We are a travel company that needs to have clients and hotels signing the same contract. We used to have to send it via email and have both parties print, sign and scan/email the documents. This process often took a very long time and a lot of following up. Now, we use Sign Now and it we upload it and send it out one time, and the rest is taken care of for us!

hey everyone if you had to manually switch over to use html5 invoices and you already had a default email invoice template in place to use when you would email your invoices then you need to go in and edit the existing default email invoice template and add your new HTML invoice to it or you can quickly create some new responsive email templates which I will show you how to do here in just one minute if you started using Studio cloud when html5 invoices were already released then this is the automatic email template that will be created for you when you email invoices this one you see here on the screen it will have your logo up top and then it will have a blue button here instead of this gold and if you like this look and feel then great you don't have to do anything it will automatically create this template with this information every time you click email invoice in-studio cloud under the point of sell if you want to create a new one with different information that would be included a different look and feel different colors I will show you how to do that so first when you are in Studio cloud go under settings and under settings you'll see email templates click here and click new email template and from here you can see I can either start with a blank email template which I wouldn't suggest or you can come down and you can see there's already some created for you that you can go in and edit and add information to if you would like so there's a default white one there's a light gray a green blue or you can do a custom color so if I choose this I can choose a different color for my header and for the button so and when you choose a color you can choose the colors from here or from the will or if you have a custom color that matches your invoice or any of your branding you can also paste that in here and once you paste it and hit enter you can hit save and then from here we are going to choose the default HTML invoice template that you want connected to this email template so you have previously created this default HTML invoice template under the point of sell and if you haven't created it yet go and watch the video HTML invoice setup so if you've already set this up you can see that you're going to select this template so what that did is that attached an invoice template to this email template we are creating so when my client clicks on view invoice that template invoice template we just attached to this is going to determine what they see on the actual invoice the different wording different Terms of agreement etc so it's when they open the actual invoice and what we are doing right now is creating the email template so I can click here I can type anything I want to be on the default template if I want a different message to my clients if I want to have other items that automatically populate for the invoice template I can come over to fields and choose different information if I want a you know balance due date anything like that you can scroll down and see what's possible if I take online payments I can also insert an e payment link to have them pay right there online and that payment will come in to Studio Cloud so there's a lot of options on how you can set it up and also if you go under default you'll see right here that say you want this to default be the default email for invoices I would check that if you want this the default email for payment due and if I want the default email for balance do so any time I do those within the point-of-sale it will default to this as the basic email template unless I choose something else and while you're setting all of this up if you'd like to see what it's going to look like for example you can see the logo doesn't show here but it's going to use my logo and I'll show you a sample it'll populate it for you so you can get an idea if you like the look and fill and if you are happy with it you can close out of it here go down to the bottom and click Save and once you do that you will have a default email invoice template that will be used every time you email an invoice with in-studio cloud and as always if you have any questions or concerns please contact support and they would be happy to help you
