Invoice letterhead template word for non-profit organizations

hi and in today's video I'm going to show  you how to make a really quick and simple   letterhead in word it's really important here  you can do it two different ways you can put   the letterhead in the main body of your document  or you can put it in the headers and Footers to   allow it to repeat on different pages so I'm  going to show you how to create it first then   we'll put it into the headers and Footers so  the first thing I want to do is go to insert   shapes click on the drop down and we select  this shape here but you can find that shape   a little bit further down and right here  then just click and drag out the shape   move all the way across and then we're just going  to move it to the top now with shapes you've got   fill color and an outline color so we're going  to change both of those so I'm going to select   it go to shape format click on this icon here and  select no outline and then for the shape fill I'm   going to use a gradient so to get to gradients  go to shape format and go over to format pane   here you have another dialog box  and we'll go over to this bucket   go down to fill and then go down to gradient  fill now I've already practiced this video   so my colors are already here what you've got  here is you've got a gradient slider here and   you've got these two markers if I click on them  it has an orange outline that means it's selected   so select it go to color click on the drop  down and you can select from any color if not   go down to more colors and here you've got the  color wheel you can move this cursor anywhere   in the color wheel the color you've chosen  will appear in this box here and then you   can move the sliders left and right to darken  or lighten that color so I chose a pink color   pinky Purple colors around about here and then  just click ok so that was for that color and this   purple color came from the color dialog box on the  far right of this you can't see it because my page   hasn't extended but it's on the far right at the  end of those colors now you've also got the type   of gradient so we've got linear which you need  to click on and you've also got the direction   I've chosen the direction top to bottom which is  this one here but you can select any one you want   so once you're happy with your gradient then we  can go ahead and add a shadow so click on effects   go to Shadow click on the drop down and go to  presets and just click on this icon here you can   use any of these Shadows so I'll click on this  one here and you can just see there's a shadow   that runs along the bottom but you can change if  you want to if I move these sliders you can see   exactly what it does it can blur it a bit more  if you want to change the angle and the distance   away from the shape it's completely up to you so  I'm going to leave it there and now I'm going to   duplicate it so select it hold down the alt or  option key click and drag and then we've created   another one of those shapes so as you can see one  will go on top of the other and we can move them   around using this icon here which is a circular  arrow and we can rotate them any way we like so   this is all very much a personal preference so  I'm going to move this one over to the left here and I'm going to move it up and then this one  I'm actually going to flip it around so select   it go to shape format go to rotate click on  the drop down and select flip horizontally   and then I can move that one up and I'm going  to send this one to the back because this one's   currently in the front so select it go to  shape format go to send backwards click on   the drop down and select Center back and then  I'm just going to rotate this one slightly   and then this one I'm going to select  pull it down so we can grab that Arrow   and then rotate that one slightly  and make it just fit across the page then I'm going to duplicate that again  if you can't use the alt option key for   any reason just go to the Home tab just  select copy deselect it and select paste   and then you've copied and pasted that shape  so I'm going to now put that perfectly straight   and I'm going to bring it all the way down to  the bottom here to put in some more information   now something I've just forgotten to do which  I need to do now if you click on your document   you'll see your cursor where you start to write  is all the way up here and if you start to type   it's going to go behind these shapes so we want  to bring the margin down so you type down here   but it will move these shapes so what we need to  do is group all of these assets so just select   them all hold down the Commodore control key  select each one of them you can see they're all   selected because they've got these little squares  around them go to shape format go to group click   on the drop down select group go over to the  rulers if you don't have the rulers go to view   and check ruler go over to the side here hover  between the gray and the white section you'll see   your cursor changes click and drag down and then  just pull this back up to where you want it to be   so around about here and now when you click  you can see your cursors here you might want   it a bit further up that's fine just click and  drag that up and you just keep manipulating this   until you're happy with the look so I'm happy with  my cursor there I'm just going to now ungroup all   of these Graphics so select it go to shape format  click on the drop down group and select ungroup   perfect now our curse is here so when you begin  to type it will be in a perfect place now let's   insert our logo go to insert picture click on  the drop down select picture from file select   your logo and click insert once you've inserted  it you won't be able to move it so select it go   to picture format go to wrap text click on  the drop down and select in front of text   and now you can move it and resize it and it will  also go over the top of all of your graphics now   we want some information at the bottom here  we're just going to put telephone number email   and website so go to insert text box click on  the drop down and select all text box click and   drag out the text box around about that size  perfect let's just put a telephone number in   now I'm going to move this until I cannot move it  anymore before this text disappears and that will   become clear in a second I'm going to copy and  paste this so hold down my ALT key click and drag   oh no actually before that you can see we've got  this outline but also we've got a white background   so I'm going to take both of those out so select  it go to shape format go to outline select no   outline go to shape fill and select no fill  now we can hold the alt option key down whoops   if it all goes wrong just