy and do 196 point 10 times 0.8 and tell me in the QA what that totals 196 point 10 times 0.8 and it should be a hair bit higher than this number right here okay somebody already came up 156 88 perfect I'm a dollar and 10 cents less guys a dollar in 10 cents so that's the goal for many of us is so you can advertise less than DHL online and we do the customs form for you I mean who wouldn't want that right so that's where I want you to go with that it's not a requirement of course it's not duh I and it's not when I say I want you to go and do this I'm not speaking to 100% of you because every one of your stores is different but for I'm gonna say four easily sixty percent of you maybe higher on this is the way to go and to bring in that international community you should also be advertising to them they'll usually have a local paper or some kind of something in their language and if you don't have that speak that language that's perfectly fine always encourage you to hire somebody in your area that speaks the language of the community so I live in Arizona so it was always helpful to me to have a Spanish speaker at my store I loved having a Spanish speaker at my store and because when you when a person learns that you have a Spanish speaker there they will tell all of their friends to come to your store because you can do business easier in that language so always consider that okay so do I have any questions so far on this is there everybody happy with this okay gonna move along then because this is going to be a pretty short webinar and I'm going to go through and do some more Q&A here I have screens behind screens behind screens okay I do want to talk real quickly about Expo we're gonna be there also we'll be in New York I don't know if I'll be in that event particularly or not but I maybe I haven't decided we haven't decided who's going because I have some other trips coming up I have to go to and then Anaheim but we will have at least three of our instructors I got to tell you I work with an awesome team there's a ton of knowledge I think we added it up and it was way over a hundred and twenty some years between the five of us in industry so a lot of Industry knowledge there and then Q&A so I want to talk about QA and if we have other DHL questions I am open to other DHL questions so um I have somebody who wants to offer 25% off DHL how will that fit into this rate setting well the question is are you wanting to offer 25% less than DHL online or are you wanting to offer less 25% less than the published rate and so that would make a difference in how you set that up in one case so less than published you're going to be you're going to be probably changing that 20 to 25 in that case if it's less than DHL online then you're gonna be changing that 20 to 45 and it's you're gonna be making it ET bitty itty bitty margin sorry guys I have two really big screens that I use for this what I really need is three screens and they hate it when I say saying things like that okay there we go oh okay you can see me again all right so let's go through I had a few questions come up and I'm open to any other questions so somebody's mentioned a DHL error they got which is global mask our global mask error is always a postal code City match error I'm not saying you have the wrong postal code I'm saying the postal code and the city does not necessarily matching DHL Sweatt servers so there is a website just I need you to Google DHL DCT it's it's the DHL compatibility tool is what it is and bookmark that and that will help you with postal codes it will help you with city names it will help you with suburbs that are required DHL requires suburbs and they're called different things in different countries I want to say in a good 50% of all shipments and if you don't have that in the right place and spelled the right way then it's going to be a problem and I have seen lots and lots of shipments DHL shipments with on that fail because of the wrong city and I know you're not geography experts I'm not asking you to be I'm asking you to use the DHL dct or Google things had somebody last week trying to ship to Macau China well Macau is its own country so you know we need to we need to make sure that we have the right place names because honestly your customer coming in may not have a clue what they're with what where they're sending it um okay so yes the surcharges are correct and postmates yes the surcharges are correct and postman and DHL has waived some of them for da SCS DHL authorized shipping centers and let's see [Music] the DA let's talk for a minute about the DHL pickup request I have a little bit of information we are still working with DHL on that so in fact I'm gonna go I'll never be able to get this back but I'm gonna go to the DHL set up real quickly when you when we updated your postal mate we put in some default numbers and it's always scary when we put in defaults because it sometimes leads you to believe that that's correct for your store and I apologize for that but we have to have something in there if we leave it blank then it can throw all kinds of server errors and throw up and things like that we don't want to do that so we do have some defaults in here so see these numbers here when you setup your pickup request 2 p.m. and 6 p.m. our defaults there everybody got the same default you this is not relative to your store you need to come in in here and change this um it would be really weird if this was correct for you but I suppose it could be for some you're ready buy time must be set to 1 hour earlier or more than your actual cutoff time your cutoff time is different than everybody else's cutoff time um well I shouldn't say that but some people I have stores that have an 11:00 a.m. cutoff time because they're four hours away from the airport I have some people who have a 6:00 p.m. cutoff time because they're downtown central near the airport so your cutoff time whatever it is that DHL gives you this ready time needs to be at least an hour before the cutoff time so call DHL give them your account number ask what your cutoff time is and set this and I'm going to recommend that you set this an hour and 15 minutes before your cutoff time so the errors were currently see seeing on this her seem to be happening after your cutoff time or after actually after you're ready buy time so things that you process at the end of the day that you need to pick be picked up tomorrow and it's actually errors you're not seeing on it but that the carrier DHL