premier over on the left you'll see all the menu items Jonas is an all-in-one solution so it manages all your accounting and project management in one software solution at the top left you'll see all the accounting related menu items such as GL bank a PA our time and entry expense directly underneath that you'll find all the project management menu items including approvals and document management let's click into the project management to view the job dashboard at the top you can easily select which company job and date range you'd like to work with him as a selecting new job you'll notice the dashboard changes to reflect that in user preferences you can even set up your default companies and jobs we recommend that project managers review their job dashboard daily it gives you a centralized view with high-level KPIs on the performance of your job it also gives you a reference as to what is outstanding and what requires your attention for additional approval anything highlighted in red means it's high-risk or overdue in the middle you'll notice there's some graphical interfaces which display the budget utilization any pending change orders and depending commitments and any pending ap or progress billing or TNM applications that require your attention down at the bottom you could see what's waiting for approval and directly below that you can get a summarized view of your subcontractor costs your total cost and your revenue so let's dial in to a few of these in a bit more detail to give you insight as to how this can be used an important metric is the net cash flow a project manager can easily click into the net cash flow here a project manager can easily review their cash liquidity what is the cash in and the cash out on a month per month basis it also keeps a running cumulative total this is one example as to why it's important to have one solution that manages accounting and project management the PM should also be reviewing the overall remaining budget in this example it's negative two hundred fifty seven thousand which means that the project manager has exceeded the estimated costs by this amount to dial into the specific details click on over-budget cost items directly underneath it this launches the job caused purchase report which is our number one report that shows project managers every single line item associated to the job what was originally estimated plus approved change orders to get you at your current estimate it includes all your commitments for many subs or POS and any sub change orders it brings an accounting information to list your cost to date and calculates your outstanding budget and what your estimate to complete is and even forecast for your estimate ad and to completion anything in blue allows for full drill down let's dive back into the main dashboard at the top you can also view your original margin percentage and what it's forecasted to finish at the end of the job in this case we originally forecasted to make a twenty six percent margin however the forecast margin is negative five percent which is obviously a red flag and is why the metric is highlighted in red at this point I may take a look at the pending billing information over on the right-hand side here you can drill down into the graph to see if any pending progress billing or tina applications require a final approval from here the AR controller may want to generate the invoice so they can receive cash receipts let's tile back to the main dashboard there are additional metrics that can help a project manager make sure that they're on track these include the cost complete percentage and the billing complete percentage directly to the right of that you can also see whether or not the jobs been over or under built this represents your whip work in progress if it's under build they'll be highlighted in red over on the right you can easily see what's overdue from an AR and ap perspective notice that they are both in red we'll dial into these in just a second next let's take a look at the outstanding section found on the second level here a PM can easily see any outstanding RFI's submittals meeting minutes punch-list compliances and change orders now built in the middle of the circles it indicates the total number for example we have nine RFI's the red indicator indicates which of those are overdue both of them allow for full drill down let's drill into the overdue RFI's as you can see it just lists the two overdue our five will drill into some of these later on let's discuss the graphs directly below first you'll see the budget utilization it breaks down the budget utilization by cost type typically labor material subcontract hard cost development costs etc at the top it calculates the full budget utilization for the overall job in this case a hundred and seventeen percent however I can hover over each of the cost type to dial into more detail the blue component represents the current budget the green component represents the actual plus remaining commitments this makes sure that the progress of the job is in tracked based on what you budgeted the next graph will display any pending or approve change orders with the total revenue impact in this example I've got one pending change order with a potential revenue impact of forty four hundred dollars to the right of that it displays all my pending commitments pending commitments include purchase orders for material subcontract agreements or subcontract change orders I can hover over the graph for more information the graph beside that will display any pending appian voices if you hover over it it gives you the total amount you can also drill into it which will bring you into the pending ap invoice registry report to review the details the billing graph will display any progress billing applications outstanding or any time and material applications outstanding if you drill into it it will open up the Associated tabs for the billing applications down at the bottom it displays all items for this job that are requiring approval you can filter to display all or by mine which will only display those that you have to approve you can set up different levels of workflows and apply different rules and conditions for AP invoices purchase orders etc in this example I have one AP invoice that requires my attention when I drill into it it brings me into the approve ap invoice section here I can view the details of the AP invoice we even have a Budget Control tab so before you approve it you can review what your original budget was and what your costs are today in this case the Budget Control tab is even highlighted in red to inform the project manager that one of the line items is over budget the document tab allows you to open up the scan ap invoice to view the original copy once it's approved it will no longer appear in my Inbox if you drilling two items that don't require approval I'll simply bring you in to the prove along to give you an indication of who you're waiting for you can apply different workflow per vowels for AP invoices purchase orders and soon we'll have sub pay apps subcontract change orders customer change orders PCOS and even progress billing applications over to the right you can view your daily job logs he'll even display the last daily job log that was submitted so as a project manager if you're collecting these from your employees on a daily basis you can see if you have to chase any down in addition I'll display those daily job Logs with incidences or weather delays and you can drill down into these to get the details at the bottom left you'll have your subcontract summary here you can drill into any of the blue items they'll give you the original contract sound for all your sub contracts any approved change orders your current contracts um and what you're billing this month you can also drill into your build to date and I'll take you into your AP invoice registry report you can drill further into here to get into the details as well as open up the original ap invoice you can also drill into the original contracts um which will drill into the subcontractor screen to display all the sub contract agreements you can click into them and open up any of the original agreements in the bottom middle section you'll find your total cost summary which will display the original budget for all your cost any approved change orders your current budget cost this month cost to date and your estimate at completion for example a by drilling to approve change orders he'll take me to the change order screen where I can review each one in more detail over on the bottom right I can see my total revenue summary I can see the original contracts on plus approved change orders to get my current contract Billings this month Billings to date by drilling to the details it gives me the AR invoice registry to review the Billings in more detail another useful metric is the overbilled fenders if it's in red it indicates you've over built some vendors you can drill into the details and see what was the total commitment and what's been built you can drill down into the individual invoices and even open the original ap invoice or the audit trail let's quickly reference a few other of the outstanding items you can drill down into any missing or expired compliances in premier you can track compliances on the vendor level meaning you only need to collect them once or on the sub by job level meaning every time you work with the subcontractor you have to collect these types of documents another important area to check is change orders not billed especially if it's nearing the end of the job a lot of contractors forget to billed for change orders any approved change orders will automatically sync to the progress billing application if the billing report is available if the billing report has not been created you'll have to go back to any approve change orders and manually link them one of the great things about premier is that we allow for a multi tabbed interface as you can see we have quite a lot of tabs open at the top if you want to keep one of the tabs open and close the rest simply right-click and choose close all other tabs also because we support multi company multi job you may want to open up the job dashboard multiple times on separate tabs and enter in the company and job information on one tab but maybe a different company and job information on the other tab this way you can jump back and
