Write an invoice for Human Resources

good afternoon and welcome back to another set of videos in which we continue to talk about human resources and how you configure the system so in my previous videos at series of videos actually we've gone through quite a few configurations and now we're at a point where we we can use all that configuration and use it towards the processes over today we're going to actually start learning about the different functionalities that are available and then I'm going to talk a little bit about how you execute tasks and processes within Dynamics 365 human resource so if this is the first time you stumbled upon this video then do make sure that you go through some previous videos that I have actually released just because the configuration piece is utmost important and you would need to know in order to execute and know about a little bit about the product so with that let's get right into it so right underneath the modules if you go into Human Resources we're going to talk about employees today so in my previous videos quite a few that I have released we talked about the setup so every single setup that is available on the screen under under this menu item it has been talked about so do make sure you go through it so you have an understanding of how you configure the system today we're going to talk about employees so right underneath workers we're going to talk about employees so if you click on an employee you will see a list of active employees and now there's a difference in uh in between in employees and workers so this is something that you would really need to know so employees as you can see these are active employees these are active employees for this legal entity so usmf so these employees basically in a bigger picture are the ones that are being paid by your usmf so under a payroll module these employees will be paid from that legal entity if you click into one of these employees and if you were to create a new employee for instance we'll create a new one and there will be a handful of information that you can enter so if you click new there will be a new form that would show up it will give it a name and you have a personal action type so this personal action type is the workflow associated with this task so you'll always have a workflow out of the box workflow that you can configure and assign it to to this action moving on to the social insurance number so SSN could be the social insurance number that you can type in we've gone into the configuration piece of that as well so do go back to one of my videos where we actually talk about the identification Implement category so that's a letter that drop down menu you can configure that we've talked about employment categories so you can select either one of them we will talk about the employment type so there's different examples that are that I have seen in my implementations where we talk for employment type and the employment start date so this is obviously a start date for that employment now one thing that you would want to know is that an employee can exist in the system without a position so that's a very key differentiator key piece that you should understand not every employee can have a position to be able to exist in the system so in my implementation saying of course in your implementations you would want to make sure that every employee has a position associated with it and once we get two positions I will talk a little bit about that employment end date of course is never a lot of times it's a contract position that you can have an employment end date and we'll talk a little bit about the checklist onboarding checklist so that's a separate module separate a video set of videos on its own uh when you talk about position details so as I said mentioned you can have an employee without a position assigned to them and and there's a different process to follow if you were to go through this route so in this case if I wanted to create an employee I would simply have his record created but not a position assigned to him and I can still continue so let's go with the a simple name and I will do an employment personal action as a workflow you can have a dummy workflow as well so in this case you can have an empty workflow just for testing purposes and for playing around you can have a empty workflow and assign it in the personal action so if you don't know how to do that do make sure go into my videos where I talk about personal actions and assign the workflow there our employment started I can make it back paid it I'll leave everything else just because I want to make sure that I show you what happens next if you click continue there's going to be another window that will show up where it asks you to Simply approve get this approved or send it out for an approval in here in this form you can actually actually assign a compensation in this case a compensation is grayed out and we'll talk a little bit about that that is due to a position so if you haven't assigned a position and of course that's what we can assign a specific employment compensation to this employee so if that prevents empty but you can always assign that once everything is configured properly so in this case you know I am a requester Benjamin Martin you can have a recent code you know if you want a related action you can have that send it out for it in workflow just submit it so now I'll put a comment in submitted and it is executing so the workflow is executing based on how the workflow is configured so once the workflow has been approved you will have an employee so a record created here and in that you can go click into it and these are some of the information that you would need to enter so let's just go one by one what this Tabs are all about so worker summary personnel number is a unique number uh it basically identifier for this individual we talked about number sequences so you know signing a personal number automatic two-way worker to make sure they go to one of my videos in number sequences original higher date you can have this anything so it is not linked to any process it is not into any any other tasks associated with it that you can execute so a lot of times I've seen this original hide it during data migration for instance you know when you want to have a cut over activity then you can use this original hide it to determine when the employee was really hired a long time ago so 1978 for instance employee was employed into this here into this organization you can have that for the record purposes and then start their conversation start their work history as of when you are doing data migration and when you've completely implementation and coli so original higher date is simply a a field that is used for reference purposes seniority date is applicable to labor or Union so in this case there is no fancy calculations are happening between in order to calculate the seniority it is as I mentioned about original higher date it is a reference point so the calculation for seniority uh happens outside of the system so I have done some implementation with Union where the seniority date is calculated outside and then you as a HR manager you simply go into the system and update this uh on a fiscal basis anniversary date that's usually remains empty to be honest it's not something that organizations do care at this point but it's just a calendar it's a field you can you can update it on a yearly basis manually the title here is the title associated with the employee so we'll talk a little bit about title as well because it's reflection reflected into a job in a position so in this case this title is related to this employee itself so you can configure the title so we've talked about titles as well this is actually a Boolean field work from home just an indicator for a reference purposes office location and the office address so we'll talk a little bit about this once we go to the address piece in one of my next videos to determine how you can add the address here because this is all grayed out so there's a way to actually ADD office office address here rehire so this is to do with when you terminate this employee so when you're about to terminate we'll go through that process you know if you if this worker was good you simply turn this toggle button on and that's all there is to it so you can do a little filtration or reporting against it but it's simply a problem button so it just allows you for reference purposes that if any by any chance this employee comes back and you're about to create a record the record already exists and then you can go back and see some notes that are associated with this employee if this will be higher button turned on and the last two pieces are read underneath the other information so address book do assign an address book we will talk a little bit about that that's a separate module it is our under organization Administration and you know how to configure the address book so there's something that will touch base uh far from now but nothing to worry about and language so language in this case we can set a language here uh as in us or you can set a language of the whole system in organizational Administration so we'll talk a little bit about that as well once we touch that module so with that I'll leave us to explore the employee section and in our next video we're going to start talking about the name details a little bit about the address and we'll go from there
