good afternoon good evening beautiful people of the sponsorship collective we're going to talk all things fulfillment report today and i'm going to share with you the fulfillment report that we used for our conference for our event uh to close eighty percent of of the following events sponsorship eight to zero percent within 24 hours of our conference uh i'm not gonna lie i find it very frustrating to hear the question when is the best time of year to bring on sponsorship the reason i find it so frustrating is because what its code for is um we had our event our naming right or whatever that thing is that you're working on to sell sponsorship your podcast your season it means that what people are doing is treating sponsorship delivery and sponsorship prospecting as distinct as though there's a time of year that you should thank your sponsors in a time of year that they're expecting a pitch from you this is true if your goal is to have a terrible sponsorship program no money and frankly to appear ungrateful to your sponsors how do you appear grateful to your sponsors you deliver what you said you would and you prove it and the beautiful thing is when you do these two things you then close the sponsorship deal for next year or the next opportunity so here's what we do conference ends the wrap-up report is already pre-built or fulfillment report i like the wrap-up report but fulfillment report or wrap-up report use them interchangeably event ends opportunity ends this is already pre-built i've given my photographer a list of all the pictures that i want to make sure they include we then have our designer ready to rock and within 24 hours we've turned around a wrap-up report that's how important it is the event does not end at the end of the event the event ends 24 hours after the end of the event now if you want by the way the fulfillment report template that i showed you over here just drop fulfillment report report template fulfillment report do i've removed a couple of pieces from this fulfillment report out of respect to um to the individual who now owns this conference um uh great conference by the way if uh if you're interested in learning all about partnerships and so here's what we did we built out the report we included all of the things you're going to see in the temple i'm going to walk through that i've removed some of the pieces like our cost um how much we how much we charge our sponsors and what we deliver et cetera like that piece is separate but i'm going to show you how to build it again we had most of this stuff canned and ready to go we had the mock-ups already done you're already creating a bunch of uh uh creative anyway for the uh for the for the pre for the uh the promotion of the event so it's super easy reach out to every sponsor book a follow-up meeting when do i book the follow-up meeting when we close the sponsorship deal we're all in we do a planning meeting together then we're going to hang out at the event together and we've got the fulfillment report meeting nothing like an absolute deadline to make sure you do what you're supposed to do so we've already got the meetings on the books and we're going to do a wrap-up meeting and we tell our sponsors we're going to hang out and talk right after the opportunity is done what we want to hear from you is everything you hated everything you loved and everything you wish we did differently and i'm going to share with you a report of everything we said we'd do and whether or not we delivered and we're going to be totally honest about it whether or not we delivered and then we're going to ask you how we could do it better or worse and then if we've earned the right to do so we're going to ask if you want to hang out again next year and do it all over again meetings in the books event ends we party and then we wake up the next day and get to work really simple here's who came we told you this many people would come this is how many people came we told you that this was the these are the types of people who would come well this is the type of people who came we told you that 30 would come from brands right like fortune 500 companies that's who came here's the quote from someone who thought our opportunity was awesome here's the uh decision uh level of decision making ability now this is a business of business event so these make perfect sense in this context if you're business to consumer then you use all the the cool like plan purchases and and uh brand preferences and so on that makes sense in a b2c environment this is b2b so we're looking for decision makers and um and uh industries so we've got uh decision making uh they make recommendations i'm the big boss uh 87 percent said the conference exceeded their expectations 46 percent bought tickets for next year's event before we'd even released the agenda right so did they like it they said they did but then they put their money where their mouth was those are my my hopefully endearing child life drawings they put their money where their mouth was in the money where their mouth was and they made the purchase uh shout out to the sponsorship collective for being a sponsor and environics and another cool quote amazing digital footprint 9 000 visitors to the conference website 150 000 linkedin followers 8 000 on twitter cross promotion with our promotional partner hilborn and then here's uh you can't quite see it here but this got 33 000 uh likes so we went viral with one of our posts and then a cool picture of all of our speakers now our sponsorship at the time was tied to speaking so everyone you see here had a sponsorship relationship with us in some way we firmly believe that that if someone is appropriate to sponsor your conference that's a full-on endorsement so we only want to take sponsorship dollars from the best of the best of the best in the industry and therefore these people are also our speakers because they're the best of the best so uh you may recognize some of these folks here this is my former business partner and now just really good friend brad hoffman big shout out to you brad absolute pleasure doing these projects with you um and so and then of course yours truly so here is an example of the things you got as sponsors just a quick reminder of the amazing lineup we had and then uh in another version of this we had pictures of like the funnel cake factory and the graffiti wall and some other things very simple report now again what's missing from here is a list of what we promised and whether or not we delivered now that didn't matter because we could put this whole thing together before we had before we knew whether or not we had delivered and then we just add that one custom piece uh to the end sit down with the sponsor walk them through it and say what did you think at the end of that meeting we asked one question do you want to work together again if we make all the changes you just said do you want to work together again yes or no if they say yes as 80 did that day we sent over a contract signed deals so now within 24 hours of our event ending we knew how many sponsors we had to replace we knew what our budget was we knew what our income was and it also solved activation problems right like experiential problems and speaker problems so our conference within 24 hours of running it was complete then all we had to do was book a new venue uh and away we go and that's exactly what we did so sample fulfillment report uh the template here just drop fulfillment report template in the comments if you'd like a copy please uh how does it work really simple you want to have the meeting show them the report at ask to renew logo tag line your opportunity campaign location website super simple then remind them of the opportunity your cause your thing whatever it is that you're working on paragraph two talk about the opportunity the program or the event paragraph three your attendees right hit them up with pie charts and graphs and cool pictures um then a cool chart you can ignore where it says cause it was written for a cause client of ours but um it doesn't matter what you're doing if you have an opportunity a fulfillment report is required um you're going to say every asset that you did that you promised them so we did include this in our to our clients uh sorry to our sponsors i just didn't include in the one that i can share with you guys because it's proprietary so here are all the assets we said we would do did we deliver or not we admit it did not deliver then what we charged you and then what it was actually worth so if we charged you a hundred dollars for this asset okay or five hundred dollars looks more like a five than a one a lot of coffee today guys um if we charge you 500 bucks for this opportunity but we actually delivered 2500 we're going to tell you that so at the bottom of this nifty chart we're going to say we charged you 10k but we gave you 25k in value roi proven sitting across from a prospect we gave you 25k worth of stuff you only paid us for 10k worth of stuff do you want to do this again yes no maybe and maybe it's not acceptable if you can improve that kind of roi you're not going to lose any prospects ignore the canadian spelling of these words i'm i'm canadian on occasion uh the last page is really simple thank them show them all the cool stuff and then ask them for their money their business once again easiest easiest thing to put together in the world the best part is you walk away knowing exactly how many sponsors you have for next year good or bad you might get 80 renewal like we did or you might get zero percent renewal but if you wait until after you've booked your venue and done like done all the prep work and invested and put down all the deposits to find out that you've just lost all of your sponsors then you are in much bigger trouble than
