good morning guys i'm in my office this is sunday and it's a little bit it's a little bit cool outside i'm actually in here paying taxes but i had a friend of mine requests that we do a video um of how to do invoices and some of what we do in quickbooks i'm going to do a quick video of how we do an invoice on a changeout and some maybe some of the other videos maybe i'll do a video add this to it of um a regular invoice like a motor change or something like that so stay tuned for that if that's something that you might be interested in here it [Music] goes here we're going to do a quick estimate on a three ton change out and in the middle of this i'm going to try to show you my pricing and how we price this in the steps we go through so here we go we're selecting three ton heat pump split and of course the price listed is not exactly what it should be i'm here changing the item details to a 14 seer adding 10 kw float switches and information about the warranty i am i always offer a 10-year parts warranty a one-year labor which means i need to register every unit that i and in the long run your customers are happy that way if you sell them a 10-year parts warranty and you don't register the unit and if something happens later they're going to be pissed if you tell them something like oh it's your job to register the warranty no they're not going to use you anymore after that coming up here i'm going to start adding some of the line items here we are adding an emergency drain pan this is a metal pan and the prices of those are going up quickly next i am adding my line set which this price may not be completely accurate and we're going to do a line set cover on this one and i realize my prices are not compatible with you know really urban areas here i'm changing the price of my line set cover because that's metal and those prices have gone up recently next i am adding a thermostat now my prices on my thermostats are not exactly the same thing as don't have the same markup as other prices here i'm adding just like miscellaneous supplies and you can set something like this wherever you want it this is for duck insulation tape screws all the little things that add up and here we're adding a plenum because we may need to change the supply plenum and next we are adding the permit now i charge 100 for a permit that is not my cost but part of that is paying for somebody who can pull a permit because not everybody can pull a permit for a hvac job and i'm looking over this and we're fixing to add our labor now my labor rate is not exactly what most people charge in more urban areas and i mean their rates can be really high i do overestimate on the length of the job and right here i'm showing the actual price i pay for the equipment and here's where we're about to put that in we're going to change this price to what i paid and this is out the door plus taxes price for a three ton heat pump split and once i get this entered i'm going to show you how we add markup so this will give me my total price of labor supplies everything and you see here is 4 359 i'm just going to use the first three numbers because of how i do markup 435 my markup is 27.5 because i'm only using the first three numbers i multiply by 2.75 and that's what i come up with that's my markup and i add that to the price of the equipment now if you do estimates in this way you're never going to lose money and i have made a habit of not bidding on a job that i can't pay for out of my pocket myself so that estimate is basically done and here's my total price 5556 i'm just going over it making sure i didn't forget anything and it's a good idea just to go over it and read it before you actually send it because it's hard to go oh i made a mistake and send them another one all right so that's basically how i work up an estimate i think i will go over doing let's say a regular invoice for excuse me a regular estimate for a residential customer and i think we'll do that with a motor and how about some freon we add to it so here that goes here we are assuming that we have already diagnosed a um blower motor that has failed and we may suspect that it's low on freon you always first add your diagnostic to your estimate so that when you present it to the customer the total fee is included and here we're going to add our labor and we may overestimate a little bit there are some times when you can bill for the exact amount of labor and sometimes i do that with my rental companies actually almost all the time that's what i do and here i'm typing in rescue because i have several rescue motors i'm going to select the right one that price is not totally accurate but um we'll use that and we'll just pick a capacitor here to go with it and add that to the estimate and because we suspect well i think we're going to add um some like wire terminals here like i said before if you have to buy it you need to charge for it and these may be wire nuts or you know simple little things if you're not charging for it you may be leaving money on the table and that's basically it for the motor but we want to top off the system make sure it's completely charged and here we're adding some freon right here i'm showing you the actual price paid for a yoga freon 443 dollars and now i'm going to show you how i come up with my pricing on refrigerant so that's with the tax added that's total price for a drone and there's 25 pounds in a drum so you divide by 25 that's what i paid per pound and i multiply that times four that is the number i come up with for my refrigerant now in the example i'm showing i don't have that exact amount i go in and i changes but that's how i come up with the price of freon i realize that some people charge a lot more for that and maybe some customers may not like that but that is a very competitive price for the freon and here i'm just typing in what the estimate is for the estimate is completely done so as you see if this is just a blower motor and you need to top it off with freon you estimate the freon beforehand now afterwards you can tell the customer hey i didn't need to add that much and they'll be happy about that but here is a real estimate for replacing a blower motor and topping the system off when you're done all right so that's a quick video on how you do estimates and on the first one i showed a change out and i have never lost money doing it that way now if you're doing a repair and topping a system off or something things can change i realize that and if they do you come across something else you need to notify the customer as soon as possible also the amount of refrigerant can change and if it's more than like two pounds you probably need to stop and tell them hey i need to do a leak