hit the redo key  which is command or control Z press the alt   or option key your cursor will change click and  drag deselect reselect it do it one more time   perfect so in this one I'm just going to put email  okay we're gonna have to stretch that one out and   again move it until the last letter disappears  and then stretch it back out and again website   here we go perfect so I'm just going to  Center all of these so click on it go to home   Center send text perfect now I'm going to put them  roughly where I want I'm going to line them up at   the bottom here the reason I'm not putting them  over the top just yet is because often you end   up clicking on the background and it's really  frustrating so I'm doing all this up here now   just so it's very obvious which element I want to  select so roughly where you want them but don't   have to be too accurate the reason I have made  sure that they are perfectly lined up they're   copied is because we're going to align them  now so if you select them all hold down the   alt option key select them all go to shape format  and go to this align tool here click on the drop   down and we're going to firstly distribute them  equally horizontally so click on that one and   this will make sure that there is an equal space  here and an equal space here now if I had pulled   one of these out further the distance between the  text within the Box wouldn't be the same so you'd   have a greater gap between these because you'd  stretched out that box to create more space inside   so once you've done that go back up to a line and  now we're going to align to the middle which means   that all these Center boxes are perfectly lined up  which is really important to copy and paste them   if you reinsert an additional box you'll have  to go up to the dimensions here and make sure   they're all exactly the same otherwise  they won't all line up to the center   once you've done that go to shape format go  to group click on the drop down slip group   now they're all one element we can move them down  to wherever we want to I'm just going to change   those to White so select them go to the Home tab  and go to the text color icon or font color and   select white and then I'm going to make sure that  this box here is perfectly centered so select it   go to shape format align align to Center and now  all of that's perfectly lined up so deselect it   check that you're happy I'm just going to move  the background down a little bit and therefore   the group down a little bit so once you're  happy with that we can group it all together   so select the text at the bottom hold down the  command or control key select the background   select this graphic that graphic and  the logo go to group and select group   now all of this is one Element and it can be  moved copied and pasted so if you wanted to   continue just to write your letter as it is now  you can go ahead and do that but what you will   have to remember is every time you hit the return  key the whole thing is going to move with it so   there's two ways you can solve this the first  one is to write your whole letter in a text   box so insert text box draw text box and then  you can write the whole of your letter in here deselect it take the lines out and the background and there you have your letter  you can move it anywhere you like you can change   the margins really easily and you can have the  perfect letter and that's fine you can go ahead   and save that as a template if you want to but  realistically if you want this on a second page so   let's say for example insert let's just deselect  that page break this is what's going to happen   so you have to move all of that text over to here  so go to home copy go onto this page and paste   and then you can move it all the way up so you  can do that if you want to it's a bit of a sticky   way to do things but it's possible so let's just  delete that move this across in fact let's just   delete that and let's just delete this page as  well there we go so the best thing to do is to   put it into the headers and Footers so I'm  going to put it in the headers and Footers   and there's one distinct thing that people moan  about when anything is put into the headers and   Footers and that is that it's grayed out so I've  selected everything again by holding down the alt   or option key go to group and again or ungroup  it and then we'll regroup it so it's all one   and select it all there we go go to the Home tab  select copy and then I'm going to press the delete   key you might think oh gosh it's gone but it's  copied to the clipboard so don't panic and then   just double click at the bottom of your page and  you'll see you're in the headers and Footers go   up to the Home tab and click paste and somewhere  your text will appear or your graphics will appear   and we'll just move them to where they were  originally and of course you can go ahead move   these around if you want to okay so now they're  in your headers and Footers we'll click back into   our main document by clicking in the middle here  double click in the middle I see immediately it's   grayed out now this will continue to be grayed  out if you send this as a Word document but   if you intend to print this or save it as a PDF  file it will be perfect and all the colors will   be enriched and they will glow just as they did  before they won't be grayed out but again this is   a choice thing so again if we hit insert break  now you can see that it's copied it straight   over to the next page so even if you do 10 pages  of document this is how it will be copied over   again very much a personal choice so  let's just say you've written your letter perfect so now you've written your letter and we  want to save it as a pedia let's go to the file   save as and then we can go down to the let's just  say this to desktop go down to the file format and   click on PDF and then just click export okay so  now I'm going to open my PDF and this is exactly   how my PDF will look if I was to send this to  someone if you want to say this as a template go   to file save as template name it whatever you want  make sure it's in templates make sure the file   format is Microsoft Word template and then just  click save what this will do is when you open word   let's just go the Home tab at the top here you've  got templates go to more templates so in personal   you'll see all the documents you've ever created  so mine was saved as dear client and although it   doesn't look like this one does or it's done  something amusing with the thumbnails but it   will usually come up as the actual thumbnail of  the the document that you've saved so that's my   dear client one so when I open this now I can use  that template over and over again so if I save it   it will be saved as a completely
