running a business can be challenging but being a business owner in the food and event industry has its own sets of challenges so today i wanted to share with you my eight favorite apps that helped me with growing my business keeping me organized and productive for those of you that are new to my channel my name is jessie i am an event coordinator and business coach specifically for food and event professionals on this channel i talk about everything that is important to entrepreneurship in the hospitality field so if you are interested in these type of topics so make sure you subscribe so that you can stay updated on my upcoming videos so let's get into the topic of the day i decided to do this video because i get questions all the time about what app am i using people see that i share stuff on my instagram stories so i thought today why not talk about some of these apps that i use if not on a weekly basis but definitely on a daily basis i think it is super important to know how to use apps so that it is saving you time you have a lot of things on your plate and you have to actually execute your services with that being said it's going to be super important to have the right apps that are going to help you stay organized and on top of your business my first app recommendation is going to be evernote or your notepad and your cell phone it's super important to make sure that you have a space that you can dump out ideas important notes so that you can focus on what's important right now i find that it's easy to feel overwhelmed and forget about things if you're always thinking it in if you're always thinking about it in your head i am a big fan of just getting things out so that i can give my focus to what i need to focus on at that very moment i like to be able to just do voice notes or i can do voice text so that again i'm just letting that out and then not having to always keep thinking about those ideas over and over again the second app is google calendar i am a planner girl i love planners right now i do not have a day planner i have this is the first time in a very long time that i have not had a physical planner and i am probably going to go back and get one but what i do do is i regardless if i have a day planner or not a paper planner or not i will still use google calendar i love google calendar so that if someone's interested in scheduling something with me they can actually send me a request through google calendar i have it linked to my honeybook account so then i can make sure that i'm not overlapping and double booking myself one of the great things that i like about google calendar is that it allows for you the opportunity to do time blocking have alarms i also like to have daily tasks that come up as alerts on a daily basis to help me stay focused on what is important that will be an undertone for almost every one of these apps because we got to stay focused and we got to keep on top of our business i don't want to do anything that's going to take away my focus or what i need to be my focus on what i need to be doing at that very moment the third app is asana asana is a project management system i have been using boards on asana now for a minimum of four years i like the fact that i can keep track of my daily goals my quarterly goals my yearly goals i also use it to keep track of projects like youtube videos so i know what needs to be done i have templates that are set up in this platform that helps me with keeping those things organized a part of me was thinking maybe i should do a video on how i use asana in my business if you think that that would be helpful for you comment below and let me know this can definitely be helpful for business owners but also if you're someone that's a food or a food content creator i think that asana is going to be something that's going to change the game for you because it keeps things really nicely organized you can have assigned team members so i have people that have helped me with graphic designs copywriting my admin assistant also has access to asana so i can assign specific tasks to the individual to the specific individuals and then they know what part of the actual project that they're responsible for so everyone is on the same page trello is the fourth app that i recommend to be very honest trello and asana are very similar i do use trello for my clients that i assist um with either consulting services or you have with my consulting services essentially is i find that for some people that might be a little bit more user friendly and to be honest the reason why i use both is because i have some really great templates that i either bought or that i created that i have on asana that i just keep using so that's the reason why i use that specific platform um the thing about trello is that they limit you on the amount of project boards that you can actually have where asana i believe is unlimited both have free versions to it so if you are one that's trying to keep your expenses and subscriptions down um both of these apps are free the fifth app is going to be google drive y'all are probably thinking that these were going to be some revolutionary kinds of apps i was going to share today these are probably things that you have seen or heard but you haven't figured out how to use these in your business google drive is given to anyone that has a google account i love using google drive for storing um my sops for my business we also store any content creation i have a folder specifically for blogs i have a folder for raw images raw videos edited images edited videos i also have been for years using google drive as a resource for storing all of my photos and videos for my event planning company this has totally changed up how we're able to do our marketing because when things started to become more video based i didn't have to freak out about what videos to use for reals because for years we've been recording video footage at the event and putting it neatly in our folders so one of the things