is seeing and they are finding that their system is not automated enough to roll that over on there in so having to go in and there grumbling a lot about it I think it's something I'm hoping it's something that they can correct on there and otherwise we have to figure out a way to anything after your cutoff time we have to program a way to hold on to that and then shoot it out the next morning which is kind of a pickle and put us in but um so that is what it is I had one customer just mentioned that the audio keeps going in and out is that true for all of you or is that his speakers okay others can hear just fine so it must be your speakers sorry about that okay so the other thing we are getting some seeing some DHL shipping errors and some of them are very very frustrating we're still working with DHL on that and here's what I can tell you there's some errors 150 to 156 157 that really have us puzzled and here's why it has this puzzled is we can work with the customer and and and ship it and we can be logged in and ship it get the air ship it get the air shipping at the air ship it and goes wait what we didn't change anything and we're seeing that quite frequently that we we didn't we just kept retrying and eventually it went through but the thing is it could take hours of trying that we don't know I mean obviously if you didn't change anything and it went through once and it didn't go through a different time previously then it's nothing you're doing wrong and it's nothing we're doing wrong and mmm that only leaves one person who shall not be named so we are working with DHL to try to figure out what can be done to catch those the problem is we can't recreate them we kind of you know can see it sometimes but then it goes through and so it's really hard to figure out why and what's going on with that so those are the those are the hardest kind of errors to figure out all right and you're probably right Wolfgang it's probably a correct thing is there a good way to do DHL hold it location used to be you know if you don't want to use Oh hold it location you know I don't have any good information on that so this is when you're sending DHL to a place and instead of having it go to the address that it's that the person lives or works at you have it go to a DHL hold that location and I got to tell you I'm not overly skilled in that here's what I will never try to make things up but here's what the one piece of advice I will give you anything where you have a holdat location always include a blank label and place it next to the DHL label and say if you if any questions call and put your store phone number and put 0 1 prior to your phone number so they know it's the US phone number because phone numbers worldwide tend to look alike so always always do that and now I always put that on every international shipment except post office regardless that way if there was a question through customs or if there was a question about returning the package um it would be very easy for them to reach me because they can't return a package without your permission and charge you for it even though this is all carriers without and that's that's a rule but they tend to do it anyway so they do need your permission to return it on your account ok sometimes Oh so sometimes lowering the declared value seems to help it get through and that's not a best-case scenario that's a workaround I don't like that workaround and because you probably want to cover that package with declared value coverage or for any loss or damage I think you know we don't know exactly what's causing that particular error but it has to do with some behind the scenes automatic commercial invoice thing that's going on and and so again we're working with DHL to see if we can figure out why lowering the value sometimes lets the package go through and remember customs value and declared value are two completely different animals for customs value you can have if it's you know $150 put in $150 you can still have a declared value of zero you just cannot reverse that okay soompi customers would like to prepay or pay the duties and taxes instead of the recipient can we do that no we cannot all of the carrier's required us to choose one-way method of handling duties in taxes they don't have a way of allowing it per shipment through their API they do through their web services but not through the API that they offer for us to use so we had choose one for with each carrier and so we chose recipient pay duties in Texas because that's what most people want most of the time but I realize in it's not a hundred percent you may have to use occasionally the DHL website of the carrier website or used an air bill DHL in particular has been trying to get rid of air bills they if they have had a program going on for quite a number of years called Kill Bill which I think it's kind of funny but oh no mr. bill right but yeah so sometimes our bills are necessary sometimes that's the only way you can do it in a hurry okay um more questions a couple of them I'm sorry you hear think I've covered most of them if you have another question type it in quickly or part of it quickly somebody else recommended for a hold it location to use the carrier website and that might be the best answer and I will tell you that the API that they offer to us and and I when I say to us I'm not being spiffs they don't have a special one just for postal mate but an API which is a server connection to us that they also you have for all third party shippers that use it so if you had a an export company and you DHL was your exporter of choice you would be using the same API that postmates does has limited things that it can do compared to web services of their shipping label especially going to Mexico Mexico has and I'm not picking on Mexico a lot of countries have problems getting through customs and duties a lot of countries have things you you cannot or ought not to send to foreign countries like Mexico anything made in China leather products or a problem going to Mexico chocolates and candies can be a problem problem going to Mexico food of any time type going anywhere medication supplement supplements and vitamins don't bother don't send it it basically the rule is if you can put it in your mouth and the answer is no don't send it so um those things we need to be concerned about okay I think I've got pretty much everything else and ooh yeah Hwa we're not going to talk about that no politics in webinars okay I want to thank everybody so
