what's going on everyone Chris with clut reduction junk removal and today we are headed to a storage unit to clean out a 4x6 or a 4x8 cage storage unit so not a crazy amount of stuff I quoted her a half of a truck depending on the total size of everything because you have to figure height and she says that she found out about me through the storage unit manager who is somebody I brought cards to a while ago so when I see here again I'll thank her for referring me and then I'll go ahead and give her a couple of more just in case she's running low if she's there and also I'll try to find out her name and what I'll do is when I go back home I'll go ahead and fill out like a a gift card for Starbucks or dad donut whatever is closest to the storage unit and I'll just mail them a thank you card and I'll put that in there and address it to that manager and that's something I like to do after a while because they have no need to need to refer for me like there's other junk removal companies I'm sure other people go by there but I've been to the storage unit specifically over the course of like a year and a half you know at least every couple of months so they continue to refer me and the same thing goes for other storage units like once I have a manager who's personally referring me to people more than a couple of times I'll usually send them some kind of gift card or you could drop off Donuts or something the only problem with dropping off Donuts is I want the manager to be there when I do it and they're not always is there so that's why I like doing the gift card personally but of course you can always drop off like you know a dozen donuts and like one of those little coffee jogs or something just to show your appreciation I just think it helps kind of keep you in tuned with everything and with them so I will show you guys a job when we get there all right so that job is complete took a little under 20 minutes it was a little bit of a walk I basically just did two speed pack rounds and then two trips with the hand truck and that was it everything else fit inside perfectly um it was about a little less than half a truck worth of stuff and the clients were semi in a rush to get out of there so of course you got to imp up the speed a little bit um right now we are going to be we're going to go to storage drop off whatever to donate and then go to actually we're not going to go to the dump because we're going to be going to a person I've networked with in the past I actually networked with his wife but runs like operations of the business so we're going to be meeting him at 1:00 to pick up a couch and a chair and the ottoman so told him be about a quarter load now I can't even take pictures in that house I can't record I can't even tell the person what I'm there doing even though it's on my chirt and it's going to be on the truck and trailer sitting outside the front yard but this is like solely like I'm subcontracting for this guy so I'm not there to talk about pricing I'm not there to talk about what I do nothing you know if they have any questions I say go talk to to this guy so it is what it is um yeah today we're going to try to organize our garage a little bit because we're having a garage sale right now it is too full to even really open so I need to put some stuff in boxes I kind of just threw everything in there and then um I wanted to go over how I set up my invoices now I can't do like a screen record on my phone and if I do I don't know how maybe that's not an Android thing I don't know although I had an iPhone I didn't know how to do that either so I'm just going to I don't know how to do it um please ignore my my ignorance and Technology ignorance yes um but I will do screenshots and extend them out and then do a voice over so hopefully that helps so this is the estimate page you would fill it out the same way as an invoice with the client information the items that you're charging if any discounts tax and then it'll total it for you you can take payments to the app that is optional through a PayPal service and then you can upload your photos for clarity have the customer sign off on it and then you can add in any notes that you would otherwise say for an estimate before signing over into the invoice itself this is an example of a photo that you can upload for your estimate and your invoice as well and essentially let's say for example you're in a bedroom and you're taking a picture of the side of the wall where you had a dresser and a chest and a bed and some boxes stacked up in the corner you can take a picture of that room in the description you can mark it as what bedroom it is whether it's the main bedroom or guest bedroom and then in the additional details you can write down everything goes except for the pile of boxes in the corner and this way when you go to do the job and the client says oh you forgot some boxes in the corner you could say no we agreed upon in the estimate that that was going to stay that you were going to take that with you when you go back up north so you're just covering yourself and preventing problems so on the app you can add a bunch of different items so for this for example I would have like my minimum pickup quarter load half load 3 quar load full load extra labor stero charge whatever it is you can write down the description you add the cost that was already done for you and then you can add in the quantity you can add in any discounts and you add in any additional details here's a preview of the estimate of what it would look like in the actual email that the customer receives I blurted out the top part where it has all my information and my logo but do note that that all will be in there including the customer's information as well you have your descriptions listed out you have any notes you would want to add for clarity and then your photos would show with any descriptions that you have put this is your reports page which Will Show You by month every single month of every year how much money you brought in so far and it'll also have a drop down for your clients so you can see how many clients you had and then how many each time used do and then you can do the same thing for items so if you're trying to figure out how many full loads did you have this year it will show you a tally mark of that number and then this is the settings page where you can essentially set up your invoice so you would have your business details logo name contact information you can kind of design how you want your template to look and any colors added your payment information will show any processing fees or instructions for your client to follow up with payment if you're doing like a net 30 or if you allow them to pay afterwards you can set up your tax you can set up if you want to have them sign the estimate through their email so you have proof of signature you can add in any notes you can add in how you want to do your invoice numbers if you want to do randomized or start a default number and then you can do your expenses and customize it it's really just a great way to kind of keep everything in one spot in addition anytime you fill out an estimate or an invoice you can send a copy of that to your email so you have copy of it as well and then this is just an image from Google showing you what the check mark for the logo of the app looks like and that's the name invoice simple so I have found it to be extremely helpful and I will continue to use it until I find something better so the way the the thing I like the most about the app is probably it features for the individual breakdowns of estimates and invoices so I've talked about it before and I give