in this video I'm going to demonstrate how to export your sales ledger and your sales receipts from garage five into QuickBooks the demo is going to assume that the setup of the integration has already been completed from the service advisor role Center you need to search for export to accountancy system in this demo we're only going to tick the export customer invoices and credits and export customer and payments and refunds you select your date range and you select the export type wherever you want to export all transactions on new transactions and press ok this will produce a zip file you need to extract these files onto your desktop and you'll get three files one of them will be the receipts which is labeled as in cash or in card one of them will be the customer invoices and one of them with the customer details when you're in your QuickBooks home screen you need to select the cog in the top right hand corner and select import data and we're going to start by importing the invoices so we browse for the file and we select customer invoices now it's important if you've not already uploaded a customer file if you select add new contacts that don't exist then QuickBooks will automatically create the customers based on the information from the invoice so select next from this screen you must map the invoice date to the date format and in garage harvest date month and year and you must select the item amount as exclusive of tags and select next you have to map the tax codes and start the import so the invoice has been imported in this example we've already seen this customer before if not it would have also created a customer so now we need to import the sales receipts and this is done via bank data browse for the file find the file so in this case is in cash select next and now this is where we need to select what type of receipts it is so we're gonna say it's cash receipt this setup should already be again this demonstration is assuming that the QuickBooks setup has already been completed so I press next in this mapping screen we need to select the amount for some reason QuickBooks recognizes some uping and it doesn't recognize others so there are a few screens where you do actually have to manually map but it's very straightforward like amount to amount for example press next and we can see the receipts so we've got the document number and the amount that's next and yes we want to import so now if we go back to the home page and we can see cash receipts here want to review the systems automatically found the transaction related to this receipt so it's found that invoice number SJ 0 0 0 2 1 0 has the same value of 273 pound so now what we simply do is just select match and that will apply the payment directly to that invoice now I've just done one transaction at the time this is expected that you may do this over a period of a week or a period of a few days it's exactly the same process you import the invoices and then you import the receipts now if you've had customers that are paid by cash or by card or by cheque the system is going to produce three separate files that you must import separately into the right bank accounts within QuickBooks I hope that clears it up if you've got any questions please let me know