that i would do is i have a lux giving folder in that folder i have um event photo i'm sorry event content photos i'm sorry i have a event content folder i have marketing folder i have a sop folder i have individual folders so that when i need to find something i can easily just go there so in my event content folder i have them divided by months so when i am looking for images that are going to speak to the fall i can specifically go to september or october and look at photos from previous years that we did and use that for updated marketing materials it will change your life take advantage of using your google drive and setting up a structure that's going to work best for you so that you're organized if you're one of those people that stores everything in your phone and nothing makes sense and you're like trying to find things that is not effective it is not productive and it's definitely not efficient so take advantage of using that actual app the sixth app that i'm going to recommend or the six platform because it's not really a app or i don't use it in the app format i use it on my desktop and that's convertkit which is what i use for my email marketing i know that there's a lot of other email marketing platforms that are out there but i'm going to be very honest with you i find that some of the other ones that i have used in the past because i have used them because they were more cost effective but what occurred was that my open rates were drastically diminished by those platforms i am usually emailing corporate offices and because of those platforms uh layouts i'm assuming that a lot of my emails were getting caught and spam i had it at a point where some of my clients were emailing me saying hey jesse are you still doing these newsletters i don't hear anything new that's going on and it's not that we weren't doing newsletters it's just that all of our newsletters were going into their emails so when i switched over to convertkit i found that my open rate is crazy good um my open rate is around 40 right now so if i'm emailing 700 people 40 of that 700 people are getting access to my information in my event company and i love how it keeps me organized i get a chance to see who's unsubscribing what are the new subscribers what are people clicking on what are they really wanting to know more about and it will help change your life the seventh app is clockify clockify was introduced to me um by someone else on youtube and i saw this app and i was like hold on what clockify is a app that allows for you to actually track your time this is important especially for those of you or and i'm gonna include myself sometimes we can find ourselves getting so distracted and doing something for hours and hours not because we're doing it effectively is just because we're killing time what i like about clockify it will allow for you to set a timer to see how long it takes for you to complete a task but most importantly i find that if i have something like that going on i am more efficient with that time instead of me just sitting on the couch trying to do some work or saying i'm writing blogs but in reality i'm scrolling on instagram so if i see clothify on my cell phone or on my desktop saying you've been doing this for 20 minutes 20 minutes one second i'm like okay let me do this work as fast as i can because i don't want to use my time ineffectively what is this other great part about using clockify is that it will give you a realistic time frame on how long it actually takes for you to finish certain tasks so let's say you set the timer and you're doing your blog if that's something that you do or let's do something i feel like most people are doing like if you're getting caught up on email you can log in as email set the timer and then once you finish your email turn it off then you'll be able to see does it really take me three hours to do emails or did it only take me 30 minutes this is important because what we do at times is we over exaggerate how long it's really going to take to do things so if you can actually see how long does it take for me to do this specific task then you will find that you're going to use your time more effectively and you're going to get more stuff done word board is one of those apps that once you start using it i really think it's going to change your life this is an app that i've known about for years and i just really started sharing this with other people that are in the business and workboard is something i've been using for years and i thought a lot of people knew about this um i know that if you have an iphone we have quick text type of stuff that you can just have populate into messages if you know how to do those shortcuts but i like the fact that word board allows for you to store common phrases or links or anything that you use or sent to people on a regular basis i like to use word word for emails for instagram messages so i have a practice that when anybody new follows my event page i always thank them for following my page well any of my platforms i always thank people for following the page and then i start up a conversation do i want to retype that message each and every time no i do not so what i like to do is that i have a word board template that i'm able to populate so when i give myself a 15 to 30 minute break where i am getting caught up on new comments likes followers on my instagram page i already have templates saved right in my phone that makes it super easy for me to message people um or even if you are one that use it use email on your cell phone and you know that you always are emailing something specific you can always set that up as a template so it's super easy for you all right so these are some of my favorite apps and platforms that i am currently using and i have been using for a very very long time and to be very honest with you there's still some more that i did not share with y'all today not out of any uh i just don't that i didn't share with y'all today just because i didn't