estimates and I've even done a live estimate before and essentially what I'll do is as I'm walking through the house I'll do a first walk through with the client and get their feedback on what's going what's not and ask questions and then I'll go through myself and I'll take video footage I'll take pictures and when I do when I come down to the pictures portion I will take pictures of each room and include it in the estimate now I'm not taking like 10 pictures per room because that's going to be a really long email but I'm getting like the bulk of stuff more importantly I'm taking pictures of something that maybe isn't going mixed in the pile of stuff that is so like I mentioned with that bedroom example if I was going to an estimate and the bedroom was full of stuff but they said hey this jewelry cabinet on the right side by the dresser that's not going okay I'm going to intentionally take a picture of the whole room and then I'm I'm include a second picture where I get that angle where it shows the jewelry cabinet the dresser and all this other stuff and in the description I will write everything goes except the jewelry cabinet and then in the details I will further amplify that and I will say customer has requested that the jewelry case itself stays behind so that would not going to be disposed of and everything else will be taken out so you could do that as well for any other case you know you're in the living room they say just a couch goes nothing else take a picture of the living room and say only the couch goes or if you take a picture of a room they say everything goes right in the description everything goes and what you're doing is you're protecting yourself from the day of the job so a lot of you probably haven't had issues before I've had one issue so far and I've had it every single day as a mover it's a frustrating thing but when somebody would say oh yeah so this goes and that goes and this goes this stays you don't have to worry about this yeah we'll take care of that and then the day you get there they say oh no everything goes you're like okay well that's not what we estimated for so we're going to have to adjust the price and like what are you talking about you were here and I'm going to pull up that inv voice and say you see all these pictures that you signed off on you see how it said that this room you told us not to worry about and this room you said that everything goes except this one item and then in this room you said only this one couch goes and you have picture proof and they signed off on it that's going to help protect you against that situation so it's more of a protectant and then you could also say um you know you could always do like before and after pictures as well especially if clients are out of town or nobody's there or for it's realtor I talk about this all the time especially when I go to Senor leing facilities or I do work for realtors I will intentionally take pictures before and after and include them in the invoice and I will mark down let's say I cleaned out a room but I left behind a cabinet that they told me to I will take a picture of that room before I'll take a picture of the room after showing the cabin and I'll put in the details Cabinet St per request of realtor and that when they get that email they're going to see that and they're going to say okay good he left the cabinet and if anybody were to say oh I'm missing a cabinet I'm going say no you're not it's right there in that photo when I left so it's just again an extra layer of security um you can also take payments but you have to set up through PayPal I just had issues with PayPal in the past so I don't do that but that is obviously an option um every time you make an invoice or an estimate you get a copy sent to you so you have a copy as well in case the app ever goes down which is always a possibility of course you have all the information for yourself and then you can save that to your computer laptop whatever you use so it's a very useful app and um we got a little bit off track but when I give an estimate I will essentially go room by room and in my head I'm I'm taking pictures of the rooms and saving them in my phone and in my notes I'm writing down okay this bedroom's probably gonna be half a truck this bedroom's going to be a quarter truck this bedroom is going to be three qus of a truck the bedroom plus the closet spark going be three4 of a truck and I'll write that all down on my phone and I'll write down if I'm doing bagging feeds and stuff or if I'm going to have to use a little bit extra labor to sit here and take apart all this crap and whatever the case is and then I'll go back and I'll total it all up I'll upload the pictures and I'll factor in the price and then I'll add the pictures and write down any description sees of okay does this stay does this go and then I'll send off the whole thing to the client and that way when they look at it they say oh wow okay he has all the pictures of everything that goes and doesn't go I've had people tell me that it was refreshing having those pictures in the estimate especially for a realtor because then they can forward that copy to the client who's out of state and they can see oh okay good Not only was everything taken care of but I have proof that the specific cabinet I wanted to stay stays and not they you know they didn't get it mixed up with anything else so I really like this app I've been using it since halfway in 2022 and haven't decided to go to anything else yet um the only thing I would like to do in the future is maybe open up the payment option just so if I have somebody who maybe needs to pay later on or a business for example you know they have that option because I have sent that email to someone as a paid like it's not paid yet by the way you can mark that you can Mark if it's paid or unpaid it'll just balance out the it'll zero out the balance but I've sent a email to somebody saying hey this is your invoice you know I'll be reaching out to you in an hour whenever you're ready to take payment over the phone and then they'll try to pay online and I'll get a notification from that saying client tried to pay and it can't because it's not set up so I'll have to call them and say hey you can't pay that online you need to pay me that's what we talked about so that's uh that's the invoice I use and that's how I do my estimates and my invoices and you know I can I'll have them sign in I'll send it off to them and you know you can also request to review you can put a review Link in there so every time I send an invoice when they open it up there's a review link I also text them a review link as well in addition because not everybody even opens their invoices um but yeah I found it to be pretty nifty so if you're looking for an invoice app I recommend invoice simple it's pretty easy to navigate pretty straightforward they have a subscription base where oh I don't remember numbers I know I pay I think it's 20 bucks a month but I have like unlimited invoices I think it's like $1.99 if you do like up to 200 or 250 invoices which I wasn't touching in my first year or two so I was fine but now I do surpass that so now I do the 1999 I think it is and it's like you get unlimited uh invoices and there's other features you can use as well you can track expenses like receipts and stuff I don't use those because I have other means of uh tracking that stuff but that is always an option so hopefully that gives you guys an idea if you're looking into invoices uh apps and that's going to be it I'm going to go take care of my own business and then head off to that job at 1:00 and I will see you guys next time bye
