creating invoices for session fees can be tedious with invoice templates do most of the work ahead of time so when it's time to invoice a client it'll only take a few clicks saving you time and money you can find invoices in your shoot proof account by going to commerce invoices on the invoices page you'll see tabs across the top invoices line items discounts and templates before you make your first template create often used line items creating them once here makes it quick and easy to add to your template later click new line item then add your line item name optional description quantity and price you'll also want to indicate whether the line item is taxable or not if you're not sure check with a tax professional once the line item is complete click save repeat the process for as many line items as you need next create commonly used discounts click discounts new discount enter the discount name as you'd like it to appear on the invoice and indicate whether it's a flat rate or a percent next enter the dollar amount or percentage an optional description then click add discount repeat these steps for any other discounts you'll commonly use now it's time to create the template in the templates tab click new template give your template a descriptive name first specify which payment methods you'll accept if you haven't yet set up your payment gateway or if the payment gateway you've chosen isn't compatible with shoe proof invoices the credit card and both options will be grayed out refer to the knowledge base or the payment processing video to learn how to set one up now choose the language that you want your clients to see when they view their invoice and the color set that you'd like associated with the invoice you can optionally add a payment confirmation message your client will receive this message once they've paid the invoice since this is just a template we'll also ignore the linked contact issue date and final due date those are all things that you'll fill in when you make an actual client invoice from this template remember the line items you created earlier now it's time to add those to the invoice click add items and begin typing the name of your line item and it'll appear in the drop down menu use these line items to populate your invoice or create line items from scratch if you're offering a discount click the add discount button and select a saved discount or create one from scratch if you have any special instructions reminders or other information that you need to address with your client you can do that in the notes section for example you can include the payment name and address here if you're accepting payments via check when your client receives the invoice they'll see these notes if you're collecting tax type a label for the tax field and enter the tax rate next we'll set up the invoice template for a prepayment click add prepayment and select a prepayment label choose the label that matches the terminology used in your contract indicate whether the prepayment is a flat amount or a percentage and enter the value later when you create a client invoice from this template you can add additional payment installments save the template now you can use this invoice template each time you need to invoice a client for this type of session saving you valuable time and effort
